Written Agreements
Vinifera grapes in Maryland, Virginia and West Virginia will be written on what is known as a written agreement as there is no grape
policy available in these states.
What type of documents do I need?
• Aerial maps that include road names. These are available from your local Farm Service Agency.
• A letter from an expert in your area referring to the adaptability of the crop, and includes the typical plant date and harvest
date in your area.
• Acceptable copies of production records (ie: sales tickets, sales records, load sheets, etc.) from a disinterested third party for
the past four years. RMA requires that the records be verifiable.
• The date your vines were planted and the approximate date they are harvested.
• Name and location of distributor/place of sale and distance to delivery.
• FSA (Farm Service Agency) 578 forms for the most current three crop years.
• A completed application along with the past four years of production history.
• A completed “Request for Actuarial Change” form showing the farm, field and tract number.
• Pre-Acceptance worksheet.
• Soil surveys/maps must be in color with road names included.
Vines must have reached the seventh growing season after being set out and produced an average of two tons/acre in at least one
of the three most recent crop years.
Causes of loss include:
• Adverse weather conditions
• Failure of irrigation system if caused by an insured peril such as a well going dry due to drought
• Fire if caused by an insured peril (lightening)
• Insect damage and plant disease except for insufficient or improper application of control measures
• Wildlife
Sales Closing Date is November 20
Applications must be submitted and coverage level chosen for the upcoming crop season. We recommend you contact an agent
at least 30 days prior to this date to allow time to get everything together and submitted timely.

Verifiable Records—Crop Insurance Handbook
The Virginia Alcohol Tax and Trade Documents can be used to verify
the production when the weight is recorded on the document. Section 4 Records from
Vertically Integrated Producers
1136 Vertically Integrated Producer Defined. A producer is vertically
integrated when all stages of production of a crop, from acquisition
of materials to the retailing or use of the final product, are controlled
by one person, or by different persons that are related.
1137 Acceptable Records for Vertically Integrated Producers. When
an insured is vertically integrated and cannot provide records of
production from a disinterested third party, the production evidence
listed in [Section 2] can be submitted independently as acceptable
production records. In addition, records contained in [A and B] may
be provided as acceptable stand-alone production records.
(A)Certified Scale Weight Records. Certified scale weight records
alone are considered to be acceptable production records, unless
the Crop Policy requires a pre-harvest appraisal. Certified scale
weight records must be legible and include all of the following
to be acceptable:
1. The insured‘s name;
2. The name of the crop;
3. The date of harvest or the date weighed;
4. The unit number or the location of the production;
5. The practice, type, and crop year; and
6. The quantity/weighed production. For wineries that
process their own grapes, the weight can be recorded on
the form used for reporting to the Alcohol and Tobacco
Tax and Trade Bureau.
(B)Tax records, [see Paragraph 1121 E].
1138 Required Documentation. Documentation of the vertically
integrated insured‘s internal control procedures/processes must
detail how their production is kept separate from production from
other producers.
Paragraph 1121 E. Tax Records. Unless otherwise stated [see Para
1137], tax records alone are not considered acceptable production
records. AIPs may use tax records in combination with other records for
verification, such as to substantiate direct sales (e.g., identify income
and production derived from the sale); or verification of payments
paid to pickers when pick records are provided.
