eWorkOrder with ezSign & ezSign Logbook The Elite eWorkOrder feature, incorporating ezSign and ezSign LogBook, significantly enhances existing CAMP MTX system functionality by projecting the work order directly into iCAMP, thus creating a channel of communication between the PC-‐based CAMP MTX system and the mobile iCAMP platform. This introduces additional feature sets that include: •
•
•
•
•
task assignments the ability to manage task updates directly from within the work order a method to record the distinct steps taken to address individual tasks a means to electronically stamp tasks as complete the ability to produce electronically signed logbooks directly by utilizing an electronic signature. These changes further enhance the channels of communication through the CAMP Maintenance Tracking System. This promotes interactions between the maintenance personnel and facilitates moving the organization closer to a paperless environment. The Setup To take advantage of the Elite eWorkOrder feature, contact either CAMP Customer Support, your Field Service Rep or your Analyst for assistance with getting started. They will field from you your setup requirements as well as information on the general structure of your operation, including whether you employ internal Inspectors as a second set of eyes on the physical work addressed and if you run a dedicated quality department to ensure all documentation remains in order. This attention to details ensures that Elite eWorkOrder conforms to your operational profile when it’s set up. Your completed company level profile will look similar to the one in Figure 1. Figure 2 – ezSign Settings within User Administration While CAMP will assist with your initial company level Figure 3 -‐ Settings at the User Profile Level settings, your designated ezSign System Administrator is responsible for establishing and maintaining each digital signature profile within the application. To do so, the Administrator navigates to ‘Settings’ and selects ‘User Administration’ to search for each person who is to be set up with the electronic signoff (Figure 2). Upon accessing a User’s profile, the Admin locates the ezSign frame in the middle of the screen and selects the ‘Enable Electronic Signature’ checkbox in the upper left corner for each User who is to have digital signature capabilities. The next step is to choose the individual’s name from the ‘Technician’ pull down as this will map this User to preexisting information within the system which then automatically populates the remainder of the fields, as shown in Figure 3. In the case where the User’s name is not present, the Admin needs to select <New> at the top of the list, complete the ‘Certification Number’ and then select the ‘’Authorized Roles’ which the User is to have within the organization. Everything needed to maintain an electronic signature for a User within the system is contained for the ezSign System Administrator within this area of each User’s profile. Note that the control of the Passcode is intentionally left with the User. When each User first logs into the system after the initial setup, they are presented with a pop up that asks them to set their Passcode. They are the only ones who know their Passcode numbers, which they can change at any time using ‘My Settings’ as shown in Figure 4. The System Administrator, however, does have a degree of indirect control in that he can force a Passcode change if he feels that the individual’s information has been compromised. Forcing a User to change their Passcode is addressed through the ‘Reset this user’s Passcode’ selection at the base of the ezSign frame in the User’s profile as seen in Figure 3. Page 3 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
Figure 4 – ezSign Passcode Changes The last setting that the System Administrator needs to deal with is to add the ‘Work Order’ menu to each User’s iCAMP system. This allows the User to access all work orders within the iCAMP system that are formatted using the new eWorkOrder structure. However, only those work orders created from this point on will show up in iCAMP. To enable the menu, simply check the ‘Work Orders’ checkbox under the ‘iCAMP Privileges’ frame within the User profile as indicated in Figure 5. Figure 5 – iCAMP Settings After access is provided to iCAMP, all Users who have been setup with ezSign capabilities have the option of establishing an actual digital signature using their smart phone and/or tablet. This is optional as not having a digital signature does not prevent anyone from electronically stamping work. Setting up the signature is simple: navigate to ‘Settings’ located at the base of the screen (Figure 4) and follow the onscreen prompts on the User Info screen (Figure 6). Figure 6 – ezSign, Establishing a Signature Using iCAMP The Functionality With the Elite eWorkOrder setup complete, all aircraft within your organization will take on the new attributes as established. The rest of this document provides an overview of the new functionality that is now available. Work Assignments As planned maintenance activities are reviewed and subsequently scheduled throughout the course of the day, the workflow that’s built into the CAMP MTX system provides both System Administrators and Users the ability to assign work to others. This can be done at the individual task level within the eWorkOrder by expanding the task and selecting the name of the individual from within the pull downs. These assignments can be made for the Technician, Inspector and/or the QC roles. The positioning of the selection fields is important as assigning the task is not using the ezSign functionality to sign off any work but simply selecting the name from the pull down to assign the work to that person. Figure 7 – CAMP MTX eWorkOrder with ezSign, Assigning a Task to Technician “Kaiser Souse” Page 5 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
To handle personnel assignments en masse, the User has the option of selecting a series of tasks followed by the ‘Manage Work Assignments’ selection from the ‘Action’ menu housed within the eWorkOrder. This brings up a pop up, see the Figure 8 sequence, that permits the assignment of one Technician, Inspector and/or Quality Control individual to all tasks in one fell swoop. Figure 8 – CAMP MTX eWorkOrder Leveraging Work Assignments en Masse Page 6 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
With the assignments established, Technicians and Inspectors alike can now access iCAMP to use ‘Alert Center’ to retrieve the tasks assigned to them. Choosing ‘My Work Assignments’ displays a list of aircraft containing their open assignments as shown in Figure 9. Selecting an aircraft lists the work orders that contain the items that they’ve been charged with and which are waiting to be dealt with. Figure 9 – Accessing All Work Assignments in iCAMP Page 7 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
