Heiler Business Catalog
Heiler Business Catalog is an integrated electronic catalog solution for finding, visualizing, comparing,
and ordering products and services in purchasing. It is the central catalog session in international
companies.
Because Heiler Business Catalog acts as a single point of search, it optimizes process costs in
purchasing. The fast entry and collective entry functions, as well as the upload function for shopping
carts, achieve the goal of shortening the ordering process.
Shopping lists facilitate the compilation of sample shopping carts, which can be made available to the
entire company, to user groups or to individual users and, together with personal favorites, can make it
possible to quickly replenish products that are required on a regular basis as well as support product
standardization within the company.
Catalog views and classification views control how certain lines of business or users access supplier
catalogs or material groups.
Special flags in the item list make it easier to identify dangerous goods and to identify notes in relation
to item references such as accessories or tiered prices, etc.
Inquiry workflows and free text orders are used to procure unlisted products. Finally, multi-organization
support ensures that each organization can have different configurations for catalogs, views,
permissions, inquiry master data, shopping lists, and much more.
Note: You do not submit any orders using Heiler Business Catalog. You simply forward your
shopping cart to the linked procurement system. It is from there that you submit your order.

Administration user manual.
In some areas of Heiler Business Catalog, the user interface is divided into two or even into three
sections (e.g. the Catalogs area). In this case, you will find functions for navigating through the
directory structures of catalogs or classification systems in the left-hand section. The relevant items are
displayed in the form of an item list in the central section. In the right-hand section, you will find
controls known as widgets. Widgets can be used to execute different functions (e.g. comparing items
24
or making new item inquiries
28 ).
Note: Depending on the configuration of your Heiler Business Catalog system, not all of the
options mentioned may be available.
1.7
Home page
Note: Instead of the Heiler Business Catalog home page, a customized home page can also be
set up for your organization.
Once you have logged into Heiler Business Catalog, you will normally see the home page (unless your
administrator has set another page as the default). The home page provides you with direct access to
the keyword search, which means you can start searching for items immediately.
In addition, the latest messages are shown on the left-hand side of the home page, while you can
directly access your personal favorites and enterprise top sellers on the right. Also on the right, you can
configure links to external supplier catalogs.

