For The Practice IT Administrator

Please read this whole document and ensure that you understand it. If you have any
questions please contact the Reckon® Support Team for assistance.

This software release includes all Corrections since Release of the April 2015 Release
but any scripts that were for this release also have had to be run and also includes
some new functionality.
•
This update will guide you through running the version control and installation of
software for 2015.04 Service Pack.
•
Below is a guide on which sections of these instructions to follow:
o If your practice does not use the B2B Windows Service – please ignore Part 2,
3 and 4 of the Installation Instructions.
o If your practice does use the B2B Windows Service – please ignore Part 2, 3
and 4 of the Installation Instructions, as this software has not changed.
o If your practice does not use the B2B Windows Service but is going to install it
as part of this update the complete Installation Instructions document needs to
be performed.
•
This release of Tax Management and its incumbent Version Control may invalidate the
Checksums of currently “Locked or Signed” tax returns. We recommend that you file as
many of these returns as possible prior to this release being run.
After the installation of this release any returns that remain at “Locked” may need to be
returned to “WIP” status and then relocked to create a new checksum.
Unfortunately we are unable to identify which locked or signed returns will be affected
by this install, and therefore we leave it to the discretion of the Tax Administrator which
returns to re-lock.

If you have additional databases these will also need to be upgraded. (If you are not
familiar with this term then it is more than likely that you do not have additional
databases. If unsure please call the Reckon® Support Team for assistance).

It is our experience that engineers have various methods of installing software in a
Terminal Services environment. Therefore, we leave it to your engineer’s discretion
which method is used. We at Reckon® use Add or Remove Programs or Programs
and Features or Install Applications on Remote Desktop to complete all our installs and
uninstalls.

Practice Management Version 9.1.5 plus hot fixes.
If using Office 2007 then Office 2007 Service Pack 1 (minimum) must be
installed.
Microsoft Access Runtime 2007.
.NET Framework Version 4.0 fully patched.
MS SQL2005 is the minimum tested specification for Practice Management
version 9.1.5 plus hot fixes.
MS Server 2003 including 64bit or MS Server 2008/2008R2 including 64 bit
fully patched.
Reckon recommends all Windows Updates are installed regularly.
Further reference should be made to the Reckon APS environment specifications, a copy of
which can be viewed from the Reckon website www.aps-advance.com or requested via the
Reckon support team [email protected].

Before You Begin
NOTE!
1.
Ensure that no users are logged into Reckon APS during the
installation.
Database Backup
IMPORTANT!
Please BACKUP your data file (normally called APS_DSQL) before
continuing with this install. If additional databases are being used these
also need to be backed up.
Microsoft Access Runtime
This release supports Microsoft Access Runtime 2007 and 2010.
Support by Microsoft for Office 2003 (including Access 2003) reached the end of its life in April
2014. Any issues found relating to this version will not be investigated.
If your practice is using Access Runtime 2003 you will need to upgrade as soon as possible.
Microsoft Access Retail or Runtime 2007 or 2010 is also a prerequisite for practices intending to
utilise the TMNZ Integration. Please refer to the information on TMNZ Tax Pooling Integration
further in the document.

Prerequisites
Do not proceed with this installation unless your database is set to the correct versions.
Practice Management Versions
Practice Management software Version should be 9.1.4.1 or higher for this installation. The
DataTables Database version number should be 9.1405 or higher. If you need to upgrade
please speak to a Consultant or Support person about upgrading.
These instructions assume that your Database is set to the following versions or higher.
To determine whether or not your database is on the correct versions, proceed with the
following steps:
1. Log in to Central Login
2. At the bottom of the application list double click on About Advance®
3. Look for the following lines which display the Advance database versions:
DataTables Database: 9.1405 or higher.
TaxNZ: 9.4029 (plus Corrections since Release and scripts)
TaxNZ-XPA: 1.0002 or higher
XPA: 9.3000 (This version number is not relevant for this update).
XPA-PM: 9.3000 (This version number is not relevant for this update).

IMPORTANT!
This will be the last release that PM 9.1.4.1 will be the minimum prerequisite. Please ensure to upgrade to at least PM 9.15 as soon as
possible.
TMNZ Tax Pooling Integration
The Use of Money Interest calculator (UOMI) has been re-written and now includes integration
with Tax Management New Zealand (TMNZ). This integration allows users to obtain a quote for
tax credits from TMNZ and then purchase these credits.
A prerequisite for practices intending to utilise the TMNZ Integration is Microsoft Access Retail
or Runtime 2007 or 2010.
B2B Windows Service
NOTE!