After the Technician completes the work, he uses iCAMP again to enter all of the pertinent compliance information and electronically sign the job off using the ezSign feature. At this time, the Technician can stage the job for review for his Inspector. To sign the task, the Technician enters his ezSign Passcode in the field directly underneath the assignment pull down and selects the green check icon to process his stamping. As soon as the system completes its routine checks, the Technician’s name shows up against the task indicating that the work is complete. The Technician now assigns an Inspector to the task by selecting the relevant name from the pull down within the task; this summons the Inspector to the aircraft to validate the job performed. Figure 10 – ezSigning My Work and Summoning an Inspector in iCAMP Page 8 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
There are two important items that need to be highlighted here to better understand the workflow within iCAMP. The iCAMP Mobile application does not have a ‘QC Review’ role functionality, and we designed it that way. The ‘QC Review’ of the work is orientated towards a review of the compliance documentation that is usually completed within an office setting on a PC and not on the hangar floor. The ‘QC Review’ function, therefore, has been kept within the PC-‐based MTX system. The second item of importance is the placement of the callouts, and all Users should understand how they work. Differentiating between the assignment selection (Technician, Inspector, QC) and an electronic signature is particularly important as they share the same space on the screen. The logic behind this is that the assignment will always precede the signature so that when the work is complete the signature signoff replaces the assignment on the screen. This is true in both the iCAMP and CAMP MTX systems. Task Updates As Technicians physically complete their work, they have the ability to access the system either through CAMP MTX or through iCAMP to enter their compliance data. This information does not need to be entered all at once as there is an incremental Save facility that allows each user to complete their input over time. Users can also upload documentation relating to the physical compliance to the work order and associate it with the task using the ‘Attachments’ link found at the bottom left of the screen -‐-‐ see Figure 11. Once all the information is entered and the Technician associates his name to the job, the system will change the state of the task to indicate it is waiting for an Inspector to review the completed work. After all key personnel have stamped their names against the task, its state will change to ‘Work Completed’ which enables the ‘Update Status’ button at the top of the screen. Selecting this button processes the compliances within the system, creating a permanent record of the work performed. Note that this last step can only be done through CAMP MTX as iCAMP does not have access to this function. Figure 11 – eWorkOrder Task Updates Page 9 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
Task Steps The ‘Task Steps’ feature is another function of the eWorkOrder and records the individual steps taken to complete the work against any given task. It permits Users to record all of the sequential steps needed to address the physical work associated with an assigned job, down to the smallest details. To create steps, a User simply selects the task and uses the ‘Add Steps’ option from the ‘Action Menu’ which then adds a new section between the compliance and the signoff areas at the base of the screen. Then simply fill in the description. There is no limit to the number of steps that can be created, all of which can be edited and repositioned to your satisfaction. Figure 12 – eWorkOrder Task Steps Page 10 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
Electronically Stamping Documents Using the ezSign feature is very simple as the process is really intuitive. The Technician fills in the compliance information and makes sure that all supporting paperwork is attached to the task after completing the work. This information can be entered incrementally over time as you can save without triggering the task update by using the ‘Save Task’ button at the lower right of the screen. When all of the information is added, the Technician then signs the work by entering his Passcode in the white box below the Technician label. Upon submission, the system runs a check to make sure the Passcode is valid and to ensure that all of the mandatory compliance fields are properly entered, at which time it electronically stamps the Technician field as shown in Figure 13. When processing is finished, the information is locked down, effectively sealing the task in support of the stamping. To correct a data error, the signature can be removed using the ‘Remove ezSign’ button which unlocks the information for edit. However the electronic signature must be processed a second time by an authorized Technician to move forward with the compliance. If the organization has a mandatory ‘Inspection’ and ‘QC Review’, each needs to be performed before the ‘Update Status’ button can be used, which will then trigger the physical update of the task. Generating Prefilled Work Compliance Forms Printing work compliance forms from the eWorkOrder is a simple task that can be addressed at any time by anyone. With the ezSign feature, the forms can be produced with all of the compliance information prepopulated, including the electronic signature. Simply select the task, access the ‘Print Compliance’ menu and choose ‘Print Work Compliance Form’. Figure 14 – CAMP MTX eWorkOrder, Printing Work Compliance Forms Page 12 of 14 SEA – eWO #3 vs 5c eWorkOrder:ELITE
Creating Electronically Signed Logbook Entries With ezSign Logbook, tasks can be loaded to the ‘Logbook Entries’ screen from any area within the system. For our example in Figure 15, we begin from the eWorkOrder. Since the targeted task in the example is already in a ‘Complied With’ state, porting it to the ‘Logbook Entries’ feature using the ‘Print Compliances’ menu in the work order also takes along the additional compliance information. The Technician uses his ezSign Passcode to electronically sign the document so that the aircraft may be released to service. To do this, the Technician chooses the appropriate signoff statement and enters his Passcode into the field. He then selects the ‘Submit’ button to produce a regulatory compliant Release to Service that can be previewed and printed and added to the aircraft log. Figure 15 illustrates the entire sequence.
