Student Intranet
You can access the UCOL student intranet at http://student.ucol.ac.nz to find the most up to

Outstanding Fees
All fees are due to be paid in full by the first day teaching starts. Students who have not paid
all of their fees (including outstanding library fines or other debts with UCOL) will not be
eligible to graduate. See Academic Statute.
Computer Suites
The computer facilities provided by UCOL are available to every enrolled student. Your
password is the key to your account. Never share your login and password details with
anyone else. You will also be held responsible for any activities that take place under this
account name. Further information about computer use at UCOL can be found on the
Information Technology page. See Computer Use Policy.
Student ID Cards
Your student ID card helps you access certain rooms, borrow library equipment and other
important functions. You can obtain your ID card from the Information Centre.
Printing and Photocopying
Printers and photocopiers are operated from your student ID card. The cost of using them is
deducted from your account. You can top up your credit at the Information Centre and check
your balance at http://student.ucol.ac.nz/MoneyMatters/Pages/Print-Credit.aspx.
Internet Access
Instructions for internet access at UCOL are available at http://connect.ucol.ac.nz.
Car Parking
Car parks are provided for UCOL students and staff only. For Palmerston North car parks, all
vehicles must be registered and display a current year UCOL car parking sticker. This sticker
can be obtained at the Information Centre. Further information is available on the Car Parking
Information page.

Recognition of Prior Learning (RPL)
Recognition of Prior Learning (RPL) acknowledges what you have learned from other
programmes and qualifications, life experiences, work experiences, training programmes and
workshops and measures this against the requirements of the programme you are enrolled
in.
You can be awarded credit towards a qualification if you can satisfactorily demonstrate that
your prior qualifications and experience reaches the required standard. You should apply
within two weeks of starting the course. See Recognition of Prior Learning Procedure and
Recognition of Prior Learning Application Form.

Health and Safety
We all have a responsibility to maintain a safe, healthy work and study environment. See

Smoking, Drugs and Alcohol
For the safety and well-being of yourself and others, UCOL has policies regarding smoking,
drugs and alcohol.
Smoking is not permitted on any UCOL campus or facility. This smoke free policy applies 7
days a week, 24 hours a day. See Smoke Free Policy.
You may be excluded from class or any UCOL activity if a staff member considers you are
under the influence of drugs/substances. This may lead to suspension from your programme
and even to having your enrolment cancelled. The Police may be notified of any illegal activity

related to the use or possession of drugs or substances. See Drug Free Campus and Substance
Abuse Policy.
You may be excluded from class or any UCOL related activity if a staff member believes you

Withdrawal
Before you decide to withdraw from your programme, you should talk to staff on your
programme. Remember, if you are having difficulties with your programme there are ways
UCOL can help you. If you do decide to withdraw, you must complete a Change of
Circumstances Form. These can be obtained from the Information Centre.
Fee Refunds – Domestic Students
The rules for fee refunds if you withdraw are outlined in the Admission & Enrolment Guide
and Student Fee Refund Procedure.
Fee Refunds – International Students
Please refer to the International Student Fees and Refunds Procedure for more information

Whanau Room
All three campuses have a whanau room or marae facility. The whanau room is a space for
all UCOL students, where principles of whānaungatanga, whakaruruhau, oranga, akonga,
matauranga and hapainga I te reo Māori me ona tikanga are fostered and nurtured.

Welcome
Welcome to UCOL. Our aim is to make this course as enjoyable, interesting and instructive as
possible, without losing sight of your ultimate success in gaining skills and qualifications
suitable for your career as a Science Laboratory Technician.
Our staff are here to help you to achieve success in all subject areas but to be able to plan
ahead and give you this help they will require your cooperation and effort.
At UCOL the learning is your responsibility.
The New Zealand Diploma in Applied Science (Level 5) programme is designed to enable you
to gain the knowledge and skills that will make you immediately useful and productive in an
initial career position as a science technician.
This student handbook is designed to give you an outline of the programme and the rules
that govern its operation.
As you continue your studies towards the New Zealand Diploma in Applied Science (Level 5),
it is assumed that you have read this guide and are familiar with its contents.
The New Zealand Diploma in Applied Science (Level 5) notice board is in the corridor of the
Laboratory Block (Block 6 Floor 2). Notices and any changes will be posted there as well as
personal communications.