The following pre-requisites only apply if you are planning on installing
the B2B Windows Service for the first time (and it has not previously
been installed).
B2B Windows Service functionality includes the installation of a Windows Service. This Service
must be installed on a server or PC that is kept running at all times.
The pre-requisites for B2B Windows Service are as follows:
(Please refer to Appendix I for guidance finding the versions)
• Windows 2003 Server SP2 or newer, Windows XP SP3 or newer.
• Microsoft Data Access Controls (MDAC) 2.6 or newer.
• .NET 4.0 or higher

Upgrading the Database
Part 1: Copying the Version Control
The following process is an administrative function only and must be done from a workstation
that has, at least the runtime version of Microsoft Access® installed.
IMPORTANT!
Do not proceed unless your database versions are correct.
Do not proceed unless a backup of your database has been made.
In the instance that the database needs to be restored, any work carried out since the backup
cannot be recovered. It is important that users exit Reckon APS® during the backup process
and remain logged out for the duration of the database upgrade.
Step 1: Location
1. Download the software from the link in the email received.
2. Extract the contents of the downloaded Reckon_APS_TaxManagement_April2015SP.zip
file.
3. Using Windows Explorer go to the extraction location.
4. Click on the Tax Management 2015.04 SP folder
5. Click on the Reckon APS folder.
6. Click on the Version Control folder.
7. Copy the ‘vNZTax_94035.mdb’ file.
8. Paste into the C:\Adv2000 folder on this PC or to the directory in which Tax Management is
installed.

Part 2: Running the Version Control
IMPORTANT!
DO YOU HAVE A BACKUP? IF NOT DO IT NOW!
NOTE!

The database upgrade process is only carried out once and is not
required to be run on each PC.
If for some reason you have any problems running the version control please
call the Reckon® Support Team immediately.
DO NOT allow staff back into Reckon APS® until you have spoken to the
Reckon® Support team. NEVER attempt to re-run the Version Control.
You are now ready to run the version controls which will upgrade your database.
Step 1: Process
The Tax Management version control performs database updates for both Tax Manager and the
Tax Returns band in Central Console.
This version control will upgrade your database to Tax Management Version 9.4035.
1. Go to the C:\Adv2000 folder where the vNZTax_94035.mdb was copied earlier.
2. Locate and double click on the vNZTax_94035.mdb.
3. Click OK if the SQL database version is 9.4029. If it is a different number please phone the
Support Team for assistance.

4. The following Version Control screen will open.
5. Click Start.
6. Click OK to the question confirming a CURRENT BACKUP has been taken (because this
was done earlier!).
7. The following progress box will appear and it will advise once the upgrade has been
completed successfully, click Close.

IMPORTANT!
Once the vNZTax_94035.mdb version control has been run, it is never run again.
Troubleshooting
Note:
If during the version control upgrade you get a message like the one below, please stop
immediately, take note of the error number and message and also the entry that is in the title
bar of the message box. Once noted, click OK, then restore the backup of your database.
Before restarting please contact the Support Team for assistance.

Part 1: Installation of Application
IMPORTANT!
The installation instructions covered in this section need to be completed on
EVERY workstation or Terminal Server running Reckon APS®.
It is important to exit all Reckon APS® applications before the installation of this
software.

7. The Setup Wizard screen will open click Next to begin the installation.
Click Next to continue the install. If C:\Adv2000 is not the correct location click Browse to
choose the location where Advance is installed.

8. Click Next to start the installation.
9. The installation will progress.

now please continue with Parts 2, 3 and 4 of the Installation Instruction section of this

Part 2: B2B Windows Service - Database Setup

If you have installed B2B Windows Service prior to this update, go to Part
5 - Terminal Server Users.
If you do not wish to install B2B Windows Service, go to Part 5 - Terminal
Server Users.
If you are installing B2B Windows Service for the first time, start at Step 1
below.
Step 1: System and User Settings
The Windows service runs once a day after the initial connection and download of data. The
time is set in System and User Settings.
1. From the Applications list open the System and User Settings console.
2. From the View Settings menu choose System.
3. Highlight E-FILE in the left hand panel.
4. The B2B Agent Increment Start field on the right hand side is where the start time needs to
be entered for the Windows Service.
5. A time between 02:00 and 07:00 needs to be entered into the field.
6. Click on the X to close.

