The role of State Sales Support provides central
administrative support to the State Partnerships Manager
and Team including financial reporting, liaison with partners,
diary management and support for partnerships events as
required.

Administration Support – 50%
• Operational support and assistance to the State
Partnerships Manager and Partnerships Executive in
relation to the management of $10k+ partnerships.
• Executive assistance to the State Partnerships
Manager including diary management, organisation of
meetings including creation of agendas and
preparation and circulation of minutes and actions.
• Starlight relational database (i.e. Cosmos)
management including ‘Super User’ responsibility.
• Liaison with the Starlight Enterprise Team regarding
state donors and fundraisers as required, including
review of the enquiry reports SET generate to identify
significant opportunities.
• Document construction and publication assistance for
the State Partnerships Team.
• Processing of donated goods and services.
• General banking procedures.
• Coordinate office induction for new partnerships team
members.
• Identify appropriate opportunities for volunteers
including supervision and support of the volunteers to
ensure they have a positive Starlight experience.
• Identify opportunities and implement process
improvement.
Financial Reporting – 20%
• Tabulation and coordination of weekly, monthly and
‘as required’ financial and operational reports
requiring an advanced understanding of financial
reporting and the functionalities of Microsoft Office.
• Collating and tracking cashflow, income and expenses
for State Partnerships fundraising activity.
• Data entry and financial support completed
accurately to support financial reporting.
Event management – 20%
• Operational event management for Starlight
cultivation and fundraising events.
• Operational event support for the Starlight Five Chefs

Account Management/Donor support – 10%
• Management of partnerships which require a low level
of face-to-face support.
• Outbound calls to donors (Follow up/ thanks).
• Demonstrated knowledge of Starlight Partnerships
and operational requirements.
• Timely, efficient and effective support and
communication to the State Partnerships Team.
• Completion of daily tasks in an efficient, accurate and
timely manner.
• Accuracy of financial and operational reports,
database entries and meeting minutes through the
use of both Microsoft Office and Cosmos database.
• Reporting requirements completed to deadline for
cash flow, variance reporting, budgeting and other
reports as required.
• Special event management and support delivered as
needed.
• Exemplary use of the English language both written
and verbal in the preparation of documents and
communication with Partners.
• Positive feedback from both team members and
Starlight Partners.
• Constructive suggestions and recommendations made
on process improvement in relation to both the
administrative and operational functions of the role
and implementation of agreed improvements.
• Prioritising the administration needs of the State
Partnerships Manager and Team and balancing
competing priorities.
• Completing reports in an accurate and timely
manner, collating data from various sources including
Cosmos database and Microsoft Excel.

Essential:
• Strong administration and organisational skills,
including the ability to prioritise work load.
Advanced knowledge and use of Microsoft Office,
including Outlook, Word, Excel and PowerPoint.
• Financial reporting and analysis experience.
• Excellent oral and written communication skills.
• Ability to work under pressure with minimal
supervision, whilst maintaining communication and
reporting lines.
• Demonstrated ability to work effectively in a small
and dynamic team environment.
• Driver’s license.
Desirable:
• Experience managing an office or in an EA role.
Essential:
• Database entry and records maintenance experience.
