1) Documents & Souvenirs to Participants (For team members, they are provided via their “Team Contact Person”)
1.1 Upon Submission of Registration Form
Each participant (team member and “individual participant”) will receive: (Please make copies when needed)
1.1.1 Walkathon Leaflet with Sponsorship Form: Each individual participant/team member should have
his/her own copy of sponsorship from to solicit for donations from friends and families.;
Attention: Sponsorship fees/donations should be submit to HKCS by 21 November# (For teams, submission
should be made via “Team Contact Persons”). In case there are outstanding sponsorship fees by the deadline,
please submit the collected fee first. (#The deadline set by service units may be earlier than the official date.)

“Note to Participant” (this document). It consist of::
(a) Basic Information (this document, P.1-4)
(b) “Award List” (Please also see section 1.3 below for participant souvenir collection arrangement.)
(c) “Team Member and Payment List” (applicable to “team Contact Person”). To be completed and
returned to HKCS service unit by 18 November.

Upon Payment
(Please submit payment together with the “Sponsorship Form” (and “Team Member and Payment List”). Please keep copy of the forms.)

“Walk Pass” (one pass for each team and each “individual Participant). The Pass shall be presented
on the walkathon day for registration as well as redemption of souvenirs and carnival stamp card.
Appreciation Certificate: applicable to for participants achieved the “Basic Fundraising Target”(Issue by
handling service unit upon payment)

On the Walkathon Day
Present the “Walk Pass” at the registration counter for redemption of a participant souvenir and
a carnival stamp card for each participant
(For team members, the materials are collected via their Team Contact Person.)

Arrangements on the Walkathon Day (24 November)
*Please bring the “Walk Pass” (applicable to Team Contact Person and “Individual Participant”)*
* A bottle of Bonaqua® mineralized water will be provided to every participants upon registration.
Please bring sufficient water for your own consumption need.*
2.1 On-site Registration
2.1.1
Time: 1:30pm-2:00pm (Kick-off ceremony starts at 2:00p.m.)
2.1.2
Location: Tai Wan Shan Park, Hunghum
2.1.3

(Your registration counter is assigned by HKCS. Any questions, please contact the service unit
that you submitted your enrollment.)

Team Contact Person (on behalf of all the whole team) and “Individual Participant” present the
“Walk Pass” at the registration counter assigned and collect the following souvenirs (Team
Contact Persons are recommended to bring along their “Team Member and Payment List” to
assist the distribution of souvenirs to members):

A participant Souvenir for each participant
b) A carnival stamp card for each participant
2.1.5
After registration, you may take pictures yourselves at different photo spots at the venue or get
ready at the spectator area for watching the performances in the Kick-off Ceremony. Only
limited seats are available for audience with priority giving to the elderly, participants with
special needs and designated guests.
2.1.6
To avoid congestion, please don’t wait for your friends at the registration area. Thank you for
your co-operation! (There is a rest area adjacent to the registration area.)
2.4 Order and First-aid; Insurance Arrangement
2.4.1
All duty staff will wear Walkathon Working Staff badges for your easy identification.
2.4.2 Service team from the Scout Association of Hong Kong will assist in crowd-control.
2.4.3 The Red Cross are invited to provide First-aid services. For first-aid services, please go to the
first-aid counter located at the registration area or contact our duty staffs for assistance.

All attendees of the Walkathon (age 0-120) are under the coverage of a Group Personal Accident
Insurance purchased by HKCS. For further information about the insurance, please contact the
Walkathon central secretariat.
Rain or Bad Weather Arrangements
2.3.1
If Typhoon Signal No. 3 or above, or Rainstorm Warning (Amber, Red or Black) is being
hoisted at 9:00am or after, the Walkathon will be cancelled. Even if the signals or warnings are
lowered or cancelled afterwards, the Walkathon will remain cancelled and will not be rescheduled.
2.3.2 Under adverse weather conditions (even if the typhoon signals or rainstorm warnings mentioned in
2.5.1 is not hoisted), HKCS may cancel the Walkathon if weather conditions make the venue not
safe for participants.
2.3.3 Under adverse weather conditions, you should put your own safety at first priority and assess your
situation and physical conditions in deciding whether to attend the Walkathon.
2.3.4 For enquiries, please contact the service unit that you submitted your enrollment. For emergency
enquiries on the Walkathon Day (24 November), please call 2731 6298 to contact the Fundraising
Manager of HKCS.
2.3.5
Please bring your own rain gears according to the weather condition.

2.4 Transportation

Please make your own transportation arrangements or follow the instructions from the service unit
you belong to.

The Walk
2.5.1 After the kick-off ceremony, please wait and follow our announcements to start the walk.
2.5.2 There are signage to direct your along the route.
2.5.3 Participants may leave amid or after completed the walk. You are welcome to stay for the
carnival at the finishing point. No sign-out is needed before you leave (please follow the
additional instructions, if any, given by the service unit that you submitted your enrollment).

Note 1:Team Contact Person should notify HKCS the list of member achieved the level of "Outstanding Fundraiser Awards (Individual)" using the "Team Member and Payment List" ; HKCS will not take the initative to locate the qualified members and present the award to them.
Late submissions may not be counted once the award calculation process has started. The Best Fundraiser Awardee will not be entitled to the Outstanding Fundraiser Award at the same time.
Note 2: In case of same results ("Best Fundraiser Award" and "Most Active Participation Award"), the prize (execpt certificate or thropy) will be allocated to awardees by draw.
Note 3: "Teams of HKCS Service Units" include any teams that have any members being HKCS service users, staff members and/or volunteeers.
Note 4: If the winner is HKCS staff member or service unit, the award thropy will be presented in the "HKCS Award Presentation Ceremony"
Note 5: Awardees will be notified by phone directly. The top awards will also be announced on webpage. HKCS reserves the right for the final decision of award results. Should there be any changes in prizes, piror notices will not be made.