Step 2: E-File Application
To log into the IRD’s database the Windows service needs to use a login name and password
that is used for ‘Look at Account Information’. These are stored against the Tax Agent details.
1. Open the E-File application and go to Settings > Agency Details.
IRD login details need to be stored against each agency.
2. Enter the Username and Password of a user in the Practice who uses the IRD LAAI website
function. (This would usually be the Tax Administrator
Please note: The IRD servers only accept passwords of 10 or fewer characters for this
connection. If your password is more than 10 characters please log on to the IRD Website
and alter it before entering it against the agency record.
3. Tick the field for ‘Location is Active for Agent B2B Data’ for each agency against which the
login and password is entered.
4. Click on OK to save changes for all Agencies
5. Click Close when all updates are complete.

Step 3: JOE Administration
There is a page in the Tax Returns band that shows when the Windows service has connected
to the IRD. JOE Admin rights need to be given to a user or profile so that they may view this
information.
1. From the Applications List, under System Administration Consoles, double click on the
Option for JOE Admin.
2. Highlight a Profile or User.
3. From the View menu choose JOE Rights.
4. On the left hand side highlight the Compliance Administration folder.
5. On the right hand side double click to put a tick beside ‘View Allowed’.

Using Windows Explorer go to the extracted location.
Click on the Reckon APS Tax Management 2015.04 folder
Click on the Reckon APS folder.
Click on the B2B folder.

Double click on Setup.exe (Please use the setup.exe, rather than the .msi, to install the
software. The setup.exe will check for the required .NET runtime prior to commencing the
software installation.)

6. The set up will now commence, click Next.
7. Click Next to continue the install. We recommend that the default location is used.
8. Click Next to start the installation.

11. The software would have installed to C:\Program Files\Advanced Professional
Solutions\Advance Tax IRD B2B Request Manager if the default location was used.
12. Confirm the correct version is installed by going to:
Start > Control Panel > Programs and Features.
13. Confirm the version number for ‘Advance Tax IRD B2B Request Manager’ is 13.1.0.
Step 2: Connection File
NOTE!
Only complete this step if this is the first time installing the Windows Service.
Otherwise go to Part 5 - Terminal Server Users.
A connection file (aps.acf) needs to be copied into the location where the Advance Tax IRD
B2B Request Manager was installed.
1. Copy the aps.acf file from the C:\Adv2000 folder of a PC that is currently running Advance.
2. Paste it into the C:\Program Files\Advanced Professional Solutions\Advance Tax IRD B2B
Request Manager folder.
If you have more than one database that is used to process tax returns put a copy of the
aps.acf file, which is used for each database, in this location. The aps.acf file needs to be
the file used for each database as the content of the file is specific to each database.
Each file needs to have a different name but the .acf extension must remain the same.

Step 3: ODBC Connection
NOTE!
Only complete this step if this is the first time installing the Windows Service.
Otherwise go to Part 5 - Terminal Server Users.
IMPORTANT!
The server which the Windows Service has been installed on MUST have an
ODBC Connection to the SQL Server.
To verify the server has a valid ODBC Connection run the Configuration Test in Step 4 on the
next page.
If the Database Connectivity in the Configuration Test shows an X or ? once the test has
completed, please refer to Appendix II for instructions on how to create an ODBC Driver.
Step 4: Configuration Test
NOTE!
Only complete this step if this is the first time installing the Windows Service.
Otherwise go to Part 5 - Terminal Server Users.
1. Using Windows Explorer locate the C:\Program Files\Advanced Professional
Solutions\Advance Tax IRD B2B Request Manager folder.
2. Double click IRDServiceConfigurationTest.exe.
3. Click on the browse button at the end of the ‘Select database file (ACF)’.
4. Choose the aps.acf file then click Open.
5. Click on the Test button.

6. If the test is successful green ticks will appear to the left of Database Connectivity, Proxy
Detection and IRD Connectivity.
7. If an X or ? appear against any of these tests, please contact the Reckon® Support Team
for assistance.

Step 5: Start Windows Service
The Service now needs to be started.
1. Go to Start > Control Panel > Administrative Tools > Services.
2. Highlight the service called Advance Tax IRD B2B Request Manager.
3. Right click and choose Start or click on ‘Start the service’ to the left of the Service name.

Part 4: Verifying B2B Windows Service Connection
NOTE!
Only complete this step if this is the first time installing the Windows Service.
Otherwise go to Part 5 - Terminal Server Users.
1. Log into Advance as a user that has rights to the IRD Activity Log, as set in the JOE Admin,
refer to Part 2, Step 3.
2. Double click on Compliance Administration.
3. Click on the Tax Admin band in the bottom left hand corner.
4. Click on the IRD Activity Log page.
5. Log transactions will appear, however if nothing appears please contact the Reckon
Support Team.