11
Searching for items
3
Searching for items
Essentially, you have two options for finding items in catalogs: You can search for items using search
terms
12
or you can navigate through product classes or the material groups in supplier catalogs
15 .
If external catalog systems are linked to your Heiler Business Catalog you can also search for items in
external catalogs
18
.
The search returns an item list
19
that includes the items' essential data. In a second step, you can
sort, restrict and filter the item list.
3.1
Searching using search terms
You can search for items by entering one or more search terms. For example, the search term may be
an item number assigned by the manufacturer or the supplier, the manufacturer or supplier itself, a
keyword or an item description.
The so-called simple search
search
13
12
performs a search on preconfigured search fields. The advanced
allows you to restrict the search to individual search fields, e.g., only search in the item
number.
In a search, only the language specified when the user logged on is generally used.
Example: The system languages are German, English, and Spanish. A catalog is available in a German
and an English version. In this case, you can search for language-independent parameters such as the
item number, and for the German descriptions and keywords (e.g. Ventil). The same applies if you
log on using the English user interface (e.g. valve). As the catalog is not available in Spanish, if you
log on in this language it will not be displayed at all.
In a search, the term you enter is subjected to a so-called stemming process. Stemming simplifies a
term into its basic and normal form. This method traces different variations of a term back to a
common word stem. The specific methods used are language specific.
Example:The stemming process traces the search term "Cooker" back to "cook". By default, searches
in Heiler Business Catalog are combined searches, which means that the system searches for a term
both in full and as part of another word. Therefore, when you search for "Cooker", "cookware" or
"cookery book" are also found, as these two terms both contain the stem "cook".
3.1.1
Using a simple search
This section describes how to find items using a simple search.
Note: The fields included in the simple search can be configured by your Heiler Business Catalog
consultant.
Heiler Business Catalog 7.1
12
Searching for items
Procedure
Carry out the following steps in sequence:
1. Open the "Search" tab.
2. Enter a term in the search field. If you enter multiple terms, these are linked using an "AND"
operator, i.e. a hit must contain all words.
While you are making your entry, Heiler Business Catalog browses a history of search terms
entered for the search term you are currently entering and allows you to select from any
search terms found.
You can also delete your entry by clicking on
.
Simple search
3. Click on Search or select a search term from the history.
The central pane shows a list of items found, sorted by the degree to which they match the
search term (hits). Items with the same match rate are not sorted further.
3.1.2
Using the advanced search
This function allows you to perform extremely targeted item searches. Unlike a simple search, which
tries to find the search terms entered in all configured search fields, you can use the advanced search
to limit the search to specific search fields, e.g., only search in the item number.
Procedure
Carry out the following steps in sequence:
1. Open the "Search" tab.
2. Click on Advanced search in the central section.
The search switches to "Advanced search" mode. A drop-down list for selecting the field to
be searched is displayed next to the input field.
3. Select the relevant search field from the drop-down list.
4. Enter a search term in the input field. Capitalization is ignored.
5. To enter more search criteria, click on Add additional search criterion.
In each case, another drop-down list is displayed for selecting search fields and another input
field for entering search terms, and you can use these to specify additional search criteria.
Heiler Business Catalog 7.1
13
Searching for items
Adv anced search
6. Once you have specified all your search criteria, click on Search.
Result
The function searches for items that meet the specified criteria. If you have entered multiple criteria,
they are linked using "And".
Example: If you have specified "Short description" as the search field and Screw as the search term
for the first criterion and "Manufacturer" as the search field and Meier as the search term for the
second criterion, the search returns all screws supplied by the manufacturer Meier.
The items found are displayed in the central section, sorted by how precisely they match the search
criteria.
3.1.3
Search tips
Multiple terms
You can enter more than one search term in the input field, separated by spaces. These are linked
using an "AND" operator, i.e. a hit must contain all words.
Tip: If you are looking for a term that could be made up of compound words, break it down into
multiple words.
Example: The search term earplugs will not find the relevant items, but you can do this by
using the search terms ear plugs.
Searching with multiple search terms returns results in order of their match rate. If all the search terms
are matched for an item, that item's match rate is higher than an item in which only some search
terms are matched. The match rate is lowest for items that match only one search term, or the match
occurs within a word.
Phrase search
Place the term in quotation marks (phrase search) if the space is to be included as part of the search
term.
Example: Entering Home Office returns all items containing the terms Home and Office. Use
quotation marks – as in "Home Office" – if you want to search for this exact wording.
Heiler Business Catalog 7.1
14
Searching for items
Note: Note that characters such as a slash (/), exclamation mark (!), or semicolon (;), etc. are
ignored when searching.
OR operator
You can also search for items that contain at least one or more terms by using an OR operator.
Example: To simultaneously search for items from the manufacturers "Maier", "Mayer", "Meier" and
"Meyer", you can enter "Maier" OR "Mayer" OR "Meier" OR "Meyer".
Wildcard search
Enter search terms as complete words or, if you only want to enter fragments of search terms, use the
placeholders * (any number of any characters) and ? (any single character). If the search term begins
or ends with *, the search will automatically be performed as a wildcard search.
Example: The term screw* searches for all terms that begin with "screw", such as screw,
screwdriver, screw fitting.
Example: In the above example, to simplify the search for items from the manufacturers "Maier",
"Mayer", "Meier" and "Meyer", you can also enter M??er.
Tip: The wildcard search allows you to enter parts of item numbers. The search term 123* will
return all items whose item numbers begin with "123".
Note: Avoid using placeholders at the beginning of search terms, as this can cause the search to
take a long time and it may be aborted in some situations.
Stop w ords
Do not use search terms such as a, an, and, are, as, at, be, but, by, for, if,
in, into, is, it, no, not, of, on, or, such, that, the, their, then,
there, these, they, this, to, was, will, with, etc. These terms will be excluded
from the search.
Excluding terms
To explicitly exclude a search term, use the minus symbol.
Example: To search for items from the manufacturers "Maier", "Mayer" and "Meier" but not from
"Meyer", you can enter "M??er" -"Meyer".
3.2
Searching using the navigation
On the "Catalogs" tab, you can select items by navigating through the directory structure of a catalog
or classification system. This search is similar to browsing through a conventional printed catalog. You
Heiler Business Catalog 7.1
15
Searching for items
select a catalog or classification system, open it up at the chapter containing the material group or
product class you are looking for and browse to the item you want.
Searching using the nav igation
If your company has access to classified catalogs, the recommended search method is to use product
classes
17
; if not, use the search by supplier catalogs
16
.
Note that your installation may only offer one of these two options. The options installed in your
system can be identified by the entries in the drop-down list on the left of the "Catalogs" tab.
When searching in product classes, only the catalogs that have been classified using a classification
system that is present in the system will be searched. If the search by product classes returns fewer
results than the search by supplier catalogs, it is because the system contains catalogs that have not
been classified.
3.2.1
Navigating supplier catalogs
This section describes how to navigate the available supplier catalogs. These catalogs normally have a
material group structure, which can be different for each catalog. This hierarchical structure is defined
by the supplier of the catalog and allows you to find the material group you are looking for quickly and
easily.
Prerequisites
The key prerequisite for searching by navigating supplier catalogs is that you have an idea of which
catalog contains the item you are looking for. If not, you can search for the item using search terms
12
.
Procedure
Carry out the following steps in sequence:
1. Open the "Catalogs" tab.
2. Select "Supplier catalogs" in the drop-down list on the left.
The supplier catalogs available in the system are listed in the form of a navigation tree.
3. Click on the

