I was introduced to Ms. Monika Leedom roughly 1 week after orientation and learned of your knowledge of our systems and tools used to extract and prepare reports. It didn’t take me long to realize that Monika was an individual who is passionate about her work and how the data she would spend time extracting would be used. She asked deeper questions to ensure my needs would be met and deadlines for when the information was needed. These are all features of a good employee, however Monika didn’t end there. When asked about her work and tools she needed to get things done, she responded quite differently than others I’d encountered with staff. She answered she was content for now, but was supportive regarding the improvements which were coming. She was confident in her abilities to execute her work around items she didn’t have today. “Professionals make it look easy, right?” but I’m paraphrasing her remark. Monika’s sense of focus and passion towards excellence is a model to me. In my 4 months I’ve learned that she has a light that shines although some around her may see only darkness. She has no issues with being held accountable for her deliverables or actions, as few as they may be. I’ve listened to her thoughts on innovation related to how we collect, monitor and deliver data. I’ve witnessed her interactions with others, both in her department and with the executive team and viewed professionalism, confidence and camaraderie. Her ability to partner for results doesn’t take an effort and is usually accompanied with a smile. Her explanations to me and others are clear and complete. She always seeks understanding as well as to be understood. The first word that comes to mind when I think about this valuable colleague is “chameleon”. From starting out in a smaller office and graduating to do almost any task there, the nominee became a part of a larger practice through a merger of the two and quickly distinguished herself there as well. Over her 18 years with the organization, the nominee has provided direct patient care, researched billing codes, entered charges, financially counseled patients, managed through regulatory issues, organized parties and annual meetings, helped prepare annual budgets and offered advice on process improvements. To manage all these tasks and maintain her sanity, she demonstrates extraordinary organizational skills and maximizes every minute to get more done than most. Another word that comes to mind is that of lifelong learner. This nominee actively seeks any and all opportunities to continually expand her skill set as a way of to better support her organization and keep herself engaged in and excited about the world around her. When writing this nomination, it was very difficult to decide which of the IntegraMed Shared Values to focus on as Andrea truly exemplifies all of them. Outlined below are examples of her commitment to Patient Focus, Teamwork, Excellence, Innovation and Partnership. HEROES of ART! Andrea joined the Heartland nursing team just over a year and a half ago. In this short time she has touched many hearts and has impacted many lives, patients and staff alike. Her East Coast twang and her warm welcoming smile make her a pleasure to spend time with. Whether chatting about weekend plans with a colleague, or counselling a patient after a miscarriage, Andrea always has an open ear and makes time for anyone who needs it. Andrea’s focus and impact on patient care is best demonstrated by the following of patients she has who drop into the clinic with the hopes of catching her for one of her famous hugs and some words of support and encouragement. Both of which are always felt to be sincere. Staff and patient morale improved significantly with Andrea’s arrival. Being hired with no assisted reproductive technology training, Andrea will admit that jumping into this field was a big challenge. She took on this challenge eagerly and very efficiently. She has never hesitated to ask the why’s and the how’s, as well as the why not’s. She continually strives to better herself, as well as our team and our practice with her inquisitions and curiosity. She collaborates with all of the disciplines within our program and has brought some of her own past nursing experience into daily practice. In exchange for education and training in assisted reproductive technologies, Andrea has provided our team invaluable lessons in counselling, listening and at times, patience from her days at the Crisis Stabilization Unit where she worked at a Mental Health Nurse. This skill set has enabled Heartland employees to provide better care for our patients, as well as for each other. The latter especially as we work in a field where most days the bad news outweighs the good. Caring for the caregiver has been an important lesson that Andrea has taught. It is strongly felt that Andrea deserves to be recognized as a Heart Award Employee for the reasons briefly mentioned above as well as too many others to list here. Despite her personal challenges throughout these past 18 months, Andrea has given our clinic’s patients and staff her full and wide open heart. She joined Procrea Clinics Montreal in 2002 and since then she gained experience in three different departments. She works in Andrology, in the laboratory of prenatal screening (Prenatest later on Combitest) and currently she is the contact person for the test Combitest while working simultaneously in the IVF laboratory. Valerie is a senior embryologist as well who performs all embryology techniques ease, helps to train junior embryologists and helps her supervisors Isabelle and Linda in the daily operations of the embryology laboratory. She also responsible for the coordination of the egg donor program from Spain a task that requires good planning and excellent patient’s skills. Patients appreciate her empathy and gentleness. Valerie is a great communicator who is able to simplify technical and medical information in terms that patients can easily understand. Her colleagues appreciate her kindness, her constant willingness to help, always with a smile. She has remained true to Procrea even in the most difficult times when the number of patients was almost impossible to handle. Some of her past colleagues left the company leaving behind a small team who had to serve a large number of patients. Through this difficult period Valerie kept her cool, gave support to two departments without ever complaining about her long working hours that could reach 12 hours per day in an environment of constant