Part I - Introduction
Thank you for your interest in creating an alumni Shared Interest Group. An inherent component of
the mission of the SIG Program is to promote the welfare of the University of North Georgia by
fostering the development of mutually beneficial relationships between the University and its alumni.
This Resource Guide serves to provide information for alumni interested in establishing a SIG. This is
a working, organic document and is subject to change. If you need additional information, or have

A. Background Information
The focus of alumni relations and engagement has changed. In the past, colleges and universities
engaged alumni primarily through their respective graduating class year and with events (e.g., reunions).
While many classes continue to maintain their identity, opportunities for affinity for one’s
college/department cohort, profession, Greek organization, sport or other cause have led to groups
organizing to promote those common bonds, experiences, or affinities. Just as corporate marketing
departments segment the consumers by a myriad of factors, alumni engagement initiatives have begun
to focus on providing opportunities for alumni to connect based upon the specific interests of the
alumnus. Evidence of this trend at UNG can be seen in the recent formation of new “associations” of
alumni such as, the Nursing Alumni Alliance, Chemistry Alumni, the Women of UNG, and others.
The mission of the UNG office of Alumni Relations is to support the University by providing
opportunities for alumni to engage with one another and with the life of the University. Prior to the
formation of the UNG in January 2013, Alumni Relations staff conducted research into alumni
operations of universities known for best practices in alumni outreach. In 2013 the UNG SIG initiative
was formatted and offered for alumni participation in January 2014 with the publication of this
Resource Guide.
In the fall of 2013 the governing bodies of the alumni associations of the former institutions voted to
create a steering committee to create a new alumni organization for the University of North Georgia.
Upon the successful organization of this entity, the SIG program is designed to operate in conjunction
with that organization and be administered by the office of Alumni Relations.
B. Definition of a SIG
Shared Interest Groups at the University of North Georgia are communities of alumni that share a
common affinity or bond based on shared experience, identity, background, academic affiliation,
profession or other UNG-related interest.

A SIG provides an opportunity for alumni to connect in meaningful ways beyond the traditional class
affiliation, campus, or common regional proximity. SIGs provide a way for the University to identify
and engage its alumni community in the life of the University through events, networks and
communication.
C. Purposes of a SIG
1. To provide a means by which alumni can connect with one another and with the University.
2. To increase the number of alumni engaged with, and in support of, the welfare of the University.
3. To foster and encourage alumni financial support of the University through the UNG Annual
Fund, UNG Scholarship Fund or other approved University Funds.
4. To enhance the reputation and presence of the University in the community, statewide, nationally,
and internationally.
Part II – Support and Benefits Available to SIGs
The University, through the office of Alumni Relations, will provide certain benefits and support for
approved SIGs. However the success of a SIG is ultimately tied to the commitment, energy and
dedication of the alumni who lead and participate in the group. Staff resources and support alone
cannot drive the success of a SIG.
A. Benefits Available to Approved SIGS
The UNG Alumni Relations team can greatly assist with initial and ongoing recruitment efforts, event
support and marketing your SIG in the following ways:
1. Promotion of the SIG on the alumni website linking to the group website hosted by the University.
2. Promotion via the alumni quarterly e-newsletter including launch announcement, call for members,
news and events.
3. Promotion via social media (on launch and regarding upcoming events).
4. Guidance and recommendations for effective use of social media.
5. Assistance with University room and facility reservations, support and guidance for event logistics,
and UNG faculty & administration speaker outreach.
6. Use of the University’s trademarks and logos subject to the guidelines of the University’s Identity
Program administered by the Office of University Relations.
7. Opportunity for UNG staff and faculty to serve as ex-officio members as available.
8. An Alumni Relations and Annual Giving staff liaison.
9. This SIG Resource Guide for organization and best practices of operation including suggested
documents and forms.
10. Opportunity for one to four SIG officers to participate in an annual leadership training seminar and
networking opportunity with other SIG leaders and senior University administration.
11. Promotion of the SIG where appropriate at University and alumni events.
12. Event materials including UNG Alumni nametags for use at SIG events.

