IT Services
Purpose and scope
This policy is a sub unit of the information security policy, and all user are expected
to follow the guidelines and procedures in this policy.
This has been implemented in order to help secure the University computers,
network and associated systems
As technology continues to develop we become more reliant on it, as such all
members of the University community need to assist us in safeguarding our systems.
This policy outlines what users can do to ensure the risk to the University network is
manageable.
Definition
A program or piece of code that is loaded onto your computer without your
knowledge and runs against your wishes. Viruses can also replicate themselves.
All computer viruses are manmade. A simple virus that can make a copy of itself over
and over again is relatively easy to produce. Even such a simple virus is dangerous
because it will quickly use all available memory and bring the system to a halt. An
even more dangerous type of virus is one capable of transmitting itself
across networks and bypassing security systems. (Provided by Webopedia)
Emails
Newman University scans all incoming message for viruses, however some may get
through. Due to the automated process the system may accidentally dispose of
genuine messages. If you are aware that you should have received a message but it
has not come through please contact It Service. IT services accept no liability for the
loss of emails.
If you are unsure of who the sender is, then do not open any attachments. Please
seek assistance from IT Services if you are unsure.
Attempts to deliberately install a virus on the University Network will be treated as a
disciplinary offence.
Attempts to build a virus, or distribute a virus using the University Network will be
treated as a disciplinary offence.

Personal Computers
Do not download from unknown sources on the internet. If in doubt please contact
IT Services for assistance.
Any user who attempts to disable the anti-virus protection could face disciplinary
procedures.
Any User who attempts to prevent windows update or Virus definition updates could
face disciplinary procedures.
Any user who attempts to disable the Firewall will be dealt with under the disciplinary
regulations.
Attempts to deliberately install a virus on the University Network will be treated as a
disciplinary offence.
Attempts to build a virus, or distribute a virus using the University Network will be
treated as a disciplinary offence.
Attempts to use file sharing software will be dealt with under the disciplinary
regulations.
Web
Using social networking sites can place your computer at risk. Users are expected to
be responsible when using these.
IT Services reserves the right to block any site that poses a risk to the University
Network
Site that are blocked will be displayed on the IT Services Webpages, if you feel a site
which is blocked should be accessible please contact IT Services.
Network
The University has a fully manageable Anti-Virus protection system, which records
and monitors all Computers and emails on campus.
IT Services staff are authorised to access any file deemed to be a potential security
risk, and investigate. The owner of the file will be informed of this prior to
investigation.

IT Services
IT services hold the right to deactivate any PC or Network area that is potentially at
risk, and investigate. Users in that area will be notified. Network disruption is always
frustrating, and IT Services will endeavour to restore access as quickly as possible.
IT Services will always act in the most effective way of safeguarding the network,
and apologise for inconvenience or disruption caused to users.
Any attempt to jam or slow down the network will be dealt with under the
disciplinary regulations.
Any attempt to deny other users access to the Network will be dealt with under the
disciplinary regulations.
Wireless
It is expected that any computer connecting to the Wireless will observe the Wireless
Network Policy.
In addition to that policy it is expected:
1. that any PC that connects to the Wireless will have an up to date virus
scanner.
2. That it will have received all available security updates.
3. If there is a risk that the device is infected the user will seek assistance from
IT Services before attempting connection.
Additional
IT Services will request disciplinary action against anyone who attempts to
deliberately jeopardise the integrity of the University Network.
IT services will deactivate any user account or PC that acts suspiciously or we believe
to be infected.
IT Services will alert users of any major risks, or emergency downtime where
possible.
This policy will be reviewed yearly and ratified by the University Management Group.
