PAYROLL INFORMATION for Dakota, Hennepin & Washington County youth Timesheet Information The crew leader will keep a record of youth’s hours each two-week pay period. Youth must sign in and out each day they work. Youth will not be paid for hours that are not recorded on their timesheet. At the end of each pay period, the crew leader will total the hours worked, and the youth and crew leader will both sign and date the timesheet to verify the total hours. The crew leader will submit the timesheet to the Tree Trust office. Youth must sign in and out each day worked and sign/date the bottom of the timesheet to verify the total hours worked in the pay period. Failing to do this can cause delays in receiving a paycheck or direct deposit. The crew leader and counselor can help youth fill out their timesheets to ensure they are paid for all of the hours worked. Please remember: Youth are not paid for hours not worked. For example, if you are sick, have an appointment or are on vacation, youth will not be paid for the days/hours they miss. If youth are absent, the crew leader will write "ABSENT" on the timesheet as a reminder that youth did not work. Youth are not paid for the July 4 holiday. Wage, Evaluation and Raise Information YCC participants earn $7.25 per hour when they start. Supervisors will complete a work performance evaluation for each youth worker and submit it to Tree Trust in July. Youth will be evaluated on several criteria including attendance, attitude, following directions and ability to stay on task. These evaluations are used in consideration of a raise for the youth. Youth who successfully demonstrate good work habits can earn a raise of an additional $0.25 an hour that will take effect in July. Paycheck and Direct Deposit Information Tree Trust offers the option of a mailed paycheck or depositing wages into a bank account if the youth signs up for direct deposit. To enroll in direct deposit, the youth will need to complete a Direct Deposit form, attach verification from the bank and fax or mail it to Tree Trust. Bank documentation needs to verify the account and routing numbers. Acceptable verification for Direct Deposit includes: A voided check for a checking account; OR A withdrawal slip for a savings account; OR A letter or document from the bank that verifies the account and routing numbers The account must be in the youth’s name. Youth cannot have their check deposited into a parent’s account. Youth who choose direct deposit will be mailed a voucher that shows the same wage and tax information as a paycheck stub. Paycheck Deductions All youth have Social Security and Medicare taxes deducted from their paychecks. They are listed on the check stub as “Emplye OASDI” and “Emplye Medicare” and equal 7.65% of total earnings. Youth use Form W-4 to indicate if they want to have state or federal income taxes deducted from their checks. Missing or Lost Paychecks It is the youth’s responsibility to notify Tree Trust when they have moved or if a paycheck is addressed incorrectly. Failure to notify us of address changes will cause checks to be delayed. Tree Trust mails checks every other Thursday. If a check has not arrived by the following Wednesday, call Tree Trust at 952-767-3880 and ask to speak to someone in the Finance department. If a youth loses a check, they should contact the Tree Trust office immediately. We will stop payment on the check and issue a new one. There is a $20 fee for reissuing a lost check. If a youth finds a lost check at a later date, it must be returned to Tree Trust. Youth will begin work at 8:00 AM and work until 4:00 PM (in most cases). Youth are assigned to A Crew or B Crew. A Crews work every Monday and Tuesday and every other Wednesday. B Crews work every Thursday and Friday and every other Wednesday. See calendar above and schedule below for the work schedule for your crew. Hennepin & Minneapolis A Crew – starts 6/17, ends 8/14 Hennepin & Minneapolis B Crew – starts 6/20, ends 8/16 Dakota & Washington A Crew – starts 6/24, ends 8/20 Dakota & Washington B Crew – starts 6/20, ends 8/16 Summer School If youth are attending summer school they must notify the program coordinator PRIOR to the start of the program – summer school schedules do not typically work with the crew work schedule. If youth are not able to work their scheduled hours as a result of summer school, we will typically put their job offer on hold until they are finished with summer school and are able to work every day as scheduled. Attendance - Missing Work Attendance is a critical part of the work experience and is tracked. Violation notices that result from poor attendance or unexcused absences become part of the youth’s permanent file with Tree Trust. If a youth will be late or will not make it to work they MUST CALL 952-767-3880 by 9:00 AM to be excused . Unexcused absences and excessive excused absences will result in violation notices and may lead to termination. Short-Notice Absence (illness, family emergency, transportation issues, etc.) If youth cannot come to work on a day they are scheduled, they must call the Tree Trust office at 952-767-3880 before 9:00 AM. They can leave a message prior to 8 AM or speak with a staff person after 8 AM. When calling, the following information must be provided slowly and clearly: 1. Youth’s full name (spell the last name) 2. Youth’s telephone number 3. Youth’s crew leader's name 4. Three violation notices will result in termination. Scheduled Time Off (vacation, camp, appointments) Because the Summer Youth Employment Program is relatively short in length, we only allow for up to one work week of scheduled time off (up to three consecutive work days). If youth needs more time off than what is allowed they may not be allowed to continue working. Please contact the program coordinator to discuss the options. Call the Tree Trust office at 952-767-3880 as soon as the dates of absence are known so that youth can be excused for those days. Make sure the following information is provided: 1. Youth’s full name (spell the last name) 2. Youth’s telephone number 3. Youth’s crew leader's name 4. The days youth will be absent and for what reason While youth should also inform their crew leader about scheduled time off dates, youth MUST notify the office in order to be excused. Late to Work/Leaving Early Youth are expected to be at the work site and ready for work by 8:00 AM, and they will work until 4:00 PM (in most cases). If a youth is more than 15 minutes late or leaves more than 15 minutes early, without having called in, they may receive a violation notice. Excessive late arrivals/early departures, excused or unexcused, may also result in violation notices. Breaks Youth get three breaks during their eight-hour work day. The crew leader is authorized to give a morning and afternoon break and an approximately 20-minute lunch break. The crew leader is responsible for choosing the times at which the breaks are given. If a youth chooses not to take a break when it is given, the break is forfeited.