3.2.2
Navigating product classes
This section describes how to navigate the product classes in the existing classification systems. Within
a classification system, you can conveniently and quickly navigate to all items in all catalogs that have
been classified using this system.
Prerequisites
Navigating product classes requires your company to have classified catalogs. When searching in
product classes, only the catalogs that have been classified according to a classification system that is
present in the system will be searched.
The key prerequisite for searching by navigating product classes is that you have an idea of which
product class contains the item you are looking for. If not, you can search for the item using search

3.3
Searching in external catalogs
It is possible that external catalog systems may be connected to your Heiler Business Catalog system
and may be available for placing orders.
Prerequisites
The prerequisite for access to external catalogs is that external catalog systems are linked to your
Heiler Business Catalog. External catalogs can be connected in different ways:
Links to external catalog systems can be found on the home page.
On the "Shopping cart" tab, you have an additional drop-down list called "External catalogs",
which you can use to access linked external catalog systems.
Items from the external catalog have been directly integrated using a special index catalog. This
catalog is included in the search. Items from these catalogs are displayed differently in the item
list than conventional items in that instead of the Add to cart button, they have the Show
items button. This button takes you to the relevant external catalog system.
Procedure
Example description of the ordering process for an external catalog:
1. Open the "Home page" tab.
2. Click on a catalog in the "External catalogs and links" area.
The external catalog system opens in a new window.
3. Find and order the item you want in the external catalog.

Item list
After a successful search, the items found are listed in the central section of the "Search" or
"Catalogs" tab. If you search using search terms
12 ,
the items are sorted by how precisely they match
the search term (hit rate). Items with the same hit rate are not sorted further. The number of items
found is displayed above the item list.
Note: Any items that are highlighted in color appear at the beginning of the list. These socalled top sellers either have a particularly high hit rate, are ordered frequently, or are part of
the standard assortment. Whether top sellers are displayed and their weighting depends on the
configuration.
The Forw ards and Back buttons can be used to scroll through extensive item lists.
Note: The number of items displayed on a page depends on the configuration.
For each item found, the item list shows the most important data, such as the item number, short
description, lead time, manufacturer, supplier, and price.
Note: The data that is displayed in the item list depends on the configuration.
Specially defined item designations, e.g., hazardous items, standard items, etc., are highlighted for
each item in the item list.
Sorting, restricting, and filtering the item list
If the item list is too extensive for you, you can:

Configurable items
With Heiler Business Catalog, you can customize certain items when you order them. A good example
of such items would be business cards or stamps, for which buyers must provide personal information
such as their name and address with the order. Without this information, the order is meaningless.
For example, if you are ordering a computer, you can choose how much RAM it will have or, when
ordering a business card, you need to specify what will be printed on it.
Prerequisites
This functionality must be configured in your Heiler Business Catalog.