B. Fiscal Guidelines
The University of North Georgia Foundations are the sole private organizations authorized to raise
funds on behalf of UNG. Gifts to the UNG Foundations receive all of the income and estate tax
benefits allowable under the law.
It is the responsibility of the University Advancement Office, through the Office of Development, to
plan, authorize, and manage all fundraising programs on behalf of the University.
Shared Interest Groups are not intended to be fundraising entities. The primary role of a SIG is to
engage its members with one another and with the life of the University. SIGs should encourage
members to give individually to the UNG Annual Fund, UNG Scholarship Fund or other officially
designated fund(s) based upon the giving interests of the alumni member.
Prior to any activity or event that may be construed as a fundraiser, (where income received may be
above and beyond the cost of the group’s annual operating expenses or cost of the event), SIG
leadership will obtain approval from the Assistant Vice President for Development. This applies to
creating student scholarships, funding academic chairs or accepting corporate support. Such
communication will enable SIGs to partner with and leverage the resources and information of the
UNG Development Office.
SIGs may solicit corporate sponsorship for events only in an amount that does not exceed the greater
of (1) the expenses of a particular event, or (2) the SIG’s annual operating expenses. Requests for and
acknowledgements of corporate sponsorships must clearly state that the contribution is to the SIG and
not to the University of North Georgia.
SIGs will be supported solely by membership dues, individual contributions, and event registration
fees. Income generated from dues may cover operational costs including mailing and postage incurred
by or on behalf of the SIG, travel costs associated with guest speakers, underwriting of partial or entire
events, and promotional material. Event fees can be charged to cover a portion, or entire cost of SIG
events.
If necessary, SIGs should maintain and manage their own bank account. SIGs should not maintain in
their accounts more than one year’s operating expenses, or more than the total amount for planned
events in one year.
SIGs should refrain from practices of any kind that are not related to the SIG’s stated mission. SIGs
should use dues or event fees only for the organization’s stated mission and should not contribute
financial support to other unrelated charitable organizations. For example, SIGs may charge
membership dues to pay for operating expenses. However a SIG centered on the Corps of Cadets
should not use dues for the purposes of supporting Habitat for Humanity.

Part III – Document Requirements for SIGs
In order to become an approved SIG, the group must be compliant with the requirements described in
this document. The group must adhere to all Operating Principles for Approved SIGs in Part V of this
document in order to receive ongoing support and services (See page 8 for Operating Principles for
SIGs).
A. Membership Criteria
To begin a SIG, there must be a minimum of 30 alumni who have demonstrated an interest in
establishing and maintaining the group. There should be at least four volunteers willing to assume one
of the leadership roles as a member of the Group Leadership Committee. UNG alumni should make
up three-fourths of the Group Leadership Committee.

B. Mission Statement Requirement
All SIGs must have a written mission statement describing the purpose for its existence. The mission
statement will serve as a guide for programming and to inform alumni of the group’s intent and
direction. Each group’s purpose must be aligned with the general mission of the UNG Alumni
Association (when established) and for the benefit of UNG and its alumni community.
University of North Georgia Mission Statement
The University of North Georgia, a regional multi-campus institution and premier senior
military college, provides a culture of academic excellence in a student-focused
environment that includes quality education, service, inquiry and creativity. This is
accomplished through broad access to comprehensive academic and co-curricular
programs that develop students into leaders for a diverse and global society. The
University of North Georgia is a University System of Georgia leadership institution and is
The Military College of Georgia.
C. Governing Documents Requirement
Each SIG is required to have a written constitution and bylaws to govern the group’s operations and
activities. The constitution and bylaws must be submitted to Alumni Relations within six months of
submitting the concept proposal. A written document is important as it will form the framework for
the group to follow, establish important tenets to minimize the potential for future conflict, and help to
preserve the group’s continuity. A sample constitution and bylaws are included in the APPENDIX of
this Resource Guide.