concentration. Marie-Ève’s brain never stops working reflecting all the time how to find solutions for everything. She often comes into my office to tell me about the ideas she had during the night or while taking a shower. Suggestions to improve our working methods in customer support, transmission of information to patients or on how to inform colleagues and physicians of the best working practices. Marie-Eve does not count her working hours and often works at home instead of profiting from her time off. She even forgets to note overtime hours. She is always willing to help in times of need. On her days off she gladly accepts to come to work to help if another employee misses work. Her primary goal is to provide the best to our patients. Extremely compassionate to our patients, this is why patients are so appreciative and grateful to her. She takes her role as coordinator of the egg donation program seriously. To facilitate the care of her patients Marie-Ève developed clear working protocols to avoid any misunderstandings while she is absent. She works extensively in collaboration with our psychiatrist and our medical director to make the best decisions possible in order to offer quality service. This nurse is always striving to meet the requirements of our patients. What matters to her is that they are satisfied with the service received and that their dreams come true as they had imagined. Tomieka joined RPMG approximately 1 year ago with a background in management/ retail sales. She had no past medical experience except as a consumer. She wanted a career change and our Beverly Hills office needed help. We offered her the position as Beverly Hills office manager on the condition that she would learn the basics of Mysis, Artworks and understand all of our fee schedules in one month. If she did not complete those requirements, her employment would be terminated. She learned it all! After the successful completion of the training she began working in the Beverly Hills office. Her predecessors, two in the past year, each having lasted no more than 2-3 months, had left her an office staff leery of leadership but she came in, settled down and took control. She not only worked closely with our physicians and staff, but the special difference that she brought to her position is her client/patient focus and the partnership with the patients. She takes accountability for not only her actions and responsibilities, but for the entire office. She has earned the respect of the staff and physicians because, as Harry Truman had as a plaque on his desk, “The buck stops here.” As an example there have been several incidents with patients where her customer service and patient focus skills have not only resolved the issue, but also kept the patient in the practice. We at RSC Bay are blessed with talented, compassionate, loyal and caring staff in every department. When asked to recognize just one person who exemplifies our values it was a hard choice and the list was filled with Stars. Mala’s star shone brightest because in the end we couldn’t figure out which value to nominate her for! She uniquely displayed so many of the values we covet that it became clear she needed to be nominated. The practice physicians unanimously embraced her nomination. Ultimately we nominated her for TEAMWORK but much more needs to be said. Mala started working for RSC Bay 15 years ago as a Patient Services Specialist. She demonstrated a high degree of customer service excellence, both externally with patients and internally with staff in all departments. She quickly learned our business and applied her talents showing an affinity for using VISION and ArtWorks. Over time she became the “go to” person for helping her co-workers learn and use these applications. No one asked her to assume that role. She did so instinctually and became “the practice resource”. Years later she formally became the Practice Applications Specialist. She was the perfect “superuser”. Approachable, articulate, able to transcend most user roles, a problem solver and most importantly always with a friendly smile and can do attitude. Today she continues supporting the entire practice, maintaining all our VISION and ArtWorks applications (schedules, templates, pulldown menus, reports, interfaces, SART data integrity), trains every new employee to the practice, handles complex patient surgery scheduling, and is our physician credentialing coordinator. That’s a diverse role with many unique skill sets. She also makes sure the physicians are all well taken care of, looking out for them and their schedules. Yes she is the consummate TEAM PLAYER always willing to help and assist. Everything she does is with the singular purpose of improving the PATIENT EXPEREINCE. She is a perfectionist who holds herself ACCOUNTABLE for everything she touches. We all rely on her and her striving for EXCELLENCE makes us all better. We couldn’t think of anyone in the practice who better embodies the value of INTEGRITY. When Mala speaks she does so with impunity. You never question her motive. For me, Heather is the obvious choice for this award. The person that answers the phone, greets the patients and manages to keep everyone in the waiting room happy is the “face” of our practice. Heather manages to keep people informed as to their wait time, makes sure they are happy while waiting and then wishes them well as they leave. In essence, she personalizes each person’s visit. Aneta is a medical assistant in our practice at SIRM-NJ. Despite being a relatively new employee, Aneta impressed me from the start. My instincts told me that she was one of those employees that would go “above and beyond” her typical responsibilities. Aneta is a kind individual who has a comforting persona upon first encounter. This is a critical personality trait in an infertility practice, as many of our patients are anxious. When I observe her interact with these patients, she immediately has a calming effect. It not only is good for the patient, but this then permeates throughout the rest of the practice. Nothing is too much for Aneta. Whatever task she is asked to complete, it is done efficiently, thoroughly and with a smile. Often times, she does more than expected, for example, reminding me of previous testing that might be pertinent, as well as future plan for particular patients. This is very helpful for me being a single physician in a busy practice. Another quality that I admire about Aneta is her ability to adapt to change. On our recent conversion to our new electronic medical