Question: When I am composing an email and navigate to another location within
Zimbra without clicking the "save draft" button, the email disappears and is not
saved in my Drafts folder. Is my email lost?
Answer: It is more likely that your email is in a location that you may not be familiar
with. The Zimbra server saves emails in composition every 30 seconds. Your email
may not be stored in the Drafts folder immediately but it can be found as a tab
following the Social tab in your Zimbra acct. If you have not listed a subject in the
subject box the tab will read 'Compose". If you have created a subject line the tab
will be titled whatever you have listed as the email subject (see attached screen
shot). If you close your account you will find your draft email in the Draft folder on
the left hand side of the screen. It is ALWAYS a good rule to click the "save draft"
button regularly. Especially if you are writing a lengthy email. Failure of network
connections, wifi connections, network cards, wifi cards, etc can leave you in a bind
anytime that you are working online. Saving regularly is always good practice.
Question: I deleted an email in my Trash folder and need it back. Is there a way to
get this back?
Answer: Yes, within 60 days of the deletion. To recover the purged file, right click
(on a WIN machine) or control+click (on a Mac) on the Trash folder and select
Recover Deleted Items. (see attached screen shot)
Question: I have kept notes on my iPad/iPhone using the Notes App. After I
synchronized my iPad/iPhone my notes are no longer on my iPad/iPhone. Are they
lost?
Answer: They are not likely lost but rather relocated. Due to the configurations
allowing you to sync email/calendaring to your iPad/iPhone they have most likely
been moved to a folder called Notes located on your Zimbra acct accessed via a
browser only. You may see this same folder on your built in email on your
iPad/iPhone but find it empty. To move the Notes back to your iPad/iPhone simply
create a new email acct following these directions:
-Go to the Settings icon
-Select Mail, Contacts, Calendars
-Select Add Account
-Select Other
-Select Add Mail Account
-Enter the needed information, click Next
-Enter the following information:
a. The host name for incoming email is: pittstate.edu
b. The host name for outgoing email is: zimbra.pittstate.edu
c. The user name is the part of your e-mail address to the left of the @ in Zimbra. If
you had an address change, this must be your "new" address.
d. The password is: your current email password
-Once you have this setup you can turn your notes off by by doing the following
steps. This will ensure that your notes from your Notes App will no long sync to
your Zimbra acct.
-Go to the Settings icon
-Select Mail, Contacts, Calendars
-Select the acct that you just created
-Turn Notes On
-Turn Mail Off
Note: To see your latest synchronized email events it is best to connect via
Exchange.

To ensure your e-mail account is ready for a smooth migration to the new Zimbra Collaboration
Suite, here's a simple test for you to perform:
1. Log in to "Gorillamail II" at: https://roundcube.pittstate.edu.
Another way to get to this location is to go to the email landing page at:
www.pittstate.edu/home/email.dot and select the link to Gorillamail II on the PSU web
site on the "E-mail Logins" page near the bottom of the page on the right. For
verification reasons you will be prompted for your e-mail login and password. If you
cannot remember your password simply reset it by going into GUS, ‘Computer
Accounts’, and ‘Passwords’ then (re)set your password.
2. Once you're logged in, look around and verify the following: Do you see all your email? Does it include all the e-mail folders you use? What about the "Sent"
folder? Are all your sent e-mails in there?
If everything looks as you expected, congratulations! You're ready for a smooth migration to
Zimbra.
If you see missing items, you'll need to contact your computer tech or the GorillaGeeks Help
Desk. They'll have some questions to ask to zoom in on what the problem may be. You might
still be on POP or you might be using the old IMAP. Either problem can be corrected.
Again, everyone will switch to Zimbra on July 16th. The sooner you verify your
account, the more time will be available to get you fixed up if need be.
Note: Using Thunderbird, Outlook, Original Gorillamail (Squirrelmail) or "New" Gorillamail
(@mail) won't perform a reliable test. You'll have to use "GorillaMail II" (a.k.a. RoundCube at
https://[email protected] ) to perform a test whose results can be counted on.
When will the change take place?
The campus will officially migrate to the Zimbra Collaboration Suite (ZCS) on:
• Monday July 16th, 2012.
