KEY RESPONSIBILITY:
The key responsibility of the project coordinator is to provide project support,
coordination and document coordination for the implementation of the NEAP.

PURPOSE:
The purpose of this position is to provide project support, coordination and document coordination for the
implementation of the NEAP. This will involve working closely with the Project Director, facility infrastructure
managers and internal/external stakeholders, and Contractors to achieve the goals and objectives of the
project.
The successful candidate will be involved in the documentation, communication, project scheduling and
configuration management aspects of the Project. The role will also provide support in the coordination of
project control group and working party meetings, status update collection and reporting.
All positions contribute to the provision of quality and sustainable health services within the ethos of the
philosophy, mission, values and ethics of St Vincent’s Health Australia.

PROJECT MANAGEMENT
Project Management Support







Underake project coordination and support services, under the direction of the Project Director, across
the SVHA portfolio sites where technology projects will be undertaken;
Administer and assist in project meetings and the compilation of status, exception and highlight reports
through out the project implememtation;
Assist in the identification and prioritisation of work demands for the project team, and management of
project deliverables and objectives;
Monitor and report back to the internal customer/s or function leads on project status / performance
against defined objectives and outcomes.
Ensure that controls, records, systems and processes used to track and report on progress are
recorded as per SVHA procedures, well maintained and include high quality, meaningful information
relating to the NEAP;
Provide feedback to the Project Director in relation to ongoing review and communication with
Contractors in maintaining health, safety and security standards and principles and identification and
reporting of potential risks including implementation and adherence to access protocols and plans.
Identify and document potential risks, opportunities and lessons learnt for project components and
develop effective strategies to mitigate risks and enhance opportunities to full fill the successful
implementation of the NEAP;






Track and manage project activities and deliverables towards agreed outcomes, and identify and
develop mitigation strategies to manage project interdependencies.
Plan, monitor, control and report projected versus current project timelines and milestones, assisting
the Project Director to execute projects to budget and timeframes;
Maintain overall administration of the group project schedule and monitor progress of individual project
teams in the delivery of Works.
Provide feedback as to the financial management or status of projects in this portfolio, tracking budget
and identifying variance or the risk of budget variance;
Compile required project related reporting for review by Group Manager – Business Systems and
Projects.
Measurement and Verification



Administer and assist in the management of measurement and verification (M&V) processes across all
projects including reporting and review of performance based on utilisation of M&V systems and plans
and in liaison with SVHA’s contracted certificate generator.
Adminster and support the contracted certificate provider in the development of supporting information
to assist in the securing of certificates and related offsets for all project solutions.
Produce ongoing measurement and verification reporting to support engagement with senior
executives across the group in terms of providing information showing impact and progress in energy
reductions.
Stakeholder Engagement



Consult widely with key stakeholders to identify and confirm project collateral and schedules;
Set and continually highlight project expectations with team members and other stakeholders;
Provide advice to the Project Director to ensure that they are able to brief the Group Executive and
other key stakeholders on a regular basis.

EXPERIENCE:
Essential
 Proven record of administering the project planning, resourcing, scheduling, controlling and reporting
functions of a complex project;
 Prior position in a project support officer or coordination role, preferably in healthcare;
 Demonstrated knowledge and understanding of the functionality of base building services preferably
within a healthcare setting
 Previous exposure to a healthcare environment including broad knowledge of healthcare workflows,
both clinical and corporate related;
 Demonstrated effectiveness in the support and execution of measurement and verifications
methodology (i.e. IPMVP) particularly in the application of energy efficiency programs in the built
environment
 Demonstrated effectiveness in the support and execution of project communications plans;
 Former success working with people in a project environment to achieve stated objectives;
 Demonstrated high level of computer literacy.
Desirable
 Knowledge of project management protocols within a healthcare context;
 Experience in change management, quality management and/or business analysis in a healthcare
setting;
 Experience in project planning and scheduling of multiple project scenarios.
QUALIFICATIONS:
Essential
 A tertiary qualification (or equivalent) in Project Management, Engineering, Building Sciences or related
 Minimum 2 years relevant technical and business experience in organisations where project
management and project disciplines were a demonstrable part of the job specification
 Understanding of project scheduling methodologies and project progess assessment
 Demonstrated experience in the use Microsoft Project application
 Understanding of measurement and verifications methodologies and approaches and their application
Desirable
 Certification in a project management methodology / standard, e.g., PRINCE2 Foundation

A healthcare qualification would be highly regarded.
Experience in coordinating a project from initiation to completion
