Logging into the computer/changing access passwords Once your PC has been installed, turn on the computer, you will then be presented with the following welcome screen: You will see there are 4 accounts present: Manager: Is the administrator account, and is password protected. The password for the manager account is: password Office 1: Is a user account which does not have a password Office 2: Is a user account which does not have a password Vicnet Support: As it reads, is the Vicnet Support's account which is used solely by a Vicnet support team member in times when you may need assistance. This account is password protected. To change the password for the manager account, please follow the steps outlined below: Click on Start > Control panel > User accounts Click on Start and then Control Panel. 1. Click on the User Accounts link. Note: If you're viewing the Classic View of Control Panel, you won't see this link. Simply double-click on the User Accounts icon and proceed to Step 3. 2. In the Make changes to your user account area of the User Accounts window, click the Change your password link. 3. In the first text box, enter your current password. 4. In the next two text boxes, enter the password you would like to start using. Entering the password twice helps to make sure that you typed your new password correctly. 5. Click the Change password button to confirm your changes. 6. You can now close the User Accounts window. 7. Now that your Windows Vista logon password has been changed, you must use your new password to log on to the Windows Vista Manager account from this point forward. Setting up an email account If you have more than one email address here's how to set up an additional account in Windows Mail, the email program that is supplied with your new computer. Windows Mail is an updated version of Outlook Express for Windows Vista. To setup your email account, follow the steps below: 1. Open Windows Mail either via the start menu Or select the icon on your desktop. 2. Highlight the account named ‘My Kindergarten’s Email” then select “Properties” from the right hand side. Select this account Select “Properties” 4. Type in the details specific for your kindergarten Type the name of your account here Type the name of your Kindergarten here Note: this is the name appearing on emails you send. Type your emails address here Select OK 4. Select the “Servers” tab at the top of the window. Select “Close” Your email account has now been setup. If you have any issues or questions regarding this please call the Vicnet Helpdesk. Transferring files between computers. This guide outlines how to transfer files specifically from the older Vicnet Supplied computer to the new one. To transfer documents, you can use the USB Flash drive that is supplied with your new PC. There are many different names for USB Flash Drives, including: USB Stick, USB Drive, JumpDrives, Pocket drives, Pen drives, and Thumb drives. We will refer to them as USB Flash Drives. The main areas of data that may need to be copied over are: My Documents Desktop Emails Address book. The procedures in this guide can be applied to any other folder/file that is needed to be transferred. Also, please note, the size of the folder/file being transferred as this may be an issue depending on the capacity of the USB Flash drive. The USB Flash Drive that is supplied with your PC has a capacity of 4Gb(Gigabytes). Step 1: Insert USB memory stick 1. Insert your USB flash drive into the computer, then select “Open folder to view files” as shown below.. Then select File>New>Folder from the menu, and name the folder “Backup” 3. Create a folder within “backup” called “Manager” - Within the Manager folder create four more folders being “My Documents”, ‘Desktop”, “Email” and “Address Book”.(see Below) You now can create folders for Office 1, Office 2 or any other accounts you have, following step 3 for each account as well. Step 2: Copy files to the USB flash drive from the PC For this example, we will be using the “Manager” account, the procedure can be applied to any account you have on your machine. 1. If you have not got the USB Flash Drive window open, open it up, and set it to the right hand side of your screen, we need this folder open so that we can copy and paste files into the relevant folders. 2. Open “My Computer” (On your desktop) 3. Open “C_drive” then “Documents and Settings” then “Manager” 4. Cleft click once on “My Documents” so that it is now highlighted, then go to Edit>Copy. Open your USB Flash Drive, navigate to Backup>Manager>My Documents 6. Select Edit>Paste from the menu 7. You have now copied all you Manager’s Documents onto your USB Flash Drive DESKTOP 1. Once again under “C Drive>Documents and Settings>Manager”, left click once on “Desktop” so that it is now highlighted, then go to Edit>Copy. 2. In the USB Flash Drive window, navigate to Backup>Manager>Desktop 3. Select Edit>Paste from the menu 4. You have now copied all you Manager’s Desktop items onto your USB Flash Drive EMAILS To find the location of your emails, see below for a folder by folder run down. 1. Open “My Computer” then “c_drive” 2. Then Documents & Settings> Manager>Local Settings>Application Data 3. Left click once on “Identities” 4. Copy this folder – Edit>Copy 5. Navigate to your USB Flash Drive window, and paste this folder under the folder named “Email” ADDRESS BOOK To find the location of your Address Book, see below for a folder by folder run down. 1. Open “My Computer” then “c_drive” 2. Then Documents & Settings> Manager>Application Data>Microsoft>Address Book 3. Left click once on “Address book” 4. Copy this folder – Edit>Copy 5. Navigate to your USB Flash Drive, then Open Backup>Manager>Address book 6. Select paste from the edit menu. You have now created a backup of My Documents, Desktop, Email and Address book from the Manager account, you can now repeat these steps for all other accounts that you wish to transfer files from. The next procedure will help you with importing these files on your new computer. 