Part 5: Terminal Server Users
NOTE!
It is our experience that engineers have various methods of installing software
under a Terminal Services environment. Therefore, we leave it to your engineer’s
discretion which method is used. We at Reckon Limited® use Add or Remove
Programs or Programs and Features or Install Applications on Remote Desktop
Server to complete all our installs and uninstalls.
Please follow the Installation Instructions Part 1 section of this document to install the software
on your terminal server.
When the Tax Management Installation has been completed the aps_t.mde file needs to be
copied to each users’ home directory replacing the existing file. This file can be copied from the
ReckonAPS\Tax\Support folder of the downloaded software.
Confirming Version Numbers
This section must be completed as it confirms that the Tax Management software has been
installed correctly.
The new versions should be:

1. From the Central login screen open 'Tax Manager’.
2. Go to Sys.Admin then the About tab.
3. Check the following versions are correct as listed below:
Tax Application Version 9.4.1-05 – (aps_t.mde)
Database Version 9.4.0-35 – (SQL database)
NOTE!
1.
Terminal Server Users
When confirming the version numbers above please ask a couple of users on
the network to verify these versions. This will confirm the installation has been
successful.
If the Tax Application Version is not 9.4.1-05, this usually indicates the users’
home directories have not been updated with the aps_t.mde file. Please refer
to the Terminal Server Users section for instructions.

JOE Administration Update
Practices that use the B2B Windows Service which downloads IRD Transactions need to reassign the rights for the JOE settings below. This is a task that the Tax Administrator would be
responsible for.
The settings below were previously under Applications / Tax Returns / Ledger and Applications /
Compliance Administration / Tax Admin / IRD Transactions. They will now only reside in the
location below and the rights will affect the console ledger in each area of the software it is
used.
If an external IT Engineer installed this software upgrade please forward this information to the
Practice Administrator to perform.

Appendix I – B2B Windows Service Pre-requisite
versions
There are three third party software products which have specific pre-requisites for the B2B
application to run successfully. These are the Windows operating system, the Microsoft Data
Access Controls (MDAC) and the .net version.
The instructions below will assist with the determination of these version numbers.
How to find the Operating System Version
1. Click on the Windows Start button.
2. Right click on Computer and choose Properties from the menu.
3. The Operating System version is listed at the top
Microsoft Data Access Controls (MDAC) Version
If the Operating System is Windows 2003 Server SP2 or newer, Windows XP SP3 or newer, the
MDAC version will be correct.

In a Windows 7 environment this will be listed in Programs and Features.

1. Go to Start -> Settings -> Control Panel -> Administrative Tools -> Data Sources (ODBC).
If your server or workstation is 64 bit the 32 bit version of the ODBC connection setup
application needs to be used.
Launch this application from C:\WINDOWS\SysWOW64\odbcad32.exe.
Do not use the 64-bit version accessed from Start -> Control Panel -> Administrative Tools
-> Data Sources (ODBC).
2. Select the System DSN tab and click Add.
3. Select SQL Server and click Finish.

4. Type the fields as shown, but replace ‘Your Server Name’ with the name of your SQL
Server instance.

Select the radio button ‘With SQL Server…..’
Change the Login ID to be Admin
Leave the Password field blank (i.e. no password)
Click Next
10. Sometimes when you click Next, you may get a message similar to the one below. It will
take a while to come up as the server is trying to connect but fails.

11. If this happens click OK and then click the Client Configuration button.
The default selection is to use TCP/IP however, depending on how the server has been
configured on the network, may mean that this option will not work.
12. This setting can be changed to Named Pipes. (Please discuss with your IT Engineer).
13. Change the Server Name to that of your sql server
14. Click OK
15. If this still does not work, check the server name has been typed correctly in this field.
16. Once the connection has been established click Next.
It is extremely important that the settings “Use ANSI quoted identifiers” and “Use ANSI nulls,
padding and warnings” are not ticked if you use Advance Tax.
17. Remove all ticks.
18. Click Next

Usually the Perform translation for character Data is ticked.
19. Remove all ticks and click Finish.
20. Click ‘Test Data Source’ to verify that the connection to the SQL environment is successful.

21. Check the result is ‘Tests Completed Successfully’.
22. Click OK and keep clicking OK until you are back at the initial screen.
23. Close out of the Control Panel.
