WHAT’S NEW
You have received your log-in email and have created your password. Now you are on the “What’s
New” page of the extranet.
Here you will see updates and information that are new and important for you to know. We encourage
you to come back often to stay up-to-date.

PROFILE
To edit your profile:
1. Click on “My Courses” on the main menu:
2. Click on your name on the top right corner of the screen:
You will see four options on the left side menu. The first place you land is “View”. Here you see
your profile as it is displayed to the public on MHFA.ca.
3. To edit your profile, click on “Edit”:
Here you can update your contact information and biography as you like it. Note that you are not
required to list your organization or any other details you do not wish to include. To include a profile
picture, click on “Upload profile picture”:

Please choose the picture file from your computer you would like to include. It must be an image file
(.jpg or similar).
The name of the image you choose will appear in the box along with a message:
Remember, a profile picture is entirely optional and doesn’t necessarily need to be a headshot. Feel
free to leave blank or be creative.
At the bottom of your profile you will see all of your active course types and languages. These are set by
MHFA Canada. If these are incorrect, please contact us at [email protected].
To save your changes, click on “Save Changes” at the bottom of the page:
If you have a name change, please contact MHFA directly.
To create a new password:
1. To create a new password, click on the “Password” menu item on the left side of the page:
Enter your new password, then enter it again and save.
To translate your profile:
1. To translate the information, click on the “TRANSLATE” option on the left side of the screen:
You will note that the words all translate to French except for the content of your profile. Please
replace the English content with French and then save the translation:

Once complete, your biography will appear in French when searched on the French public site.

COURSES
To create a new course:
1. Click on “My Courses”
2. Click on “Create Course”
3. Choose the course type.
4. Choose the course language. Note that you may only choose the languages for which you are
active.
5. Choose whether the course is open to the public “PUBLIC” or for a specific group “PRIVATE”.

a. If private, enter the name of the host organization or leave blank
6. Enter the number of sessions you are providing (either consecutive days or half-days depending
on the course type)
7. Enter the date, start time, end time for each day of the course.
a. Enter any special notes for each day (IE: The doors will open at 7:45)
8. Enter the location for the course.

NOTE that the address must be complete so that it can be searched on the mhfa.ca website. It
must include a valid postal code.
a. If you do not know the exact location, you are encouraged to enter a postal code that is
central to the city/town/community where the course is being held.
b. The venue field may be left blank if required though more information.
c. If the address is not found, you will see an error message and be asked to confirm the
information.
d. If you know the address is valid and the site does not accept it, please contact
[email protected] and we will investigate further.
e. Special instructions related to the course venue may also be added.
9. Enter the course fee – this must be a number (zero ‘0’ is acceptable)
10. Enter the maximum number of participants (25 is the absolute maximum)
11. Enter any special registration instructions
a. For example “Please contact Bill to register for this course.”
b. “Please buzz 872 when you arrive to get in the building.”

12. Click on “Create Course”
Congratulations, you have created a course. Once created, you will land on the “View” page where you
can see the course as it will be displayed on the public website.

Once a course is created, you will see a menu of options on the left side:
If you click on “Edit” you will return to the screen where you can add/remove basic course information.
To delete a course:
1. Click on Edit on the left side menu:

2. Click on “Delete” at the bottom of the page:
To add a file to the course:
A file can be any hand out or administrative form you would like to include on the course listing. There
can be only one per course.
1. Click on “Files” on the left side menu.
2. Click on “Choose file”
3. Upload the file.
4. The screen will say that the file was successfully uploaded and the file name will be on the page:

5. To remove the file click on the blue “remove” button beside the file name.
To add additional instructors to the course:
1. Click on “Instructors” on the left side menu:
a. Here you can add instructors by typing their name in the space provided. If the person
is an active instructor for that course type, their name will appear.
b. To add that instructor, click “Add Instructor”
c. Please note the maximum number of instructors is based on the number of participants.
2. To remove the instructor, simply click on the “remove” icon next to their name.
To translate the course:
1. To make the course details appear in French on the public site, click on the “Translate” button
on the left side menu – the page will switch to French:

Any information that you entered in the “Notes” sections or “Registration Details” section will
appear in English.
a. You can replace the text with French text and click “Save”.
b. You may also add additional text on the French description that does not appear on the
English, and vice-versa.
3. Once translation is complete, click on the blue button to save your changes:

Managing Courses
When you are on the “My Courses” page, you can see a list of all upcoming courses:
On the right beside the course information is an icon that reads “Manage”:
When you click on “Manage” a drop-down menu appears:
You can “View” the course and it will appear as it does on the public site.
You can “Edit” the course to make changes to the dates, instructors, etc. or to delete the course.
Or you can “Duplicate” the course.
Duplicate a course:
When you duplicate the course, a new course will be created with all the same information as the
original. You will need to then “edit” the course to adjust any information (ie: dates, times, instructors,
venue).

Instructors will see a list of all relevant course materials by clicking on the “Course Materials” menu

There, you can sort the materials by course type for ease of use.
Both French and English materials are available on this page and it can be viewed in either French or
English.