Lectures
To introduce new material, present basic principles and to set the basis for further discussion
and self-directed learning. You should always attend lectures so as not to miss the
introduction to new topics and ideas.
Practical’s
Practical’s (lab work) is a large part of the learning and assessment of this programme. You
will have the opportunity to master lab skills by observation, simulation and practice.
Attending lab sessions means that you will develop lab skills proficiently and grow in
confidence. Failing to attend labs means risking not completing the programme.
There are important health and safety requirements for working in labs and you are expected
to comply with all notices and guidance from the lecturer.
Tutorials
These are timetabled sessions when material previously taught is revised and discussed, and
you are able to get individual assistance. Attendance at tutorials is usually voluntary.
Study Time
Papers generally have five hours of timetabled class time per week.
Additional to this you will need an equivalent time of study for the reinforcement and the
understanding of the subject and for the completion of assignments and preparation for
assessment.

Attendance
In a tertiary setting, you are responsible for your own learning, and this means that you must
use every opportunity to gain the maximum learning each teaching session provides.
You are expected to attend all timetabled sessions for each Topic.
A high level of attendance is required if you wish to benefit from the programme. Starting
times are clearly stated and you are expected to be on time for all classes.
Lateness to any class is disruptive and inconsiderate, particularly to your fellow students. You
are encouraged to arrange appointments and personal business outside course times. If you
are aware of an unavoidable absence in the future, please tell your lecturer beforehand.
An explained absence means you will be provided with help and the opportunity to complete
and catch up missed work. Unexplained absences mean you may be contacted by phone and
offered help to resolve any problems you may have. Continued unexplained absences of more
than one week could mean the suspension of your student allowance and/or loan
entitlements.

Aims
The aim of this programme is to provide students with theoretical and/or technical knowledge
within a range of natural and physical sciences for employment and/or progression to higher
level qualifications.
Graduation Requirements
Students must achieve all credits to be eligible for the award of the New Zealand Diploma in
Applied Science (Level 5) qualification.
Compulsory Academic Requirements
Not applicable.
Off-Campus Learning
At times your lecturer may wish to take the class to an exhibition or workshop that will be
beneficial to your learning and creative development.
UCOL has systems in place to ensure your safety and welfare.
Any documentation related to the safety of the off-campus activity will be forwarded to you
prior to the event.

Health and Safety
Introduction
It is the intention of the New Zealand Diploma in Applied Science (Level 5) to achieve and
maintain a safe, healthy work and study environment for all of those involved in its
operations. To meet this objective UCOL will:
 Ensure that managers and supervisors recognise their obligations to the occupational
health and safety of all persons under their direction in our workplace.
 Ensure compliance with the Regulations, Standards, Codes of Practice and the
provisions of applicable UCOL and National Policy and Legislation.
 Provide the information, instruction, supervision, training, retraining and education
necessary to enable all staff and students to carry out their tasks in a way that minimises
the risk of injury or illness to themselves and to others.
 Ensure that all premises, means of access, plant, equipment, vehicles and processes are
designed, constructed, maintained and used with regard for health and safety.

Health and Safety Responsibilities
Heather Grady is responsible for the management of health and safety matters within the
programme.
All staff and students are responsible for ensuring that they work in a manner which is safe to
themselves and to others, and must comply with the requirements of UCOL, Faculty and
programme health and safety policies, procedures, guidelines, codes and standards.
It should be stressed that students must follow health and safety guidelines at all times. You
are asked to read the relevant parts of UCOL, Faculty and programme health and safety
policies, procedures, guidelines, codes and standards.
All students must be familiar with and abide by UCOL’s Safety and Emergency routines.
You are not permitted in the laboratories unless a Lecturer or a Technician is present.
Lecturers will advise you of laboratory health and safety routines at your first class.
The Faculty Science Laboratory Safety Manual is available on line and you will be given a talk
on laboratory safety.
Students and staff must work within the Health and Safety in Employment Act, so all students
must observe all safety regulations. Students must wear appropriate safety clothing and
footwear during practical classes and use safety equipment. If you refuse you will be asked to
leave the class.