Your last day for your current email and calendaring system will be:
• Friday July 13th, 2012.
Email and Calendaring services will not be available during the following dates and times
in order to perform the migration from the old system to the new system:
• Friday July 13th, 2012 5:00 pm – Monday July 16th, 2012 7:30 am
Will there be any “down time” due to the installation?
Yes. Email and calendaring will be off line in order to migrate files to the new ZCS
server from Friday July 13th, 2012 at 5:00 pm. through July 16th, 2012 7:30 am.
What is the Zimbra Collaboration Suite?
Zimbra is a groupware suite of electronic collaboration services that includes email,
calendaring, task lists, document repository, and more. To learn more about Zimbra
visit: http://www.zimbra.com/. PSU operates the Zimbra Open Source Edition of
Zimbra.
What is Groupware?
Groupware consists of unified email, calendaring, and other features designed to
support group endeavors. Example features of such a system may include: electronic
mail, calendaring, task lists, document repositories, social media integration, and mobile
interfaces. In a Groupware System these products are able to interface with one
another, eliminating the need for faculty and staff to manage multiple packages, as we
do now with current campus products such as Oracle Collaboration Suite and the
various email clients found on campus (Thunderbird, Gorilla Mail, etc.). In addition, the
new system will reside on modern, survivable and expandable virtual machines
incorporating rapid response times.
How was the new Groupware system chosen?
Products were reviewed by a campus Groupware Task Force and narrowed down to
two finalists. These products were presented to campus for feedback this spring.
Because a new Groupware System impacts almost every campus employee the
Groupware Task Force was very broad-based. It was made up of 20 stakeholders
representing 17 different areas from across the campus community.
Why are we moving to this product?
Due to the instability of our current email and calendaring systems a task force was
created to research products that would meet the needs of campus. Several products
were reviewed by the task force before bringing 2 finalists to campus for input. Through
a rubric designed to measure the finalists, Zimbra was recommended as the product to
replace our current systems.
Who will be impacted by this change?
Any faculty or staff member currently using pittstate.edu email and/or Oracle
calendaring resources will be impacted by this change. Students will continue to use
the current Gus Mail system (powered by Google).
Will I be able to access my old emails and Oracle calendar events?
Yes. All emails and calendaring events will be migrated from the current server to
Zimbra.
How do I move my contacts from my current email account over to the new system?
PSU Employee Email Contacts: Zimbra has a built-in global email list for all
@pittstate.edu account holders. Therefore when you enter the name of a colleague at
PSU, their email account will pop up for you to select. You will not need to import any
@pittstate.edu email accounts into Zimbra.
How is the Zimbra Calendar different than the Oracle Calendar?
Zimbra calendaring has a modern interface and offers powerful tools for scheduling,
setting up calendaring rights, calendaring designations, etc. In Zimbra, appointments
are not scheduled directly to your calendar without your approval (unless you have
designated a designee through preferences). Instead, you will receive an email inviting
you to the meeting which you will need to either accept, decline, or propose a better
time.
Will my email address change?
All email addresses will have a naming convention of first initial, last name (Ex:Gus
Gorilla = ggorilla). With the former email system we were limited to eight characters and
could not always include everyone’s entire last name, but the new system is not limited.
If you email address changed, you do not need to inform your contacts because your
old email address will still deliver emails to you as it will be designated as an alias for
your account. If there are two individuals with the same first initial and last name on
campus, then middle initials will be used. You will be notified if your email address is
changing.

How do I login?
To login to Zimbra you will use the following:
ID: First initial, last name (unless you have been notified otherwise)
Password: Your current email password (per your Zimbra readiness test)
What can I do if I forget my password?
Go to the following link in GUS to change it:
https://go.pittstate.edu/iss/account.management/pref.mail/pref.mail.pw.change
You will need your Gus ID and password for validation purposes.
What happens if I get locked out of Zimbra after trying an incorrect password?
If you try to login to the Zimbra Collaboration Suite 5 times within 5 minutes with the wrong
password, Zimbra’s intruder protection system will lock you out for 15 minutes. At this time
you can:
• Wait for 15 minutes before making another login attempt, or
• Contact the GorillaGeeks and ask them to reset the “LockOut” status on your
account.
