VACATION
1 OF 2
The University's vacation plan is designed to provide employees with the opportunity
to rest and get away from the everyday routine and to reward continuous service.
Regular full-time employees who work 40 hours per week for 12 months each year
accrue annual vacation at the following rates:
Years of Service
0-4 years continuous service
5-9 years continuous service
10-14 years continuous service
15-19 years continuous service
20+ years continuous service
# of Days

21 days
# of Hours

152 hours
168 hours
Regular employees who work 20-39 hours per week for 12 months each year generally
accrue vacation allowance on the same basis as full-time employees, except it is pro-rated
according to the number of regular hours worked. Regular employees who work 40 hours
per week but less than 12 months per year should contact Payroll to find out at what rate
they earn vacation. Employees on unpaid leave generally do not earn vacation leave.
Employees must schedule vacations each year with their supervisor. To satisfy
preferences as well as meet the staffing needs of the department, vacation plans should
be discussed well in advance with the supervisor. If a University holiday falls within an
employee’s scheduled vacation, the holiday will be paid and not charged against the
employee’s vacation eligibility.
Employees are permitted to carry over more than 20 vacation days throughout the year
but will only be able to carry over a maximum of 20 days into a new calendar year.
Vacation pay is computed at the rate being earned upon separation. An employee who
separates from service shall be compensated for unused accrued vacation.
Employees may, with the consent of the supervisor, use vacation time to observe religious
holidays not designated as University holidays or to take additional time due to illness or
injury after all sick leave has been exhausted. Additionally, vacation may be used when
an employee:
(1) wishes to be paid while on approved Family and Medical Leave (See V-2);
(2) is out of work because of illness or injury due to a job-related incident (See IV-23);
(3) wishes to be paid for some time off while on maternity leave (See V-5).
(4) is unable to work due to severe weather conditions (See XI-1);
(5) wishes to be paid for time spent on approved bereavement leave (See V-1);
Note: Numbers 1, 2, and 3 above require use of accrued sick leave before vacation can be
used.
