Dear Parents and Students,
Thank you for your trust in our association. As you have shown an interest in our exchange programs, we
would be glad if you could attend the regional information meetings that are planned for interested
students and their families (dates and time to be announced on the OSEF website www.osef.ca). At the
meetings, you will have the opportunity to meet students and families who have participated in the
exchange program and that have come to share their experience.
Enclosed you will find the following documents needed to apply for the exchange program:
□ Application Form and The School Agreement: to be returned to the Provincial Representative
□ Information package to give to your Principal
For the 9 & 11 week school program, this document must be signed by the Principal of the School and
sent with your application form.
When we receive your application, a family file will be sent for you to fill out.
This file will be essential to finding your European partner according to your personality and interests.
□ Payment: First installment by bank transfer or cheque (payable to OSEF ASBL).
 400 $: for the 1 month summer program
 400 $ : for the 9 & 11 week school program.
You can choose to make each payment in various installments
If you are paying by cheque, please write the first and last name of the candidate on the cheque.
The provincial coordinator will be glad to meet you during the information meetings.

Dear Principal, Counselor and French/Spanish Teacher
Thank you for agreeing to host an exchange student from Europe for three months and for supporting your students’
participation in this exchange.
In order to make sure that the exchange runs smoothly, I have attached the responsibilities of the school and the school
coordinator as well as those of students and families. I would suggest that the school coordinator be the French teacher
or a school counselor. You will find in the attachment the roles and responsibilities for a successful exchange. It is
important that the school community be aware ahead of time that the school will be receiving exchange students. The
exchange experience is a positive and enriching experience for our students. Would you please forward the email to
your exchange coordinator and counselors? I will be emailing a copy to each of the families. We appreciate all the time
and help that you are contributing to make this a success for your students. I am available to answer questions at any
time. Please do not hesitate to contact me.
I have copied the information that I have for your school including the names of the principal, counselor and French
teacher. I would appreciate having the email of the contact person at the school during the exchange. Please fill in any
missing information and email it back to me.
The student(s) participating in the 2014-2015 OSEF exchange:
The Canadian student should register the French, Belgium or Spanish exchange student before the end of June. The
Belgium and Spanish students will be leaving October as they are here on a 9 week program; however their Canadian
partner will stay the full 11 weeks in Belgium and 9 weeks in Spain. The French students participating in the 11 week
program will be leaving November.
A – School
1.The school is responsible for making sure that teachers are aware that there will be an exchange student in the school
from September to November and that the Canadian partner will be absent from February to the end of April. Stud ents
should not be penalized for participating in the exchange as they will be attending school in Europe where the
curriculum is more demanding and the school day much longer than in Canada (8:00 – 17:30). I will send you a report
card to complete near the end of the exchange which should be given to each student and also forwarded to me so that I
can send copies to the office in France.
Counselor and Coordinator
2. The school coordinator and counselors should be advised as early as possible which students are participating in the
exchange in order to organize course selection for the Canadian student. If your school follows a semester system, we
recommend that academic courses be scheduled in the first semester and elective and language courses in the second.
3. The school coordinator should share the exchange information with interested students.
4. He/she should evaluate students’ candidatures and make the recommendations to the school principal.
5. He/she should visit the candidate’s home if necessary.
6. He/she should coordinate exchange students’ life at school and with the exchange partner. It would be beneficial if
there were a weekly meeting to ensure that all is going well. If there is a problem, I should be contacted at once.
7. If you have several exchange students in your school, try to ensure that they are in different classes. Their goal is to
improve their English not to spend time with other exchange students.
8. Recommended courses for the exchange students are: English, Socials Studies, P.E., Drama, Art, Cooking or any
other course that is language rich.
B. Canadian student
Students should ask their exchange partner to give them a list of courses that they will be taking in France. Your school
registration form and course selection booklet and form should be sent to the exchange students with the request that
these be returned promptly. The Canadian student could be responsible for this.
The Canadian student SHOULD NOT be noted as absent during their exchange period as they will be attending school
on a full-time basis while they are away. They should be marked on an excused School activity.
Dates of Canadian students France and Belgium: 11 week exchange: early February – third week of April.
Canadian students – Spain – End of January to early April
9 week exchange Ontario: February to April 4 and 6 week Ontario February – March
C. Exchange student
The French student should introduce him (her) self to the principal, school coordinator and the counselor upon arrival
in August.
D. - Family responsibilities:
1. Host an exchange student for three months.
2. Treat student like a family member. The exchange student is not a visitor in the host family. Involvement in the
family life means easier adaptation.
3. Provide a receptive, friendly and secure family atmosphere for the student
4. Provide transportation to and from school.
5. Provide three meals per day, including the school lunch.
6. Help student adapt to the new environment.
7. To facilitate the learning of the language and to improve cultural awareness. It is important that the student
participates in a variety of family activities that favor cultural awareness.

The student will attend the school of the European exchange partner (college or lycée).
The student will receive a school report stating his regular attendance to classes at the end of the
exchange and his participation in classroom activities.
The Canadian student should not be marked absent during the exchange period as he/she will be in
in Europe.
I agree to accept in my school the exchange student from the beginning of September to the beginning of
November. Our student will in return attend the school of his French partner from February to April. This
is a reciprocal exchange and no school fees are assessed the visiting students.
A school report and/or certificate will be issued at the end of the stay and given to the European visiting
student.
The European and Canadian students are under the responsibility of their parents (transfer of parental
rights). All exchange students are covered by OSEF insurance contracts: Medical Repatriation and Civil
Liability insurance.
