Position Description Title Proposal and Clients and Markets Coordinator Reports to: Advisian Executive Consultant Advisian Executive Consultant Client Relationship Managers Working Relationships Advisian NZ Team Clients and Markets Director Local and Regional Support Staff Purpose The role of the Proposal and Clients and Markets Coordinator is to lead opportunity management and initiatives which support the sustainable growth and success of the Branch. The primary focus of the role is to support ‘winning work’ by coordinating the development and production of proposals. The second level focus is to achieve the local implementation of marketing and business development activities, as guided by the APAC Clients and Markets team. Key Objectives and Accountabilities Proposal Responsibilities Coordinate end-to-end opportunity management process for opportunities Proactively review relevant tender websites for applicable opportunities and communicate to relevant internal parties Review Request for Proposals/Tenders (RFP/RFT) documentation, develop compliance matrix, assign writing responsibilities and establish schedule for input; Work with technical team/ management to identify Value proposition and bid strategy Provide specialised expertise in the development and production of bid content, managing timelines, visual standards and brand proposition. Copywriting, ensuring proposal clearly captures Advisian’s value proposition, differentiators and addresses the evaluation criteria and Client requirements; Facilitate proposal reviews and obtain approval to submit in accordance with Delegation of Authority Arrange for final submission to customer Coordinate Win/ Loss feedback process, ensuring feedback is communicated to team and lessons are captured Produce reports on bid costs, success metrics, facilitate feedback loop for future submissions and provide recommendations for improvement P a g e |1 Last updated <date> Engage and motivate staff to enter accurate opportunity and assignment related information into relevant systems/databases Other Clients and Markets Activities Apply Clients and Markets initiatives to local branch, primarily in the areas of Opportunity/Pursuit Management, Account Management, Client Feedback, and Marketing and Communications Proactively support the growth and success of Key Accounts; provide administrative support to the Client Relationship Manager and Advisian Team in all areas of the Account Management Framework, including: Organising team meetings Taking minutes, driving follow up actions Prepare reporting on financial results Research and Intelligence Developing presentations and other sales enablement materials Support Executive Consultant and local team in all administrative areas including: Coordinating events such as Client functions and conferences Assist with travel and accommodation coordination and booking Provision of effective word processing, document formatting and document collation, ensuring Advisian standardisation of all written communication formats Updating and maintenance of required systems, e.g Customer Relationship Management Tool Champion the Evaluate Client Feedback process to drive best practice behaviour for seeking and sharing client feedback, be the contact for entering feedback into the Evaluate Database Facilitate new and existing staff to maintain an up-to-date, professional and accessible CV in the relevant repository Support content development for Location specific marketing material, liaising with the APAC regional Clients and Markets Team Skills and Competencies Required Exceptional written and verbal communication skills Previous experience in editing submission, reports and marketing materials Project management skills Manage and implement change Ability to work well in a high pressure environment and ability to manage input from multiple stakeholders to meet deadlines Working knowledge of marketing principles and practices Advanced skills in Microsoft (Word, PowerPoint, Excel and Outlook), Visio an advantage Proven ability to build relationships and influence effectively at all levels Strong research skills Team player Ability to adapt to changing requirements, deadlines and expectations P a g e |2 Last updated <date> High attention to detail and level of confidentiality Qualifications & experience Degree qualified in a related area preferred Minimum 8 years professional experience including experience in a similar role (experience in professional services environment highly desirable) Exposure to government tendering requirements and procedures (desired but not essential) P a g e |3 Last updated <date>
