Badge Facts

Badge weighs under 2 ounces
Wearable with one of 2 attachments: lanyard (with stabilization clip), universal clip
An ear bud/Headset is available to provide privacy during calls
Battery
• Remove by pushing down on small retention clip towards bottom of badge
• Put a new battery at beginning of your shift; put used battery in charger
• Lasts 2 ½ hours of constant talking time; 40 hours of standby time
• Backup batteries will be stored in the chargers
Battery Chargers
• Vocera offers 2 types of chargers: single bay and eight-bay
• Each charger can hold just battery or battery and badge together
• A flashing green light indicates the battery is charging
• A solid green light on charger indicates a fully charged battery
• It takes approximately 90 minutes to fully charge an empty battery
• Badges should be placed in the chargers at the end of your shift, or stored in the
chargers when not in use
Notice small light should be flashing green
when you are connected to system
If light is flashing red, you are not
connected to network
An amber light will flash when pressed
Incoming callers will be notified that you are unavailable and prompted to leave
a message
To exit Do Not Disturb, simply depress button again
While active in a call, depressing the button places the caller on hold

Getting Started
Key Badge Wearing Factors

Place Vocera badge 6” from chin
Do not wear badge in pants pocket
Do not hold badge (this covers up the microphone and antenna)
Do not touch badge while speaking
Speak in normal tempo, not too fast and not too slow
Speak in a normal voice, no need to speak loudly
Ready to Log In
• Press the Call button and follow prompts
• State your name
• Speak in a steady pace
• Voice sounds mechanical; you will want to hear your voice
Record Name
• Press the Call button
• Say, “Record my name”
• Follow prompts; only have to do this one time
Make Calls
• Press Call button
• Issue command, “Call, find, or get me” followed by first and last name: “Call Joe
Smith”

You can also call by spelling the first name or last name or first and last name.
For example you could call John Smith by saying “Call J-O-H-N-S-M-I-T-H”
Vocera will respond to commands by letting you know it is finding the person
You can also call by first name and department: “Call Tina in E D.”
You must use the programmed commands. See the Command Reference card.
Receive Calls
• To receive a call, simply say “yes” and then, “Hello” or “This is….” so the caller knows
they are connected.
• If you say “no”, the calling party will be prompted that you are unavailable and will be
asked if they would like to leave a message

Leave and Play Messages
• Leave message when the genie asks: “Do you want to leave a message?”
• Follow the prompts
• You can also leave a message without calling the person first.
o Press the Call button
o Say, “Record a message for ______” (first and last name or group)
o Follow the prompts

Messages will auto delete after TWO (2) weeks. Use command “Delete messages” to delete sooner
•
How will I know I have messages waiting?
o When you log on or come out of do not disturb or end a call if you have a message the system
will prompt “you had a message from “user name” or “a phone” if the message came from
outside the Vocera system.
o When a message is left the badge wearer will hear a “clunk” sound and a telephone receiver will
appear on the badge screen.
•
Once messages are played, they become old. If you want to listen to a message
again, say, “Play old messages”.
•
To play new messages, say, “Play messages.”
Using Vocera as a Telephone
• Vocera is integrated with your phone system.
• To dial an extension, simply say, “Dial extension _____” (5 digits)
• To get an outside line, say, “Dial an outside number” and state the numbers in a
steady flow without pauses
• You can call departments in the Library also by using the command “Call” and stating
the department or group that you would like.
•
Example: Call Human Resources and the system will dial the number of the Human Resources.
To call into the Vocera from a phone
• From a phone, dial 614-688-3002
• Say “the name of the person or group” that you are trying to reach.
• Or enter an extension
Do Not Disturb
• Used when the wearer does not want to be interrupted by calls.
• Press the triangular button on the top of the badge to activate Do Not Disturb
•

Every 15 minutes the badge will beep to remind you that you are in Do Not Disturb mode.
Callers will be told you are not available and will be given a chance to Leave a message
ƒ Badge wearer hears a “clunk” when the message is left
ƒ Telephone receiver appears on the back of the badge when there are messages
waiting to be retrieved.
ƒ To retrieve messages, follow the directions for playing messages.

Making or receiving calls requiring privacy
• Be aware of surroundings. Customer confidentiality is paramount.
• Consider the following options:
o Walk to a private area and take the call
o Place caller “on hold” and walk to a private area
o Transfer Vocera call to a nearby phone
o Return the call at another time
o Wear a headset
• Badge etiquette: If you make the call, end the call
Placing a call on Hold
• When you are unable to take a call immediately tell the caller you are placing him/her
on hold
• Press the triangular button on the top of the badge
o Vocera will tell the caller he/she is being placed on hold
o Vocera will tell you the call is now on hold
• To release the hold and continue the call, press the triangular button again.
• You may also transfer calls on hold by following the directions for transferring a call.
Transferring a call
• Place call on hold (Top Button)
• You will hear "I'm placing your call on hold".
• Press the Call button (Front Button)
• You will hear "Vocera"
• Speak "Transfer call to extension XXXXX"
• Confirm extension and the call will be transferred to the stated extension.
Adding and Removing Self from Group (daily assignments)
• Use this function at the beginning and end of shift
• Add to Group: Use command “Add me to group _______”
• Remove from Group: Use command “Remove me from group _____”
•
EXAMPLE:
o Press the call button: you will be prompted with “Vocera”
o Speak “Add me to group Training”
o You will hear confirmation.
o To remove yourself:
ƒ Press the call button
ƒ Wait for “Vocera”
ƒ Speak “Remove me from group Training”
ƒ You will hear confirmation.

To call a group
• Press Call button
• Issue command, “Call, find, or get me” followed by the name of the group, function
or department: “Call S E L Security” or “African studies”
•
Vocera will try member of the group one by one via round robin until someone can take your call.
Sending a Broadcast Message
• You can communicate to all members of a logged-on group at once by using the
broadcast function
• Use the command, “Broadcast to _______(group)”
• To respond back, press the Call button while speaking (speak after the beep)

Remove yourself from daily assignment groups
• Press the Call Button
• Wait for the prompt
• Say “Remove me from training”
Logging Out
• Press the Call Button
• Wait for the prompt
• Say “Log me out.”
Signing the Badge In
• At the end of your shift return to the storage area and sign your badge back into the
log
• Take off the battery and place it in the 8-bay charger.
• Place your badge in storage bin/drawer.

Super User – Troubleshooting
Troubleshooting
• Contact your unit-based Help Desk/Super Users
• Press the Call button
o Say “Call Help Desk” – This will call the Help Desk/super user
•
Say “dial extension xxxxx
• If the Vocera Network goes down or is having problems, use the phones
• If there is problems with a badge:
o Label it and call the Help Desk (defective equipment will be returned to
Telecommunications for evaluation and/or replacement)
o Take another badge to use for the remainder of the shift
Learn a Name
• Press the Call button
o Say “Learn a Name”
o The Vocera will say “spell the first or last name”
o If more than one person, group, or location has the name that you spell, the
Genie speaks each name, asking you to identify the one you want.
o When prompted, say the name or nickname the way you always do.
o The Genie asks you to repeat the name several times, then tells you, “OK, I’ve
learned the name.
Voice Recognition
If you are having a hard time with Voice recognition.
1. Check the user list and address book to verify the person you are trying to call
is an entry.
ƒ If they are listed, first try “Learn a name”
ƒ If they are not listed, call by number and record their name in the issues
log so they may be added
2. If Vocera is having a hard time recognizing your commands, Call Help desk and
we will teach you how to optimize voice recognition for voice commands
