Start planning your trip You have received your quota*on. Once you have approval for the trip please contact us to check availability and reserve places. We will advise you of your deposit deadline date. Your booking is then held on a provisional basis. 2. Promote your trip Contact parents and ask your students to provide a non refundable deposit. If the tour is with a low cost airline this is also a good *me to ask them to confirm their names as per passport. We have materials you assist you should you require them, including risk assessment advice. 3. Book your trip Once we have received the deposits, flight names list and completed booking form, we will confirm your tour. 4. Tour planning Now your booking is confirmed you will be appointed a dedicated tour planner who will work with you to plan the perfect trip and support you from here onwards. Your final balance will be due 10 weeks before travel. 5. Your trip Have a great *me! However, should you need us whilst you’re away we have a 24 hour emergency sup‐ port line. Subject specific visits All suggested visits on our programme are subject to availability, we are unable to book visits prior to receiving a firm booking form. Due to the popularity of certain visits, we advise you to book as early as possible to avoid disappointment. Museum visits Please bear in mind that museums in Berlin are closed on certain days and Bank Holidays. Most museums in Berlin do not allow group bookings on a Sunday. Entrance fees Unless you are informed otherwise, entrance fees are always payable locally for all visits. For student rate entrance to museums in Berlin, it is essen*al that you bring along with you a le;er printed on your school’s headed paper, confirming your status as teachers and students. This le;er should include a list of all students and teachers names and dates of birth. It can also facilitate entrance for the students if you have a list of names with the name of the course they are studying. Unless specifically agreed by us the teacher has responsibility for teaching. 12 Frequently Asked Quesons Q: Do your trips have set departure dates, locaons and duraons? A: Our experienced team can tailor make any trip to suit your group. Our student conferences and events take place on set dates. Q: I know what I want from the trip but don’t know where to go, can you help? A: Yes, our well travelled team know the benefits of every des*na*on we offer. We are happy to chat through the logis*cs with you and tailor a trip specifically to your group. Q: What are your contact phone numbers and email addresses? A: Our general phone number is 01992 512870. Our fax number is 01992 586381 Q: I need an extra member of staff to come with me, can you accommodate them? A: Yes, subject to availability we can add an extra leader into your package. There may be cost implica*ons if this leader needs to be classed as a “free person” however. Q: Are meals included and if not, how much will they be for my trip? A: Unless you have specifically asked for them, or your package dictates, our deals are based on B&B basis, or Room only basis for USA. On your quote, there is a list of poten*al addi*ons to the trip. These include meals, guided tours, visits and insurance among others. Q: Not all of my students have Brish passports, are there any specific Visa requirements for them? A: Yes, some students will require a visa to enter certain countries. You will need to get in touch with the relevant student’s home embassy as well as the embassy of the country you are visi*ng for the latest requirements and advice. Q: Do I need insurance and is it included in my price? A: You are required to have insurance for all overseas trips and it is strongly recommended for all UK trips. Unless you have specifically asked for our insurance, we do not include this as standard. Our policy is compe**vely priced and comprehensive and we will gladly send you details. Q: Do you have a representave to assist us whilst away? What happens if something goes wrong on our tour? A: Although we do not have representa*ves we are always on the end of the phone via our 24 hour emergency helpline. Our well trained staff are familiar with the details of your tour and can respond to any problem or query immediately and personally. Q: I can’t find anything in your Desnaon Guide to suit my group’s requirements. Can you find me some more specific visits? A: Yes, wherever possible we will try and accommodate every group. Give us an idea of what your objec*ves are for the trip and we will be happy to see if we can find something for you. Q: How much is my deposit and when is it due? A: Deposits are due on the date set out on your quota*on. Tours by Air £100 per paying person Tours by Coach or Rail – £50 per paying person Q: I have my deposits and student numbers ready and wish to book, what do I do now? A: Get in touch with your dedicated Tour Consultant and let them know you are ready to book. We require a names list, firm booking form and your deposits sent to us as soon as possible so that we can begin to secure your booking immediately. Q: How do I pay for my trip? A: We can accept payment by cheque, BACS transfer or credit card. Q: I have booked my tour, what happens now? A: Your Tour Consultant will hand over your booking to your dedicated Tour Planner .They will be in touch to confirm your booking and send over your provisional i*nerary, suppor*ng you up un*l your departure. Q: When is final payment due? A: We require final payment 10 weeks in advance of travel. Any payments made a#er that may be subject to addi*onal charges. Q: I wish to share my experiences with a member of your team, how do I go about this?
