GENERAL INFORMATION
We look forward to welcome you to the 48th Nordic Lung Congress 2017 in Visby in May, 2017!
The Congress is expected to draw around 600 delegates. The delegates from the Nordic region as well as
from the close proximity have been encouraged to attend this Nordic Congress.
The scientific program will feature the very best of speakers from the five Nordic countries and cover a
wide range within the respiratory field including obstructive lung diseases, pulmonary oncology, sleeprelated breathing disorders, interstitial lung diseases, cystic fibrosis and lung transplantation. In addition to
parallel symposia, ongoing research from the Nordic countries will be presented as posters and oral
presentations. All lung physicians from the five Nordic countries will be invited and also general
practitioners, nurses and physiotherapists working within the field of respiratory medicine.
A novelty at this 48th Nordic Lung Congress is that it starts with education during the Wednesday with
parallel courses followed by the Congress during full Thursday and Friday. A get-together meeting will be
organized in a medieval building during Wednesday evening.
We are pleased to announce that for this Congress we have secured the venue Wisby Strand at the seaside
in the very heart of the medieval city Visby on Gotland. At the entrance, there is a beautiful view of the city
wall and the park Almedalen where the political week is arranged every summer. There are a lot of hotels in
the surroundings and the airport is reached within less than 15 minutes by car while the harbor is within a
5 minute walk. The same venue was used for the Swedish Lung Congress in 2013 and at the participants as
well as the speakers and exhibitors had very positive experiences of Wisby Strand.

The Venue – Wisby strand
Wisby Strand is one of the most modern meeting and conference facilities in Europe. The building was inaugurated on 14 April 2007 after years of preparation, planning and construction.
Accommodation
Visby has a number of good hotels, and many are located within the close proximity of the Venue. It will be
possible to book your accommodation direct through the Congress website from autumn 2016.

Please be informed that Sponsorship packages must be confirmed on or before 9 March 2016. This, in
order to guarantee Sponsorship packages and draw exhibition stand areas prior to inviting other exhibiting
companies and organisations to book space. As of 9 March all other exhibiting companies will be invited to
exhibition space and sponsorship items.

Sponsorship of a stand alone lunch or evening session of 30 minutes (sponsors will be allowed 15
minutes to set up prior to the session). The programme including speakers and titles of
presentations will be posted on the Congress website in advance.
Hall rental and standard technique is included; projector, screen and two microphones. One
technician will also be available during the session. (Any costs related to the Speakers, shall be
charged the Sponsor, such as travel and accommodation)

The Congress bag/folder will be given to all registered delegates and will include all Congress material,
including the Final Programme.

The lanyard is handed out to all registered delegates together with the name badge. All delegates are requested to wear their name badge at all times whilst at the Congress.
Notepads and pens15 000 SEK + production cost
The notepad will be packed into the Congress bag/folder and will be given to all registered delegates, upon
arrival at the Congress.
Congress bag insert 10 000 SEK + production cost
Your company may have an A4 page, single fold or similar, maximum weight of 20g insert. The insert may be
advertising, invitation or company message, and will be inserted into the Congress bag/folder on your behalf
by the organisers. The content of the insert is subject to approval by the organisers.
EXHIBITION
Provisional exhibition floor plan
Wisby strand has excellent facilities with plenty of space for both the scientific meetings and a large commercial exhibition. The exhibition area is located in the heart of the building with large panoramic windows.
It will include exhibition, catering as well as the poster area, so that exhibitors can enjoy maximum attendance in their stands.

hall and poster area. 2nd level conference rooms and place for dinner.
Floor space
Price for floor space is 4 000 SEK per square meter excluding VAT. Please note that floor space, only, is
included in the price.
Shell scheme, walls, carpet and electricity etc. can be ordered from our stand contractor. An order form and
price list will be sent to you along with the technical manual, and also be available on the web, as of spring
2016. All orders will be invoiced separately directly by the contractor.
Stand construction
The maximum stand building height is 2,5 meters. This height must not be exceeded.
Exhibitors cannot, under any circumstances, attach anything to the walls, ceiling or floor (nail, stick, hang
etc.) signs, light and/or any other material.
Materials used by the Exhibitor, should be fireproof for usage at fairs and public venues.

PRACTICAL INFORMATION
TERMS AND CONDITIONS
Registration and Accommodation
One Exhibitor name badge is included per six square meter floor space.
As of nine square meter floor space Companies are entitled to two Exhibitor name badges per nine square
meter floor space.
1.
Definitions
In these Regulations the term Exhibition in all cases refers to the Exhibition, being held in conjunction with
the upcoming Congress. The term Exhibitor includes any person, firm, company or corporation and its
employees and agents to whom space(s) has been allocated for the purpose of exhibiting at the Exhibition.
The term Organisers means Academic Conferences on behalf of the Organising Committee. The term Premises refers to those portions of the stated venue licensed to the Organisers.
Additional Exhibitor name badges may be purchased at an additional cost of 1 900 SEK/ badge.
Exhibitor name badges include admission to the Exhibition, tea, coffee and lunches at all official breaks
during the Exhibition opening hours and the Welcome Reception. An Exhibitor name badge does not allow
admission to the scientific sessions.
Registration and accommodation information and forms will be sent to you, upon confirmation of booked
floor space.
Delegate registrations are not included in the floor space, but may be purchased additionally, by using the
online registration form open for all delegates. Delegate registrations allow admission to all scientific sessions, daily tea, coffee and lunches, Welcome Reception and entrance to Exhibition.