Editing the shopping cart
On the "Shopping cart" tab, you can edit your order and transfer it to the linked procurement system.
The shopping cart in Heiler Business Catalog works in much the same way as your shopping cart at the
supermarket. First you place all the items you want to order in the shopping cart. You can add more
items to the shopping cart or remove them at any time.
You can also download your current shopping cart as a CSV file
34
and upload
35
it again at a later
time. The integrated PDF functionality enables you to display the shopping cart in PDF format
32
and
then print it out or save it as a PDF file.
Note: Some items are associated with mandatory items, i.e. items that must be ordered at the
same time. Mandatory items are shown indented in the shopping cart.
Note: The unit prices are rounded to two decimal places. However, the total price is calculated
on the basis of the unrounded prices and subsequent currency conversion. For example, if the
item price is 0.5113, it is shown as 0.51, but 0.5113 is used to calculate the total price. As a
result, the total of the item prices shown may not match the total price shown.

Shopping lists, fav orites and inquiries
A shopping list helps to simplify frequently recurring orders. Instead of filling the shopping cart item
by item each time, you simply save your frequent purchases in a shopping list. The next time you want
to place a similar order, you simply select the shopping list, and the items from the list are
automatically added to your shopping cart. For example, the "New employee" shopping list can
contain all items that a new employee needs: Hole punch, folder, pens, paper, files, etc.
The user can add all the items that are important to him to the Favorites list. This means that
favorites are very quickly ready for ordering in every session.
As well as shopping lists and favorites, the "Shopping lists" tab also provides access to functions for
managing your Product inquiries

Using shopping lists
Heiler Business Catalog makes a distinction between private shopping lists, which you have created
yourself, shopping lists for groups, which are created by authorized employees, and company shopping
lists created by the administrator. The company shopping lists can be used by all the employees in the
company, but can only be changed by the company's administrator. You can manage all three types of
shopping lists on the "Shopping lists" tab, provided you have the corresponding permissions.
Note: Company shopping lists are created and edited in the same way as private shopping lists.
Therefore, they are not described separately.

therefore differ from private shopping lists, which each employee maintains independently.
Group shopping lists are created and edited in the same way as private shopping lists. In addition, users
are assigned to the group shopping lists.

Info user and order user

Info user and order user
The term Info user refers to a particular type of user, who can compile shopping carts but cannot
actually place orders. Info users are assigned to a specific order user, who can check the shopping cart
and then place the order.
Order users are usually users who possess an SRM user license. These users normally access the
catalog from SRM. Info users do not need SRM access. They put together the shopping cart directly in
Heiler Business Catalog. The introduction of the info user concept allows you to provide many more
employees with access to your procurement system without increasing the number of SRM users.
To ensure that order users are made aware that shopping carts have been created, they receive
notification by e-mail.
7.1
Order process for info users
The info user logs into Heiler Business Catalog. At the first login, an info user must accept a privacy
policy because his shopping carts will be transferred to another user. If he does not accept the privacy
policy, he is not allowed to log in. The privacy policy remains on the screen until the info user accepts
it.
An info user has the same view as the order user assigned to him. He navigates the catalogs
searches for the products he wants
12
, and fills a shopping cart
23 .
15 ,
In the Shopping cart view, an info
user can specify account assignment information, cost centers or special requirements information in a
free-form text box.
After clicking on
the shopping cart is transferred to the order user. The order user also receives an
e-mail with a notification that an info user assigned to him has just forwarded a shopping cart for his
attention.
7.2
Order process for the order user
The order user logs into Heiler Business Catalog via the SRM. In the Shopping cart view he sees his
own shopping carts and those forwarded to him by the info users who are assigned to him. When he
selects a shopping cart from an info user, he will be using that cart from then on. He can edit this
shopping cart and forward it to SRM for further processing just as he does his own carts.
If he rejects the shopping cart, an e-mail is sent to the info user. The shopping cart also appears in the
info user view and is flagged as rejected. The info user can - and must - then correct the shopping cart
accordingly.
