Welcome to EAT@NEWCASTLE Event Catering. We provide refreshments for meetings, events and celebrations
on campus.
We regularly review our menus to introduce new products and welcome your feedback and suggestions.
If you would like to discuss your requirements, have a set budget or want something different we are happy to
help. Please get in touch and we’ll be delighted to help make your event a success.
We’ve identified vegetarian and gluten free options for your convenience. If you have specific dietary
requirements that aren’t met by the menus that follow please contact us on 0191 2086363 and we will do
our best to help. Please note that this may incur an additional charge.
No VAT will be charged on bookings made from within the University but please note that the prices quoted
are subject to VAT for all third parties.
All prices quoted include delivery and collection of your refreshments but do not include serving staff. This
service can be provided upon request for an additional charge.
Beverage Selection:
Please consider the number of guests attending your event when placing your order. People often enjoy
several hot drinks, therefore we recommend considering this when deciding on the quantities you require.
When we describe “a serving” this means a cup per person.







Sandwiches and Wraps:
It can be tricky to decide how much food you need for your event and how hungry your guests are likely to be! As a
result, we have selected a range of tasty bite-sized buffet items to complement your sandwich platters and crisps,
but if you prefer to design your buffet from our selection of bite-sized buffet choices we would encourage you to
increase the number you order as one item per person would not be enough.

Why not go large for an extra £1.50 per person?
Our sandwiches are made from freshly baked and sliced artisan bread with a selection of tasty fillings and we
assume one and a half sandwiches per portion (3 slices of filled bread which is then halved). If you go large you
get two sandwiches per person (4 slices of filled bread which is then halved)
We also have traditional sliced bread sandwiches and wraps as an alternative.
Please advise us of the proportion of vegetarian sandwiches you require when you make your booking.

Note: These buffet items are better suited to group bookings and we recommend that you order a minimum of 10 of any one item to
assist with the attractive presentation of your food.
Sharing Platters:
Our sharing platters are ideal for small meetings as a change from the more traditional sandwich lunch
options.
Each platter serves four people and is £20
Northumbrian Ploughman’s platter including:

Three local cheeses, cheese crackers, home pickled balsamic onions, celery, tomato,
spiced beets and pickles
Northumberland platter including:

Mini local lamb pasties, hand raised pork pie, roast chicken strips and local pork sausages
served with piccalilli and crusty bread
Vegetable antipasto platter:

A selection of sliced, whole and grilled fresh vegetables served with olives, sun dried
tomatoes, tzatziki and roasted red pepper houmous and strips of toasted pitta bread

Operating Hours
Our standard operating hours of Monday - Friday between 8am and 5pm. We incur additional staffing costs for events after 5pm,
at weekends or on Bank Holidays therefore a charge of £15 per hour per member of staff may apply. Please contact us for more
information.
Notice Periods for Bookings
Three working days’ notice is required as a minimum for bookings taking place during our standard operating hours. For events
after 5pm, at weekends or on Bank Holidays we require a minimum of seven working days’ notice.
We do understand that things can crop up at short notice so we will always endeavour to assist you with last minute requirements
but can’t guarantee availability.
Minimum Order Value
Monday – Friday during standard operating hours £10 per delivery
Final Numbers
Final numbers are required five working days prior to your event. If numbers reduce after this time you will still be charged. Please
see charges below.

We order well in advance of events so incur costs even if you cancel your event.

Payment
For internal bookings please ensure you have a Cost Centre or WBS element ready at the time of booking as no bookings can be taken
without this information.
If you are booking on behalf of an external client we need a purchase order from them, including full contact and address details
(including email address) in order to add them as a customer on the SAP system before we can take their booking.
Checking Your Order
When we send your confirmation it is your responsibility to carefully check all details about your requirements. We use this confirmation
as the basis for all of our preparation and ordering and cannot be held liable should mistakes not be picked up at the time of
confirmation.
Sale or Return
We offer sale or return on unopened bottles of wine provided they are returned to us within two working days of your event. Please note it
is your responsibility to ensure any returnable bottles are stored securely until collection.
Serving Staff
Serving staff are not provided unless requested at the time of booking. Please contact us to discuss price and availability.
Dietary Requirements & Allergens
If you or your guest have a food allergy or other special dietary requirement and would like specific information on the
ingredients of your delivered catering please contact us. Please be advised that we cannot guarantee that our food does not
contain traces of nuts.
Availability
Time slots are available each hour so we highly recommend that you book early to avoid disappointment.
Delivery and Access
Your requested delivery time is a guideline time and that we may need to deliver up to 45 minutes prior to your nominated
time.
It is essential that there is available access to the venue and that tables are provided for your catering booking. If we are not
able to access the venue to lay out your food we will be obliged to leave the packed crates outside the venue so that we can
meet our remaining delivery commitments.
Leftover Food
You are welcome to take any leftover food back to your departments but EAT@NEWCASTLE cannot be held responsible for
food hygiene after your event. If you do take food from the event please ensure it is not on our serving dishes or plates which
need to be returned to us following your event.
Post Event Collections
All items must be repacked into the crates provided and left in an easy to access location. You must notify us if this is
different to the delivery location. A charge of £25 will be applied if items are not repacked.
We endeavour to collect all items within 24 hours.
You are responsible for all crockery and serving dishes provided for your event. Any missing or damaged items will be charged
at full replacement cost so please ensure all items are repacked carefully.
Prior to making your booking there are some factors that you need to consider.

Book your room, ensuring it is suitable for delivery access and has enough room for catering as well as the rest of your
event. If we are not able to access the venue to lay out your food we will be obliged to leave the packed crates outside the
venue so that we can meet our remaining delivery commitments. Please remember that we may deliver up to 45 minutes
prior to your booked time.

Ensure that there are tables appropriate for catering and order them, along with any portering assistance you may need,
from ESS.

Think about the type of guests attending your event – this will help you work out the amount of food you require. We have
included portion guidelines in the following pages but it is important to consider how hungry your guests are likely to be.

Decide if you need serving staff for your event and, if so, please ensure you pre-book them with as much notice as possible.

For internal bookings please ensure you have a Cost Centre or WBS element ready at the time of booking as no bookings
