IT managers can determine which systems present the greatest risk in terms of discovery volume, greatest statutory and regulatory requirements, and greatest diversity of business groups storing data. In addition, IT can analyze the return on investment from replacement systems—such as IBM Infosphere—that enable more efficient data collection, enable holds in place, and automated disposal to end the cycle of data build up. 1.1 Overview Mode The Disposal and Governance analysis tools are presented in the Data Governance Metrics dashboard. By default, the dashboard is in Overview mode: IBM Atlas Suite Users Guide: Disposal and Governance Management for IT Introduction The bargraphs in the dashboard depict the number of Data Sources that have the least-to-greatest legal and regulatory obligations. The graphs (beginning in the upper left hand corner and moving clockwise) show the distribution of Data Sources across these four areas: Legal Duties depicts the number of Data Sources that have open, active Legal Holds. RIM is based on the number of Citations that apply to a Data Source. Record coordinators establish their information inventory by mapping local schedules to Data Sources. Record Classes in turn have one or many applicable laws. Volume is based on the number of Local Schedules that have at least one record type stored in a Data Source. Combined is an overall assessment of the Data Sources’ legal and regulatory obligations. 1.2 List Mode In List mode, the dashboard displays a list of the Data Sources ordered by the measure of their obligations within one of the four areas outlined above. To switch to List mode, open the View dropdown menu and select one of the options. 5 2 Search Filters You can filter the results that are displayed in the dashboard (in both Overview and List mode) by using the Search filters at the top of the page: The “simple” filters are: Category Limits the data to only those Data Sources that belong to a particular category. The Data Source categories are created through the Map > Data Sources > Categories page. Information Class Limits the data to only those Data Sources that are mapped to Local Schedules that are based on a particular Record Class. The menu lists the top-level Record Classes, only (in other words, the Classes that are immediately below the default CORPORATE Record Class). Organization Limits the data to only those Data Sources that are mapped to a particular Organization (and sub-Organizations if you check the Sub-orgs checkbox). Steward Steward’s Organization Limits the data to only those Data Sources that have a particular steward. Limits the data to only those Data Sources that have stewards who belong to a particular Organization (including sub-Organizations, if you check the Sub-orgs checkbox). The filters in the Advanced Search panel let you specify the levels of obligation that you want to see in each of the four areas: All, Low – High, Medium – High, or just High. For example, if you select Medium – High, only the Med and High bars are shown in the graph. 3 View Details This chapter takes a closer look at the views that are displayed in Overview mode. All four views are layed out in the same way: The bargraph shows the distribution of Data Sources within specific percentiles for the particular area. Looking at the Legal bargraph, above, we see: There are nine Data Sources that aren’t involved in any active Legal Matters. The Low bar shows the number of Data Sources (44) that are in the bottom half of the count of all Data Sources that have legal duties. The Med bar shows the count between the 50th and 80th percentile. The High bar shows the count in the top 20%. The distribution is configurable by a System Administrator. Similarly, a System Administrator can configure the way the Legal, RIM, and Volume measures are weighted to create the Combined bargraph. While the bargraphs show the distribution of responsibility across all Data Sources (or whatever subset you’ve found through the Search filters), List mode shows the number of “elements” (Legal Matters, Citations, Local Schedules, or a combination) by Data Source. The list of Data Sources along the right is a quick look at the systems that have the greatest involvement in the particular area. The View Full Report link takes you to List mode—it’s the same as selecting an option from the List menu. 4 List Details List mode lists the individual Data Sources that are involved in a particular area (Legal, RIM, Volume or Combined). By default, the Data Sources are listed in order from the greatest to the least amount of obligation (the Rating column). You can reverse the order of the list and sort by the Name and Element columns, as well: The columns in the table are: Name Organization Stewards Element Rating The name of the Data Source. If you click the name, you’re taken to the Data Source’s details page. A semi-colon separated list of the Organizations that the Data Source is associated with, including the Organization’s country. If the Organization name is followed by [sub-orgs], the Data Source is associated with the Organizations sub-Organizations, as well. Clicking on the Organization name takes you to its details page in the Atlas Map module. A list of the Data Source’s stewards. Stewards are identified by name and email address. To get more details, hover over a steward’s name: A count of the Data Source’s obligation. The “element” that’s being counted depends on the area you’re looking at, as explained in the Overview chapter. A graphical depiction of the element count.