D. Ongoing Requirements
An approved SIG must adhere to the following requirements each year of its existence.
1. MAINTAINING CONSTITUTION AND BYLAWS
The approved constitution and bylaws will serve as a guide for conducting the group’s activities
and should be followed consistently. Changes must be reviewed by the Office of Alumni
Relations. Constitution and bylaws should include:
a. Officer List: Following each election, an updated list of officers must be sent to the
Office of Alumni Relations. If an officer is changed prior to an election, those changes
must also be submitted as well (along with the reason for the change).
b. Minimum number of members: The group must maintain at least ten members.
2. GROUP LEADERSHIP MEETINGS
a. Group Leadership Meetings: Each group is required to host a minimum of two
meetings of the leadership team annually. Minutes of the leadership meetings should be
submitted to the Office of Alumni Relations immediately following the meeting.
3. PROGRAMMING REQUIREMENTS
a. The group must conduct at least one program/event per academic semester (fall and
spring). Program ideas should be discussed with the Office of Alumni Relations before
planning begins to minimize potential calendar conflicts.
4. ANNUAL STATEMENT
a. An annual statement (see APPENDIX for sample) must be submitted to the office of
Alumni Relations every fiscal year that the group is in existence (July 1 - June 30). The
report is due on the last Friday of each July and must include:
i. A current list of members and officers/terms with contact information
ii. Financial reports to include balance sheet and annual income statement
iii. The number and description of activities conducted in the past year.

Part IV – Starting a SIG
SIGs are created by alumni who are passionate about their cause or bond and who have the energy,
determination, and time to devote to organizing the group for success and continuity. Creating a
successful SIG relies on an explicit volunteer-driven, grass roots effort and a reasonable nucleus of
alumni and friends of the group who are willing to participate in its activities.
SIGs are formed in one of two ways:
1. An individual or group of UNG alumni indicate an interest and take the initiative, or,
2. Based upon perceptions of common bonds expressed by alumni, the Office of Alumni
Relations, a College Dean, Department Head, etc., initiates discussion and recruits SIG
leadership.
While the Office of Alumni Relations is eager to assist anyone interested in forming a SIG, the initial
steps to organize, achieve recognition, and continue successful operation are the responsibility of the
SIG and its alumni leaders.
SIGs must adhere to criteria and requirements outlined in Part IV (Operating Principles) of this
Resource Guide. Approved SIGs have full access to the benefits outlined in Part II of this guide.
A. Steps to Becoming a SIG
1. INITIAL STEPS
a. Check the alumni website at http://www.ungalumni.org/sigs-active to ensure the group
that you wish to begin does not already exist.
b. Contact the Associate Vice President of Alumni Relations by phone or email to discuss
your idea at 706-864-1547 or [email protected].
2. SUBMITTING REQUIRED DOCUMENTS
a. After making contact and discussing the concept, the alumni volunteer contact will
gather the following documents to submit to the Office of Alumni Relations.
i. A brief concept proposal including a petition or statement of interest that
includes a minimum of thirty alumni names and signatures who pledge to
support the proposal and join the group. See Sample Founding Members
Roster form in the APPENDIX for information to submit. Specify the
members of the Group Leadership Committee and the officer who will serve as
point of contact with UNG Alumni Relations.
ii. Proposed Mission Statement.
3. APPROVAL
a. Upon receipt of the required materials and verification of initial members as alumni of
UNG, the documents will be reviewed for conditional approval.
b. A conditional approval letter will be issued as soon as possible and will include the
name and contact information for the Alumni Relations staff member who will serve as
the SIG’s liaison. If not approved, a letter with an explanation and recommendations
for future action will be sent.