Laboratory coats must be worn when handling chemicals, bio-chemicals and microorganisms.

Shoes covering the feet must be worn (i.e. no jandals or backless shoes).

Goggles must be worn when handling hazardous chemicals and/or using specific
equipment.

Safety procedures for handling and disposal of chemicals, biological and radioactive
material must be strictly adhered to.

All accidents/near accidents must be reported to and be recorded by the Lecturer. This
information is used to prevent the same accident happening again.
When in doubt, ASK!
If you have a health problem please advise UCOL when you enrol and make sure staff who
work with you are aware of your condition and know what to do if you need help.

Chemical, solvent and glassware stores; Technician preparation rooms.
Fire Prevention
The value of routine checking that electrical equipment, gas taps etc. are turned off, and that
doors to rooms and staircase are closed, cannot be overemphasised. You are reminded that
smoking is not permitted on any UCOL campus or UCOL owned or leased facility, which
includes:



All buildings, including balconies
All outdoor areas on site including UCOL designated car parks
Vehicles owned, leased or used for work purposes by UCOL

Programme Materials and Costs
General requirements:
Scientific Calculator (cell phones are not permitted as calculators in exams).
Covered foot wear for all labs.
Hair-net or hair ties for long hair in labs.
Stationary (pens, pencils, ruler, paper etc)
Laboratory coats and safety glasses are supplied.
You should bring your own stationery although many classes also provide manuals to work
through. A calculator is important for some subjects.
You pay for your own personal printing on campus, plus personal stationary, pens,
computer discs, calculators etc.

There are no required textbooks for this programme
Staff Studios
Most lecturers can be found in the Staff Studio (Room 3.1.01) when not teaching. To contact
a lecturer outside of class times either send them an e-mail or leave a phone message ()

Conduct During Assessments
During your study, you are expected to observe and comply with the Academic Statute and
all programme regulations. Plagiarism or cheating is not tolerated. Academic dishonesty
includes:






Copying from or inappropriate communicating with another person during an exam
or assessment
Possessing any unauthorised material during an exam or assessment
Submitting any work for assessment that is not your own and whose author has not
been acknowledged
Copying another’s work
Collaborating with others in the preparation of material, except where this is an
assessment requirement
Resubmitting work without prior written approval of the lecturer
Turnitin, or a similar programme, may be used to determine whether you have committed
academic dishonesty. Also, see Conduct of Examinations and Assessments Policy and Conduct
of Examinations and Assessments Procedure.
Part VIII of the Academic Statute outlines the disciplinary proceedings that apply should you
breach these rules.
Extensions
Extensions for an assessment can only be granted prior to the assessment due date in
exceptional circumstances. These circumstances may include:



Sickness – in which case a medical certificate must be presented to the lecturer.
Bereavement – in which case the lecturer must be informed as soon as possible.
Extenuating circumstances – these circumstances must be explained to the lecturer
and proof may be required.
An application for an extension must be submitted to your lecturer in writing using the
Appendix 2 – Request for Extension form at the back of this handbook. It can also be made in
electronic form via email which must include all the information required by the form.
You will receive notification of the outcome once your lecturer has reached a decision.
Extensions will be for seven (7) days only unless stated otherwise.
Where an extension has been granted, and the extension deadline has been met, no penalties
will apply. Your assessment will be marked and feedback provided in the same way as if the
assessment was submitted on the original date and time.

