SUCCESS STORY AL-KO SANCTION LIST SCREENING WITH DBH A compliance background With the anti-terrorist EU regulation (EC 881/2002 and 2580/2001) and the increased criteria necessary to issue an „authorised exporter“ licence until the end of 2011, the sanction list screening as it pertained to company compliance took on an entirely new dimension in European foreign trade legislation. Any corporate action must therefore be carried out in accordance with the applicable rules governing these regulations. Short Project Description After converting the existing compliance solution to include three active components from dbh compliance architecture, AL-KO now offers everything under one roof. Logistics IT AG. To date, the company has used dbh solutions of Advantage Customs for customs clearance and Advantage Compliance for sanction list screening. The AL-KO compliance solution to screen business contacts based on sanction lists used to represent the „alliance“ of three key elements: .. an external content provider with its own hardware and software .. dbh as an interface provider between the content provider and the company‘s internal SAP system for AL-KO .. and a separate interface from AL-KO for data delivery Shipments which were only prohibited in certain countries under embargo or which were subject to proviso on building permission up until now are now banned from business contacts, individuals and particular groups. Registered persons, organisations and institutions may neither directly nor indirectly be involved in their profitable delivery. What challenges did AL-KO face? The AL-KO Group has long-since assessed its business partners based on anti-terrorist lists and is also a long time customer of dbh This left AL-KO with a higher maintenance cost for its own interface as well as the administrative management of these three elements. In 2009, the AL-KO Kober GROUP generated approximately 525 million euros. www.al-ko.de Project content in detail The role of the Advantage Compliance server includes automatic updates from anti-terrorist lists and batch processing of large amounts of data. It is now possible for AL-KO to start an online screening of the documented data from the company’s internal SAP system. In addition, the online screening of manual requests is supported by the client porter. A review of the address data (delta test) is performed automatically by the Advantage Compliance interface solution by modifying and updating anti-terrorist lists. This ensures that the addresses are always checked with the current anti-terrorist lists. In case of matches, the corresponding customs department employees are informed via an email function and all tests are recorded on the server using the search and result data. Additionally, the records are stored in a database and archived so that all screening procedures are easy to replicate. The server features are implemented in the already familiar Advantage Customs technology. That way, AL-KO Group employees can immediately take over server administration without additional training costs. SAP screening at AL-KO The AL-KO Group serves more than 1,200 users daily on the SAP system including approximately 100,000 clients, 30,000 suppliers and 40,000 banks. This data represents the extent of testing run by the dbh compliance solution. The SAP compliance plug-in requires the following: a screening designed as reasonably as possible in order to minimise legal and business risks. The AL-KO modular plug-in is configured to work quickly and easily using its own customising tables. SAP modifications are not necessary while adjustments, among other things, are made based on existing user exits and business add ins. All customer, supplier and bank master data is first screened in (file-based) batches and new installations and modifications are made thereafter on a daily basis. SD orders and SAP MM module orders are screened synchronously (web service based) particularly with respect to modified address data in the document header or at item level. SUCCESS STORY AL-KO In case of problems, the Compliance Officer is sent information via email. All relevant screening results are clearly displayed on the central compliance monitor; locked information may be forwarded elsewhere if so desired. A flexible and individualised way for client porters to screen visitors was also implemented. The result The functions and requirements of the Advantage Compliance SAP plug-in were developed at a seminar to meet the needs of the company’s own AL-KO SAP system. The server installation (including the test phase) was completed within a day. After creating a short extension to meet customerspecific requirements, it was possible to use the SAP plug-in via the AL-KO SAP development system so that AL-KO could run the screenings autonomously. Since August of 2010, the AL-KO Group has had a fully automated solution for the complete screening of address data using updated anti-terrorist lists.