4. Importing files into Windows Vista After transferring your files on to the USB flash drive, files can now be copied into the Vista computer. Insert the USB flash drive, and you will see the following pop up window. Select “Open folder to view files.” Your screen should look similar to the one below, though the folder names/files may be different depending on what you have saved onto your USB flash drive. You can now transfer files onto your machine, by either dragging folders/files from the USB flash drive onto any folder on the left hand screen, or by copying a folder/file and pasting it in a location of your choice. Printer Setup As you are using a new computer, you may have to install your printer to work with it. Please follow this guide to assist you. If you have the CD installation disk that came with your printer, simply insert it into the CD/DVD drive of the new computer and follow the steps to install your printer. If you don't have the installation disk, you could try to download the relevant software from the manufacturers website. The most common brands are listed below. Once downloaded, install the driver and your printer should hopefully work correctly. If it doesn't, you may have to contact the manufacturer of the printer or the people from whom you bought the printer for assistance with this. Setting up an ergonomic workstation It is important for your health and well being to have a workstation that is efficient and well setup. While there is a lot of information about this subject, you will find that setting up your workstation will be a matter of trial and error, experimenting with various adjustments and settings until they finally feel correct. This section presents some guidelines for you to work with. The chair should be a gas adjustable type chair. Adjust the height of the chair so that feet are comfortably flat on the floor, the thighs are approximately horizontal and the lower legs are approximately vertical. Position the backrest to the Chair curve of the lower back. If not comfortable, lower the height several centimetres and try this position. Arm rests are usually not recommended unless they are well out of the way. Arm rests Desk Keyboard Having adjusted the chair as above, adjust the height of the desk so that the top surface is just above elbow height. Ensure that there is ample clearance under the desk and that it is not too cluttered. The common and preferred setting for the keyboard is where the feet (underneath) are lowered so that the keyboard sits flat on the desk. Place the keyboard as close to the front of the desk as is comfortable. Place the mouse directly beside the end of the keyboard. Mouse Position this once the desk and chair have been positioned. The top of the screen should be level with or slightly lower than your eyes. It should be at arms length away from the user. It should be in front of the user to avoid reflective glare from windows and tilted downward to avoid glare from lighting. Try to place documents so that they are at eye level and placed beside the screen. Screen Document Holder Telephone The telephone should be placed at the optimal reach factor where it can be reached by the user without moving the trunk of the body. Here are a number of suggestions for rest breaks and stretching exercises for you to try while working at the computer. Make sure you relax and perform these exercises gently. You should stop immediately if you feel any discomfort. Rest & Breaks Take a rest break away from the computer for 5 to 15 minutes every hour. Active rest during a break, with some other type of activity such as walking or stretching, is more beneficial than passive rest – get up out of your chair and walk to the printer to collect those print jobs! Vary activities where possible interspersing computer activities and tasks with non-computer activities and tasks. Try to limit computer time to 5 hours per day – break this time up in to segments. Head Rolls Head Turns Shoulder Rolls Gently lower ear to shoulder and hold for 10 seconds. Slowly roll chin to chest and up to other shoulder and hold chin for 10 seconds. Repeat several times and be careful not to extend your neck back too far. Turn head to look over left shoulder and hold for 10 seconds. Turn head and look the other way and hold for 10 seconds. Repeat several times. Circle shoulders forward several times, then backward. Repeat 3 to 5 times. Shoulder Stretch Wrist Stretch Upper and Lower back Stretch Stretch arm above head, cradle elbow with hand and gently pull elbow behind head. Hold for 10 seconds and repeat several times. Interlace fingers, palms outwards, and straighten arms in front. Hold for 10 seconds and repeat several times. Interlace fingers and turn palms upward above head; straighten arms then slowly lean slightly from side to side. Repeat movement several times. The material in this leaflet is for information only.