Penalties for Late Submissions
The following conditions apply to all late submissions of assessments that do not have an
approved extension:





All assessment work received after the due date and time, and not subject to a
lecturer-approved extension, will attract a penalty.
The penalty for late submission is the deduction of 10% of the mark achieved for each
day beyond the due date for submission.
The penalty is applied for a maximum of five (5) days.
An assessment received after one week from the due date for submission will be
returned unmarked and a zero (0) grade will be entered.
No late submissions may be accepted after marked assessments have been returned
to students, unless it can be determined that there will be no advantage to the student
submitting the late assessment or disadvantage to students who have submitted the
work on time.
Reconsideration of Results
If you believe that your assessment has been incorrectly assessed, you can apply to your
lecturer for a reconsideration of result within five (5) days of the return of the assessment.
You must apply in writing using the Appendix 3 – Request for Reconsideration of Result form
at the back of this handbook. You may be charged a fee for this process.
Your result may be unchanged, raised or lowered following reconsideration. The
reconsidered result will be recorded as the final result. However, you still have the right to
appeal this result in accordance with the Academic Statute.
Resubmits and Resits
An application for a resubmit or resit must be submitted to your lecturer in writing using the
Appendix 4 – Request for Resubmit/Resit form at the back of this handbook. It can also be
made in electronic form via email which must include all the information required by the
form. You may be charged a fee for this process.

Special Passes
If through illness, accident, bereavement or other exceptional circumstances beyond your
control, you are unable to complete an assessment or programme, you can apply for a Special
Pass.
The four types of Special Passes are:




Aegrotat Pass: awarded when you are unable to present work for assessment at the
time it is due, you are unable to attend a test or examination, or your performance is
seriously impaired in a test or examination.
Conceded Pass: awarded when you have otherwise reached an acceptable standard
in the programme but have narrowly failed one course, thus affecting your ability to
complete the qualification.
Conditional Pass: awarded when you have marginally failed to meet the required
academic standard but in all other aspects have demonstrated an ability to meet it.
Restricted Pass: awarded when you have marginally failed to meet the required
academic standard for the course and, if awarded, does not qualify you to enrol in a
subsequent course/programme for which a pass in the original course is a prerequisite.
If you are interested in requesting a Special Pass, contact your lecturer. Programme
curriculum regulations and other conditions may apply.
Academic Appeals
The academic appeals process is outlined in Part IX of the Academic Statute.
Inability to Meet Programme Requirements
Under certain circumstances, an individual study contract may be drawn up to encourage you
to meet programme requirements. Any failure to meet this contract may result in you being
asked to leave the programme.
If you have a serious health problem or other personal circumstances that impact on your
ability to meet programme requirements, please inform your Lecturer.
Remember, if you are having difficulties with your programme there are ways UCOL can help
you. If you do decide to withdraw, you must complete a Change of Circumstances Form.

Student Responsibilities
Academic Responsibilities
All students at UCOL are expected and required not to do any one or more of the following
things for any examination or assessment:






Copy from or inappropriately communicate with another person.
Possess any unauthorised material such as books, printed or written paper, electronic
material or any other material.
Plagiarise the work of another without indicating that the ideas and/or words are not
the student’s own.
Collaborate with others in the preparation of material, except where this has been
approved as an assessment requirement.

Non-academic Responsibilities
All students at UCOL (whether on UCOL premises or at a UCOL activity off campus) are
expected and required to behave at all times in a reasonable and lawful manner in the
circumstances.

To observe all UCOL health and safety rules.
To treat all people (whilst on UCOL premises or at a UCOL activity off campus),
including UCOL staff and students, in a lawful manner in the circumstances and with
respect and consideration.
To attend UCOL course activities and tuition without the influence of alcohol and/or
unlawful substances.
To take reasonable care not to damage or destroy UCOL resources and to use all UCOL
resources in accordance with UCOL’s directions.
Not to harass any person whilst on UCOL premises or at a UCOL activity off campus.
Not to discriminate against any person in a way which is unlawful.
To act in a manner that maintains your well-being and that of other staff and students
at UCOL.