Delivery address for stand material and handling of goods
All practical details regarding delivery and handling of goods will be sent you during autumn 2016.
2.
Installation and Removal of Exhibits
Exhibitors will be advised of when they may commence installation of exhibits. Exhibits which do not reasonably satisfy the Organisers shall be modified forthwith by the Exhibitor in such manner and within such
time as the Organisers may require. The Exhibitor is responsible for the safety of his products, display and
stand. During breakdown period NO material should be left unattended at anytime. It is the responsibility
of the Exhibitor to leave his stand space clean and tidy during the Exhibition and after dismantling. All exhibits, displays, stand fittings and materials must be removed from the Premises by the time and date stated
by the Organisers. Any special arrangements for installation or removal of exhibits must be made in consultation with the Organisers.
3.
Stand Construction and Services
For insurance, security reasons and to adhere to regulations stipulated by the stated venue the Organisers will appoint official contractors for all electrical services (mains and fittings). Due to the necessity of
co-coordinating all activities during installation and dismantling periods and for security purposes. No other
contractors will be permitted to undertake any of this work without prior consent of the Organisers.
4.Application
The Organisers reserve the right to change the exhibition floor layout if necessary. The Organisers reserve
the right in unforeseen circumstances to amend or alter the exact site of the location of the stand and the
Exhibitor undertakes to agree to any alteration to the site or the space re-allocated by the Organisers.
5.
Payment and Cancellation
No Exhibitor shall occupy his stand space in the Exhibition until all monies owing to the Organisers by the
Exhibitor are paid in full. Payment should be arrived no later than 30 days after receipt of invoice.
Cancellations must be sent in writing. The Organisers shall retain 50% of the contract price if cancellation is
received up to 6 months before the congress begins. 100% of the contract price will be charged if cancellation is received later than 6 months before the congress starts.
6.
Bankruptcy or Liquidation
In the event of an exhibitor becoming bankrupt or entering into liquidation (other than voluntary liquidation for the purpose of amalgamation or reconstruction) or having the Receiver appointed, the contract
with such an exhibitor will terminate forthwith, the allotment of stand space will be cancelled and all sums
paid by the Exhibitor under contract shall be forfeited.
7.
Obstruction of Gangways and Open Space
Exhibitors will not be allowed to display exhibits in such a manner as to obstruct the light or impede or
affect the displays of neighbouring exhibitors. Exhibitors will not be allowed to project onto the gangways,
ceilings or walls, which are not part of their stand. Gangways must at all times be kept clear and free for
passage. All emergency exits and access to service areas are to be kept clear at all times. They must not be
restricted or rendered unrecognisable. Public gangways shall remain the means of escape even during installation and dismantling periods.
8.
Conduct of Exhibitors and Representatives
Annoyance: The Organisers reserve the right to stop any activity on the part of any Exhibitor that may
cause annoyance to other Exhibitors or visitors. Business must be conducted only from the Exhibitors own
stand and under no circumstances may this be carried out from a gangway or elsewhere within the Exhibition.
Microphones/Audio Visual Equipment:
The use of microphones/audio visual equipment is permitted, but the volume must not be such as to cause
annoyance to other Exhibitors. The Organisers reserve the right to prohibit their use if in the Organisers
opinion any annoyance is being caused.
Publicity Material: Any publicity material shall be displayed and/or given away only
from the Exhibitors own stand. It is prohibited to hand out and/or display material from any other part of
the Exhibition and/or venue unless otherwise agreed with the organisers.
9.
Damage to the Premises
No nails, screws or other fixtures may be driven into any part of the Premises including floors; nor may
any part of the premises be damaged or disfigured in any way. Should any such damage occur, the Exhibitor
responsible would be invoiced for any reparation charges incurred.
10.Cleaning
The Organisers will arrange for the daily cleaning of the aisles outside the Exhibition open hours. Exhibits
will not be cleaned.
11. Security Services
The Organisers will arrange a site security service during the period of the Exhibition
but will accept no liability for loss or damage.
12.Storage
There are no storage facilities available within the Exhibition area or premises. Exhibitors are advised to
make their own arrangements for removal and storage of packing cases, etc. Under no circumstances may
packing materials of any kind be left in the aisles or on the stands.
13.Liability
In the event of being necessary for any reason whatsoever for the exhibition to be abandoned, postponed
or altered in any way in whole or in part, or if the Organisers find it necessary to change the dates of the
Exhibition or vary the hours the Exhibition is open, the Organisers shall not be liable for any expenditure,
damage or loss incurred in connection with the Exhibition. The Organisers shall further not be liable for any
loss, which the Exhibitor or Exhibition Contractors may incur owing to the intervention of any authority,
which prevents or restricts the use of the Premises or any part thereof in any manner whatsoever.
14.Insurance
Sponsors and exhibitors are advised to sign a valid insurance, which covers damage or loss of exhibit
materials and equipment. Neither the Organiser, nor the venue is responsible for the loss of materials and
equipment
15. Symposiums
All symposiums must take place at the official Congress venue. Sponsors are prohibited from arranging
symposiums at sites other than the official Congress sites and outside the official Congress programme 5
days prior and after the official Congress dates.
