Board of Directors Meeting
28 April 2016
Date and Time: A meeting of the Brookhaven Directors was held on Thursday, April 28th at 7:00 PM at
the Brookhaven Clubhouse.
Attendees:
Present: Stephen Smead, Jonathan Martin, Janet Nyland, Chris Bullock and Rob Skinner
Homeowners: Joe Davis, Derrdre Smith and Karen Bradley
Minutes:
Meeting was called to order at 7:00
A quorum was established and the agenda was approved. A few items were added to the
Repairs/Upgrades section and the Neighborhood Concerns discussion was move to the beginning of the
agenda to accommodate the homeowner’s present.
Neighborhood concerns –
 The primary concern was that the landscaping and upkeep of the common areas in the Park at
Brookhaven needs attention. The entry way needs a light replaced, flowers and pine straw. The
play area fence needs attention as well as a general cleanup and mulching. Janet Nyland took
an action to investigate and recommend what we need to do to address this.

Also, a request was made to publish a community newsletter.
Chris Bullock gave the state of the neighborhood.
 A new fence and locks have been installed and complete. Finishing touches were completed
and verified this week and Rob Skinner was requested to make final payment and get the new
card keys from ATC. Each homeowner in good standing will be issued one card key for access
into the common area. If the card is lost there will be a $50 replacement fee to cover material
costs, activation and the deactivation of the missing card with a $15 credit for the return of the
missing or damaged card.
 One of the decorative posts in the front of the clubhouse has fallen off and needs to be
remounted.
 We have an erosion problem on the hill next to the basketball courts.
Rob Skinner gave a financial report. We are doing 10% better than last year for collections. Currently
we have had $63,800 collected against our yearly budget of $74,000. We have spent approximately
$29,000 so far this year with the primary expense being the new fence. We are recouping some budget
this year from property liens when the delinquent homeowners are selling their homes.
Architectural Requests –
 419 Darter Drive – Request for a retractable awning over the back deck. Approved.
 220 Park Forest Drive – New landscaping and painting shutters. Approved as long as the
homeowner maintains a tree in the front lawn and the colors are in accordance with the
covenants.
Repairs
 Rob took an action to have Mike repair the burned out light at the entry way.
 Chris took an action to get an estimate on to remount the post and possibly painting the front of
the clubhouse
 Chris took an action to get a recommendation from the landscaping to control the erosion on
the hill next to the basketball court.
 The center tie down eyelet on the tennis court was removed when it was resurfaced and needs
to be replaced.
Swimming Pool


Due to the critical nationwide shortage of lifeguards this year we cannot find a pool company to
supply one. Chris told us that most communities are transitioning to a “swim at your own risk”
policy with a pool monitor. A pool monitor would maintain the pool, check pool membership,
enforce rules and maintain the sanitation of the pool, restrooms and surrounding area. Chris
took an action to pursue this with Slash Pool Management. Time is of the essence because pool
inspections are due to start next week.
We need to replace the pool furniture. Janet Nyland took an action to pursue this.
Motions
M1-Apr-28-2016 – Have Janet Nyland check the condition of the common areas at the Park at
Brookhaven and recommend a course of action. -- Carried unanimously.
M2-Apr-28-2016 – Approve Janet Nyland to replace chairs for the pool area. -- Carried unanimously.
M3-Apr-28- 2016 – Approve Chris Bullock to pursue a contract with Splash Pool Management for Pool
management and a pool monitor is lieu of a lifeguard this summer as soon as possible. Board approve
will be by e-mail so the pool opening will not be delayed. . -- Carried unanimously.
M4-Apr-28-2016 – Approve Joe Davis to replace Stephen Smead as Secretary. -- Carried unanimously.
The meeting was adjourned at 8:30 p.m. The next meeting will be a board of directors meeting on
Thursday, May 19th at the Clubhouse at 7:00 pm.
