to explain more about e-KSF.
What is the electronic Knowledge
and Skills Framework (e-KSF)?
e-KSF:
•is an electronic management tool and is
multi-functional
•has a system which has three libraries
of approved post outlines – Local (NHS
Ayrshire & Arran), Shared (NHS Boards in
Scotland) and National
to help with career progression/ or a role
transfer
•Stores a complete history of your PDR
activity which can be transferred across NHS
organisations
•Supports a transparent two-way process the reviewer and reviewee need to jointly
agree a work plan, development plans and
then sign off any agreements together.
•is an electronic tool to record the outcome
of the PDR discussion

• You should get your e-KSF user name and
password from the e-KSF administrator
•Streamlines the recording of the PDR

• Your line manager or supervisor should
assign your post outline to you
•Ensures that staff achieve and maintain the
knowledge and skills needed to do their job
• If you do not have access to a PC as part
of your job to log onto e-KSF then you can
use PCs in the hospital libraries at Ailsa, Ayr,
Biggart and Crosshouse

Access
receive an overview of the Performance
Development Review (PDR) process as well
as a demonstration on the staff pages within
e-KSF.
If you are taking part in training or
development of any kind or you want to
update your evidence on the review page
on e-KSF, please remember that you can get
access to computers through the libraries in
NHS Ayrshire & Arran. We have computers
and printers in the main libraries at Ailsa,
Ayr and Crosshouse and you are welcome
to use these facilities. The library staff are
there to help set you up and will be happy to
advise you. If you need training in basic IT or
information handling skills they can help to
arrange this for you.
You can find dates for PDR and e-KSF training
sessions on AthenA in the Learning Futures
and Workforce Development sites.
You can also ask for training in post
outline development however, post outline
development training is offered on a
strictly demand-led basis because of the
limited resources of the team. If you would
like to register for this training please email

If you are based in the community please
contact Ailsa Library on 01292 513022,
who can tell you about facilities available
for you at the community hospitals and
some GP practices. They will advise you of
your nearest IT access.
Reviewer/staff relationship structure
When reviewers (managers or supervisors)
book to attend e-KSF training, e-KSF
administrators will send them a structure
template form to complete and return to
set-up their direct reports on e-KSF. When
you fill in this form your staff member’s
name must appear on the template as it
appears on their payslip – that is, no ‘known
as’ names. At this time where possible
e-KSF administrators will activate your staff
member’s individual e-KSF account.
Remember that although you may not have
a PC as part of your job there may be one
available within your department. Ask your
manager.
Training
Reviewers (Managers or Supervisors)
All staff members covered by Agenda
for Change have their own individual
e-KSF account and these will need to be
activated to allow you to access your own
account. e-KSF usernames and passwords
are activated on request by local e-KSF
Administrators .
If you review or supervise staff then you
should attend the full-day Performance
Development Review (PDR) training session
for the theory aspect of the PDR process.
Once you have attended this you will then
have two options for e-KSF/PDR training
which is about showing how to record the
review outcomes, set objectives and create
PDPs electronically.
