Request for Summer Appointment in Excess of Two Months
Instructions to Faculty:
Faculty appointments are from September 1 through May 31, and faculty are expected to fulfill their
teaching and university year service obligations during that period. Fill out this form if you are
requesting a summer* appointment greater than two months from any source of funds.
*Summer appointments consist of appointments in June, July and August of the same summer.
Guidelines:
1. Faculty may not receive more than two months of summer funding from general fund accounts.
2. The University’s new Standard Practice Guide (SPG 201.04) limits summer appointments on
sponsored research (direct costs or cost-sharing) to a maximum of two and a half months.
3. The College permits faculty members to fund up to two months of summer salary from any source
including externally sponsored grants without the need for special approval beyond that of the
sponsor. Summer appointments extending beyond two ninths require Department and College
approval (see document entitled “Salary on Sponsored Funds Guidelines for Tenure Track Faculty”)
4. If a faculty member has been granted permission to fund two and a half months of summer salary
from externally sponsored research, s/he may be permitted to fund an additional half month of
summer salary from a general fund summer-salary account. Use of these funds requires explicit
approval of the Department Chair/Director and Dean; a brief work proposal outlining the proposed
work and expected outcome must be approved by the Chair/Director and submitted with the
appointment paperwork.
5. The conditions for approval of a half month of salary include, but are not limited to:
• having funds available in the summer-salary account (LSMRN). These funds may be accrued
each year by paying a portion of the academic year salary on externally funded grants (for
example, 5.56% effort for the academic year, 11.12% for one term, etc.). Alternatively, faculty
may request approval to allocate a portion of their discretionary research funds (to cover both
salary and benefits) to the summer-salary account (LSMRN); such approval requires the chair’s
agreement that expenditure of these funds on summer salary is the best use of the faculty
research account under the particular circumstances
• meeting all College and department obligations for nine months of effort under the UniversityYear appointment
• meeting departmental expectations for graduate student support
• having an appropriate work expectation for the duration
6. If a faculty member is performing work on multiple grants/funding sources, that work should be
spread appropriately between active summer appointment months.
Once approved by the Department Chair or Director, the Request for Summer Appointment in Excess of Two Months form
should be sent along with the faculty member’s summer ninth submittal to Deb Erskine in the LSA Dean’s Office. When
paying academic year effort on sponsored funds, please remember to add the sponsored flag to the faculty member’s
academic year appointment.
