Clubhouse rental includes the dining room, screened-in porch, outdoor deck and upper deck area. Guests are able to move freely throughout the various dynamics of your event. Setup in the Clubhouse can begin no earlier than 4:00pm, and the event must end no later than 10:30pm. You are permitted a 30-minute grace period after the event ends to collect all décor and vacate the clubhouse. If this grace period is exceeded, you will be charged for each additional hour. This applies to all caterers and musicians as well. A $500 non-refundable deposit is due at the time of booking. Music set up outdoors must end no later than 10:00pm due to noise restrictions. The club has final authority over all musicians and entertainment with regard to volume and professionalism. Seating: The Clubhouse and screened-in porch accommodate up to 125 people standing comfortably, can seat up to 115 people without a dance floor and up to 95 people with a dance floor. Current seating included in price includes seating for 96 guests (44 indoors, 40 on the deck and 12 on the upstairs deck). The following areas are included in rental, but are not covered and are, therefore, not suitable for use during cold or wet weather: The Upstairs Deck holds up to 50 people standing comfortably and seats up to 40 people. The Outside Deck holds up to 100 people standing comfortably and seats up to 80 people. Restrictions on setup time are limited at The Crossing and can be done up to one day prior to the event during business hours. The event must end no later than 10:00pm. You are permitted a 30-minute grace period after the event ends to collect all décor and vacate the area. If this grace period is exceeded, you will be charged an additional hour. Due to noise restrictions in the neighborhood, all bands and/or DJ’s must be done playing by 10:00pm. Seating: The Crossing can accommodate up to 200 people comfortably. Please note the area is not covered and therefore not suitable for use during cold or wet weather. The clubhouse may always be used as a backup plan for inclement weather. Tent Rental: Tent rental is accepted at The Crossing, but is not included in the rental price. The Plantation at Stono Ferry neighborhood allows signage to be posted at street corners along the path to the site. You are responsible for cleaning up these signs after the event is over. Does the Club offer transportation to the ceremony site or reception? Yes. For $50 per cart, we offer shuttle service via golf cart from the parking area located near The Crossing to the event site for the duration of the ceremony. Our carts hold up to four passengers at one time. Alternate forms of transportation include (outside) rental of a horse and carriage or multi-passenger golf carts. How long can the reception last? All guests and members of the party are required to be off the site (with all décor) 30 minutes after contracted end time. Are there any musical restrictions? Due to neighborhood noise restrictions, any outdoor event must be finished by 10:00 pm. What time can my ceremony begin? This will depend on site availability and season. Typical ceremony times are: November through March at 5:00pm, April through October at 5:30pm or 6:00pm. Do you provide chairs at the ceremony site? Ceremony chairs should be rented from an outside vendor. You can have them deliver the chairs to the site the evening prior or morning of event. Please make arrangements for rental company to pick up your ceremony chairs the morning after the event when it is daylight. This must be done before 9:00am. Can I have a specialty drink at the reception? Yes, however, our bartenders must prepare the beverage during or prior to the event. The beverage must contain ingredients included on the bar package of choice or any inferior packages. No outdoor liquor is permitted on site. What happens if it rains? The Clubhouse can always be used as a back-up venue for all occasions. We also allow tents to be posted on the driving range. How do I book my event with The Plantation at Stono Ferry? Once a deposit is received, your date will be booked. Q: Q: Q: Q: Q: Q: Q: Who will be present at the venue the day of my wedding? A Venue Coordinator will be present the day of the wedding. Often times the duties of the Venue Coordinators are confused with the Wedding Coordinator on the day of the event. The Venue Coordinator’s responsibilities pertain to your experience at the venue: showcasing the venue, consulting your food and beverage choices, carrying out your setup needs, and formalizing your final invoice. On wedding day, their focus is delivering their contracted services: ensuring the venue set up is accurately (tables and chairs), the food (if in-house) and beverages are served appropriately, and that tear down happens seamlessly. Do you allow outside wedding planners? Yes. Wedding planners are strongly encouraged but not required. A “Day of Wedding” Coordinator is available on site. What is the timing for a ceremony rehearsal? If the ceremony is held at The Crossing, your rehearsal time must be coordinated with your event coordinator as to not overlap other booked events. If the ceremony is held at the Crossing or the Retreat, there are limited rehearsal time restrictions. Are dogs permitted on the grounds? Pets are welcome outdoors at The Crossing and The Retreat but not allowed in the Clubhouse. Is there adequate space for parking? We have a parking lot available for guests at the Clubhouse. Parking for events held The Crossing is along the street with the option of shuttle service. Parking for The Retreat would use the Clubhouse parking lot with the option of shuttle service. How many weddings do you allow on site in one day? There is only one wedding rental allowed on site each day. This includes all three rental locations. If there is inclement weather the day of the event, the Clubhouse will always be available for a covered alternative. Are outside caterers allowed? Yes. The caterer must be a licensed professional. Your Event Coordinator can provide a list to choose from if needed. Caterers are responsible for all dinnerware and trash removal at the end of the night. This list suggest recommended vendors, but you may bring in any outside vendor as long as they are a professional, licensed company. If any vendor should need to rent a table from the Club, $10 will be added to your contract. *Caterers – Caterers may only use our kitchen for warming purposes and food preparation as our on-site kitchen is very small. Any equipment missing from the kitchen will be the responsibility of the renting party. Friends/Relatives may not use the kitchen. All caterers are responsible for providing dinnerware, napkins, and all trash removal from the property at the end of the evening. Golfing Benefits Included with your booking, your wedding party will receive two free rounds of golf to be used the weekend of your event! Speak with your event coordinator about setting up day-of tee times, bachelor or bachelorette parties, etc to receive special group rates and entertain your guests while they are in town! Ask your event coordinator for pricing. 