1. Aim
This procedure aims to act as a guide for Classification, Cataloguing and
Classification of library resources for the collection.
2. Procedure Steps
2.1 Sorting
 Sort books amongst soft cover and hard cover
 Soft cover will go to the binding section for strengthening
 After strengthening the soft cover will be catalogued and classified
 Hard cover to be catalogued immediately
2.2 Stamping
 Accession stamp
 back of the front cover
 back or verso of the title page
 back of the back cover
 Secret page stamping
 25, 101, 401, 601, 708
2.3 Barcoding
2.3.1 Book
 The barcode to be placed in the center of the first page of the book.
 Put the bibliographic (BIB) number near the barcode with a pencil
2.3.2 Audio Visual Materials
 The barcode and tattle tape should be placed in an empty space on
the CD.
2.4 Tattle Tape on Books / Audio Visual Materials
 The tattle tape to be placed anywhere in the book and a small tick
at the right hand corner of the back cover of the book for the
indication.
 The tattle for CD’s should be place on the CD ROM.
2.5 Date Due Slip
 Place date due slip on the front page of the book for General,
Fiction, Closed Reserve books
 Insert date due slips inside CD cases for Audio Visual

2.6 Cataloguing
All the bibliographic information of the resources will be classified and
catalogued using the following tools and formats:
 Anglo American Cataloguing Rules (AACR2)
 Dewey Decimal Classification System (DDC)
 Library of Congress Classification (LCC)
 Library of Congress Subject Headings (LCSH)
 MARC 21
2.7 Data Entry in Horizon 7.5 Information Management System
 Search for the title in Horizon to check the availability of matching
bibliographic information of a resource.
 If matching record is found with the same Title, Author, ISBN, Edition and
Year of Publication, add copies
2.7.1 Adding Copies
 Search by General keyword, Title Keyword, Author Keyword,
Series Keyword, Title Browse, Subject Browse

Select the relevant title

Go to MARC Editor by clicking on the Marc icon on the bar then OK

Go to Cataloguing Record

Go to ITEMS

Go to NEW

Enter details as item type, item barcode, location, collection type,
call number, copies, price, source and accession number
accordingly and save
At the back of the book top left side put the location code and
classification number with a pencil

2.7.2 Copy Cataloguing
 Search for the title in Library of Congress Online Catalogue, British
Library Catalogue, WorldCat, National Library of Australia
Catalogue etc.
 Library of Congress Online Catalogue


Match the book Title, Author, ISBN, Edition, Year of Publication etc.
Import the entry to Horizon
Imported Entry


Check all the details accordingly

Go to ITEMS on Horizon
Select New
Enter details as item type, item barcode, location, collection type,
call number, copies, price, source and accession number
accordingly and save
2.7.3 Original Cataloguing



Select Create New Bibliographic number
Select the item type such as Book, Visual Materials, etc.
Fill in the required tags entry
2.7.4 Spine Labels




The spine label should be placed at the centre of the spine 2 cm from the
base of the book or audio visual.
The standard 14 point bold type Times New Roman font should be used.
The label should be aligned centrally.
The spine will have the collection code, location code, call number, three
initial alphabet from author name and year of publication:

2.7.4 Final checkup and Dispatching



Check thoroughly all the books which have been catalogued.
Check to see the spine label matches the classification number
written in the book
Check the books for stamp, tattle tape, due date slips.

Cataloguing staff the acquisition librarian that the book is ready for
display and sort out according to the campus location and prepare
the list and pack for dispatch.
