Workday Transaction Guide
Transfer – Lateral Move (same team)
This Transaction Guide describes the process by which a worker is transferred to a position in the same
team. Do not use these instructions if the worker is transferring to a new team, refer instead JOB-02.
Whilst this is a self-service task, there may be occasions when it is necessary for the HR Partner to initiate
this on behalf of a Manager.

Before you start:
Ensure you have all the relevant information to hand including the date on which the worker will transfer.
If the position to which the worker is transferring does not yet exist, it can be created as part of this
transaction.
Step by Step Instruction
1. From the Home page, search for the worker
whom you wish to transfer and select them
from the search results displayed.
2. From the view worker screen, click on the
related actions button and select Job Change >
Transfer, Promote or Change Job.
Start
3. Click on the Edit button to enter the start
details.
4. Change Date: Input the date the transfer will
take effect. This may default to the start of the
next payroll period but can be updated.
5. Reason: Using the prompt, select the Reason
‘Move to Another Position on My Team’
6. Location: If necessary, select a new location.
7. Click on the Start button to continue.

Job
Workday displays the worker’s existing Job information
containing three sections – Position, Job Profile and
Business Title.
Each section has an associated edit button.
A transfer may affect different aspects of the worker’s
job.
8. Click on the Edit button alongside the Position
section.
9. Position: The worker’s current position is shown.
Using the prompt, search for and select the new
position and when complete click on the Done
button. If the position does not yet exist, and you
want to create it, check the create new position box.
10. Close the current position? Positions are not reused. Check the box to close the position even if
the position is to be re-filled at a later date.
11. Click on the Edit button alongside the Job Profile
section.
12. Job Profile / Title: Update the details as required.
If you are creating the position at the same time as
the transfer, you need to select a Job Profile.
13. Click on the Edit button alongside the Business Title
section.
14. Business Title: This defaults from the Job Title
input in step 12. Update if necessary.
15. When you have finished updating Job details, click
on the Next button.

Location
16. The location section displays. Verify that the
information is correct. If any changes are needed
click on the Edit Button to edit the details.
When finished editing, click on the Next button.
Details
17. The details section displays.
Whilst it is not usual for job classifications and
administrative details to change as a result of a
transfer, review the data to ensure everything is
correct.
If any changes are needed click on the Edit Buttons
to edit the details.
Pay particular attention to the very last field –
Notify By – and ensure that this is after the
date on which the worker will be informed of
their transfer.
When finished editing, click on the Next button.
Attachments
18. Click on the Add button if you would like to
attach any documents to this transaction.
When finished editing click on the Next button.
Organizations
19. If the transfer has resulted in organization
changes (company or cost centre) click on the
applicable edit button and update as required.
When finished editing click on the Next button.

Summary
20. Workday displays a summary of the transfer.
Check the information added carefully. If you
need to make any adjustments, click on the
applicable edit button.
21. If you are not yet ready to submit the transfer,
click on the Save for Later button so you can
return to it at a later date. Otherwise click on
the submit button.
Note: If you click Cancel at this stage, the
transfer event is cancelled.
Read any error or warning messages displayed carefully and take appropriate action.
Workflow
After submitting the Job Change you can review the details you added by expanding the Details and
Process section.
The Details tab shows the updated details. To view them click on the View Details button. The Process tab
summarizes any approval steps that may be required next in respect of the transfer.
You can also click on the Remaining Process button to view all of the remaining steps in the business
process as there may be additional tasks required as well as further approvals.

When you have finished reviewing the summary details, click on the done button to close the transaction.
The new position details will not appear against the worker’s record until all necessary approvals have been
given and the effective date of the change becomes current.
Email & Notifications
Workday Business Processes may generate system notifications to those involved in the process. If emails
are generated to prompt review or approval, these will be delivered via a daily digest to the user’s email
account.