13 The Plantation at Stono Ferry | Weddings & Events | 4812 Stono Links Drive, Hollywood, SC 29449 | 843-847-1607 On-Site “Day-of-Wedding” Coordinator On-Site “Day-of-Wedding” Coordinator Ceremony Only $300 | Reception Only - $500 | Ceremony + Reception - $750 The “Day-of-Wedding” coordinator is ideal for brides and grooms who want to do most of the planning themselves, but when their wedding day arrives, they need a professional to orchestrate all of their hard work. The best advantage of hiring an on-site coordinator is that they know the venue inside and out and understand your wedding expectations from the day of your very first visit. Duties Include, but are not limited to, the following: • Unlimited phone and email consultations • Pre-wedding meeting with bride and groom to develop timeline for wedding day • Ceremony Rehearsal Coordination (up to 2 hours) • Ceremony and Reception Coordination (up to 6 hours) • Execute the Wedding Day timeline, as provided by the Bride & Groom • Review and confirm timing of events with all vendors • Oversee vendors commitments and make sure they’re fulfilled to your standards (table setup, programs, menus, escort & place card setup, gifts & favors, etc...) • Ensure that all floral arrangements are distributed to the correct bridal party members • Manage the timing of your events with family wedding party and guests (i.e. escorting guest to appropriate areas, gathering wedding party for photos, etc...) • Assure that the appropriate photos are taken by the photographer (if necessary) • Cue services for the ceremony (musicians, bridal party, etc...) • Cue all services for the reception (entrance, dances, toasts & exit) • Assure that all items necessary for your event are in place (toasting glasses, guests book, etc...) • Assist you and your family with any matters that may arise NOTE: For “Day of Wedding” Coordination Service, the bride will take the responsibility of booking the vendors and confirming commitments with the vendors (Florist, caterer, DJ, etc.) The coordinator will carry out the duties based upon the bride’s planning and information provided. Please sign and return this agreement to the Event Coordinator. After you have secured your date with a signed contract, adjustments to the guest count, bar packages and rental equipment can still be made. Deposit The Plantation at Stono Ferry requires a $500 non-refundable deposit, due on the day of booking. Your deposit can be credited toward your event if all procedures are followed correctly. If your deposit is not received on the day of booking, your reservation will be cancelled and the Club will have no further obligations under this agreement. Payment The total cost of the event as stated on contract is due two weeks prior to the event, once a final headcount is established. If the payment is not received, the Club has no obligation to continue with the event. If any additional fees are applied after payment is received, such as damages to the property or time extension, the party will be billed a final invoice once the event is completed. Payments can be made in installments of your choice prior to the event. Cancellation Cancellations and postponements are handled on a case-by-case basis. Please note: the initial deposit received to hold the date of the event is non-refundable in every case. Guest Count The final price of the event is based on your guaranteed number of guests. The projected number of guests stated on the contract will be used unless the Event Coordinator is notified otherwise. A minimum number of guaranteed guests is due one month prior to the event, and any additions can be made up until the final payment is due, two weeks prior to the event. If a head count at the event verifies that more guests are in attendance than stated on the final contract, the party will be billed for the additions. Beverage Service The Plantation at Stono Ferry will be the sole provider for alcoholic beverage services. The Club holds a liquor license granted by the state of South Carolina, and our staff is trained in the proper service of alcoholic beverages. Responsible beverage service includes not serving anyone who the Club (in its sole discretion) deems intoxicated or who is under the age of 21. The party understands and agrees to abide by these policies and to uphold the laws of the state. Inclement Weather In case of rain, the clubhouse will be the back-up venue for all outdoor activities, including wedding ceremonies. 15 The Plantation at Stono Ferry | Weddings & Events | 4812 Stono Links Drive, Hollywood, SC 29449 | 843-847-1607 Event Application Outside Vendor Information The Plantation at Stono Ferry does not assume any responsibility or liability for wedding planner services. The Venue Coordinator, on property for the event, is there to serve the needs of the Club and not those of the bridal party. If you wish to deem the Event Coordinator responsible for preparation, decoration or breakdown, a service fee will be applied to your contract. The Plantation at Stono Ferry provides a list of preferred vendors and their contact information. If the party prefers another vendor aside from this list, the party or planner must submit the vendor’s name and credentials to the Event Coordinator at least 30 days in advance of the event for approval/denial. Please provide any and all outside vendors with the Club’s list of Policies and Procedures and the event contract, as the party is responsible for the services or damages of their outside vendors. You agree to hold harmless the Club, employees and affiliates from any and all claims, actions, suits or allegations for damages to persons or property which relates or pertains in any way to the event. Further, you agree to indemnify the Club for any and all costs or losses which may be incurred by the Club as a result of such claims. The times of the rental are to be respected by the outside vendors. Make sure your vendors know that arrangement of the clubhouse cannot be done until 4:00pm the day of the event, and breakdown must be complete 30 minutes after the end of your event to avoid an addition hour charge.