c. Upon conditional approval each member’s alumni record will be coded reflecting their
membership in the SIG. Subsequent new members will be coded as members when
reported. A link to the SIG will be posted on the Alumni website noting conditional
approval and a call for alumni members.
d. Final approval of the SIG will be issued by letter upon receipt and approval of the
group’s constitution and bylaws.
e. Approval will expire after a three years from the date of first approval. To remain in
good standing, a SIG must submit an application for renewal to UNG not later than 90
days prior to the expiration date. Should the date pass without a SIG renewal
application being received, the SIG will no longer be considered “in good standing.”
As such, it will lose recognition and benefits and must submit a new application.
Part V – Operating Principles for SIGS
Each SIG is an independent, volunteer-driven entity and as such, UNG Alumni Relations is in no
direct way involved in its management; UNG Alumni Relations may suggest a basic governing structure
and information to assist the SIG in its operations. All Shared Interest Groups will conduct their
activities according to the following principles:
1. SIGs should not portray themselves as fundraising entities.
2. SIG names must not include the word Trust or the word Fund.
3. SIGs should promote the overall mission of the University of North Georgia in a positive
manner and strive to strengthen relationships between alumni and the University.
4. SIGs must adhere to the University’s policy regarding use of the UNG’s name, trademarks,
logos and insignias as established in the University’s Identity Program and administered by the
Office of University Relations and the University’s licensing firm.
5. SIGs must be governed primarily by alumni, i.e., a minimum of four-fifths of the leadership
positions should be held by alumni of the UNG. An alumnus of UNG is defined as a person
who has received a degree from UNG (or one of its predecessor institutions), or who has been
a student at the same for two continuous quarters/semesters in good standing.
6. SIG membership should be open to any member of the UNG community defined as alumni,
their spouses, students, faculty, staff, parents of students, visiting faculty and friends of the
University and/or alumni group.
7. SIGs should refrain from admitting to its membership any individuals who are not members of
the current UNG community.
8. SIGs must refrain from discrimination of any form.
9. SIGs must remain independent and not become a chapter of a non-UNG organization.
10. SIGs must refrain from starting or investing in any commercial enterprise.
11. SIGs should not be established specifically to support a UNG College or recognized University
Advisory Group without the written permission from the Provost’s office or the governing
board of the Advisory Group.
12. SIGs should encourage their members to contribute to the University’s Annual Giving Program
from which support is provided for the annual leadership training and other SIG activities.

Neither the University of North Georgia nor the UNG Office of Alumni Relations and Annual
Giving is responsible for a SIGs practices, and reserves the right to deny the SIG any and all
benefits of affiliation at any time if the SIG is in breach of the operating principles set forth in this
document. The office of Alumni Relations reserves the right to modify this document and the
requirements for SIGs at any time and to inform approved SIGs of such changes.

What is the status of the UNG Alumni Association?
o As of December 2013, the two alumni associations have formed a steering committee for
the purpose of creating the new UNG Alumni Association. The goal for the committee is
to have the UNG Alumni Association in place by July 1, 2014.
What impact will the new UNG Alumni Association have on the SIG Program?
o It is anticipated that the UNG Alumni Association will be the overall “umbrella”
organization for all alumni of UNG and that SIGs will be elements of that organization.
How will SIGs be represented as elements of the UNG Alumni Association?
o The answer to this question will be clear upon the adoption of governing documents of the
UNG Alumni Association. SIGS may be represented at the primary board level or as a
“body of representatives” designed to offer input to the board.

What is the definition of Alum?
o An Alum of UNG is described as a recipient of a degree from UNG or one of its former
institutions (GJC, GC, GSC, NGC, NGCSU), or, a student who has attended one of these
institutions for two consecutive quarters or semesters, in good standing.
Will the UNG Alumni Association charge dues for membership?

Relations and Annual Giving, in partnership with the UNG Career Services staff, works to grow and
maintain this private group on LinkedIn.com. It serves as a valuable tool for professional networking
tool and is open to alumni, employers of alumni, students and other members of the University
community.
You should name your LinkedIn group the same as your network name, for example: UNG Soccer
Alumni SIG, or, UNG Soccer Alumni Shared Interest Group. All other decisions are at the discretion of the