record, Aneta, embraced the process, learned it quickly, and had really become a champion in the office with regard to the ultrasound /electronic medical record interface. I have had the great pleasure of working with Raifa Zody since 2007 when I joined the Sher Institute. She deserves to be recognized for her hard work and leadership. Her embryology staff works very hard, but she never asks any of her team to work any harder than she herself does. Whenever there is extra work in the lab that needs to get done, she volunteers to do it so her team can get a well-deserved break. She is the person who runs to the lab at midnight when an incubator alarm goes off to make sure all is well with our previous embryos. She is the one that watches embryos a bit longer than she has to just to make sure that every embryo gets the chance it deserves to foster a pregnancy. She is the one that stays late in the evening hours searching for a few moving, healthy appearing sperm amidst the very poor TESE samples we often have to work with. Jeanine has been at the Sher Institute - Central Illinois for 3 years. She has been the glue that has held our front office together through multiple transitions. She is kind and courteous to patients and always makes her best effort to help them and make them feel at home in the office. Her phone manners are impeccable. Noel Yates has been nominated for the Heart Award from the Sher Institute of St Louis Missouri. Noel has shown the shared values with her focus on patient care and teamwork. Noel has gone out of her way in assisting our patients in understanding their insurance benefits and also when a patient may have a question about their account. I have seen Noel take the initiative to assist the patient herself rather than having the patient wait to receive an answer when I may not be able to assist the patient at that moment. She is patient and kind and reflects the kind of patient service we strive for. I appreciate how Noel has stepped up to assist me when we had not been fully staffed and did not have to be asked to do so. She is willing to offer her time to help with training our new employees and I never heard her ever complain even if it was a long day. She is currently helping to cover her colleague who is out on maternity leave. Noel is a team player and for this I believe she is a great candidate to take part in the One Vision, One Mission III. Nakiea Wilkinson, Financial Counselor, has demonstrated excellence in two areas deserving recognition. The areas of excellence are Accountability and Teamwork. Nakiea was recently hired (03/02/15) into the SIRM Westchester office which employed off-site managerial structure. Nakiea assumed responsibility and became accountable to her office mates with respect to the appropriate handling of many “on-site” duties. An example of this is her organization of the purchasing functions of the office. She became accountable for the office supplies, interacting with internal personnel as well as with vendors as necessary. She also dealt with the property management office with matters related to the general upkeep of the work environment. Nakiea’s efforts demonstrate both Accountability and Teamwork. Jay Yoo has been an invaluable part of SRM for over 5 years as our IT manager. Jay epitomizes our shared values both in his everyday work and the dedication he shows to ensuring that SRM employees and physicians have everything that we need to take care of our patients to the best of our ability. Jay has continually exhibited and modeled the values of accountability, teamwork, innovation, excellence, partnership and integrity. The majority of Jay’s tenure at SRM has seen him working as the only onsite IT employee. If anything happens, at any time of day (or night), Jay is there to make sure it is fixed and operational as soon as possible. Jay has done an outstanding job with the SRM IT infrastructure as well as delivering significant cost savings by looking for the best solution available at the best price (he isn’t the cheapest guy on the planet, but he might be in the top 10). Jay’s work with the Home Office IT department truly emphasizes the value that he places on teamwork and partnership. One example that comes to mind is when SRM had a virus outbreak that created significant issues with accessing data and keeping our information up to date. Jay immediately began working with Home Office for solutions and was actively involved in creating a solution that both solved the problem, but more importantly created a system to protect SRM’s data for the long term. His willingness to explore options and accept the best solution no matter who proposed it has created an environment of teamwork that is unparalleled. Jay brings the value of accountability to a new level. When we say day or night, we mean it. Jay will do whatever it takes to ensure a smooth transition, no matter the project. Jay works to ensure that he is communicating what is happening, when issues arise, and when situations need outside expertise or just an extra pair of hands. Often times (like daily), our Administration Director will have computer problems (restart?), but Jay is always composed and treats both the situation and employee professionally and with respect for what that person is going though (even though he may want to wring her neck!). Jay does not just do that for our Directors and MD’s though, that is his demeanor for all of our employees. Temica has been with UNC Fertility since its inception in January 2013. She began as patient service representative primarily checking out patients. She has served as the practice’s front desk coordinator for the past year where she checks-in patients, leads all training for patient services staff, maintains the waiting room area and acts as customer service point person. On a daily basis, Temica demonstrates the patient-service orientation that UNC Fertility prides itself on. She is always extremely pleasant, professional and supportive with all of our patients. She is quick with a smile, a kind word or an expression of support toward our patients. Temica’s interactions with our patients appear to be more friend-tofriend than service provider-to-patient. She typically remembers all of our patients’ first names and they hers. She will often ask them about their family, job or something personal. As a result, our patients feel as if they are visiting friends, not a typical doctor’s office. In this way, she sets the tone that UNC Fertility is attempting to convey each and every day.
