Although, we have tested it to some degree of satisfaction, any software by nature of what it is and due to inherent complexities resulting from combination of resources it depends on, is never error free. This is where you, the end-user, can help tremendously by providing feedback. So please feel free to share your thoughts by providing not only bug-reports but also feedback so that the software can improve and grow in the future. In case of problems with the website, it would help greatly if you could attach a screen capture of the error message to the email message (instructions are given below). Getting a Screen Capture: If you have a single display, press the Print Screen button (usually found on the top right corner of your keyboard). If you have dual displays, then bring the window to your main display and then press the Print Screen button. Open a new mail message in Outlook, right click on the body of the mail, select paste and then email to [email protected]. If not using Outlook (i.e., web based interface) you will have to paste the image in a Word Document, save it, attach the file to a new mail, and then email. Button Purpose Stations Status Report Displays the main screen for access to all the stations (details are given in a later section). Displays the main screen for accessing individual status report for each station (details are in a later section). Displays a list of all students who have registered for the selected ERD and their status with respect to individual stations (details are given in a later section). Same as above but only students who have checked in are displayed. All Students Checked in Students Only Academics Walk Ins Hourly Stats Displays academic approval status of students by major (details are given in a later section). Displays a list of students who walked in on the current ERD (this could include students who have registered for a future ERD or a prospective new student). Displays charts of hourly statistics for check in and check out stations. 4 Online Tracking Application Early registration Day Stations Page Stations page displays a button for each of the 7 stations in addition to a button to check-in and check-out. Please type in either a student’s name or the ID to search for a student from the list of ERD candidates. You must select a student before you can go any further from this page. 5 Online Tracking Application Early registration Day Search a Student To search for a student, please type in either a student’s name or the ID to pick that student from the list of ERD candidates. If the student is found, his or her name will show up in a popup list as shown below. Select the correct student by clicking on his/her name in the popup list. The status of the selected student will be displayed in as shown below. Status of the student contains following details: Name of the Student, ERD Date, Major, and whether the student is cleared by Fiscal Affairs or not. This student has successfully checked in and out of all stations and also cleared by Fiscal Affairs. A green button (as shown above) indicates that this student has been cleared by Fiscal Affairs. 6 Online Tracking Application Early registration Day The figure above shows the status of a student with the following status: who has already checked in successfully checked in and out of Placement Test station. checked into two other stations (Academic Advising and Fiscal Affairs) but not yet checked out of those stations. pending clearance by Fiscal Affairs. 7 Online Tracking Application Early registration Day Adding a student If the student you are searching is not found you can add that student to the list Click the add a student button above. The popup window shown below will be made visible where you can enter the name of the student to search in the Jenzabar database. If the student is found you can pick the name from the list and add that student to the ERD list. If the student is also not in the Jenzabar database then you will have the option to add that student to the ERD list as a new student (see Figure below). However, this student needs to be officially processed by Admissions to be considered for candidacy. 8 Online Tracking Application Early registration Day Checking status of each Station Once a student is selected you must first check in that student if he/she hasn’t been checked in already. The color of the button indicates the current status of that student at the selected station checked in and checked out not yet checked in checked in but not yet checked out Exempt status Below the stations, detail specific to that station is displayed: the time the student checked in/checked out and by whom the time student spent at the station. any comments/notes indicating details about the student specific to that station. 9 Online Tracking Application Early registration Day Checking In and Out Every student must be checked in and out of each station. The cyan In button and pink Out buttons are made available based on the status of each student. To check in a student click the In button and to check out click the Out button. Although, all users can view these pages, only the station administrators are authorized to check a student in and out of each station. Station Comments/Notes You can add any number of comments for each of the 7 stations that may be relevant to the selected student by entering them in the comments box as shown below. Comments are displayed in descending chronological order (latest first). 10 Online Tracking Application Early registration Day Students with Exempt Status Under special circumstances a student can be tagged as exempt from checking in and out of one or more stations. ERD administrators will be able to tag these students using the dialog window shown below at the check-in station at the time of checking in. Once tagged as exempt, these students are considered cleared from those stations and indicated by a blue button instead of a green button. The exempt status is also displayed in the status window as shown on the right. 11 Online Tracking Application Early registration Day Certain stations you could also identify missing/required items from a list of choices (see samples for three stations below). Fiscal Affairs is responsible for clearing a student. Please note that a checked box indicates that the student is missing that particular document. 12 Online Tracking Application Early registration Day Status Report Page This page displays station status for each of the 7 stations. It includes a column chart that shows the number of students, who have checked in, checked out, cleared, and not yet checked in. In addition, a table is provided that summarizes these counts along with average processing time at each station. 13 Online Tracking Application Early registration Day 14 Online Tracking Application Early registration Day All/Checked-in Students Pages These two pages display a list of all students who have registered for the ERD and those who have checked in on a specific ERD. The list displays the following: Checked-in, Checked–out, and Cleared counts. Students and their respective station status (whether checked-in, checked-out, and cleared). Clicking on the student’s name displays more details as shown below (on left). The last column of this display indicates the cleared status of each student. Fiscal Affairs is responsible for clearing students. Students who are cleared both Academically and Financially are ready to attend CU for the target year and term of their choosing. Clicking on the notepad icon displays any comments/notes specific to that student and station 15 Online Tracking Application Early registration Day Academics Page This page allows faculty to check the status of students in their respective departments and approve their planned course work. In order to see a list of students in a specific major please type the major name in the input field. As in searching for students, a popup list displays majors that match your search criteria. Select the major to get the list of students. The list displays the number of courses that student has registered with respect to transaction status (pre-registered, current, or registered) and whether the advisor has approved the courses. The last column indicates the status of academic approval. In this example, all the counts are 0 since these students haven’t registered for any courses. Clicking on the name of a student displays student’s course schedule as of that day. 16 Online Tracking Application Early registration Day Walk-Ins Page This page displays a list of students whose ERD is not current. This includes those students whose ERD is in the future and those students (possibly prospective students) who just walked in on that particular ERD. A green button indicates students who are here today and already checked in. Walk In students are identified by the text “walked-in” under the Target ERD column as shown below. 17 Online Tracking Application Early registration Day Hourly Stats Page This page displays charts of hourly statistics of checked-in and checked-out stations. 18 Online Tracking Application Early registration Day Logout Click the Logout link to logout of the system. After 15 minutes of inactivity, you session will expire automatically and you will be logged out. If the session times out and you get logged off automatically, simply log back in to continue. 19
