On-Campus Student Employment Checklist Effective October 1, 2016 Please follow all required procedures outlined below in order to be put into the Payroll system and have an electronic timesheet created. Signature is a recommendation only! STUDENT NAME: _________________________________ Step 1: Hiring Department & Students Departments – Create/update account on Hire@TU for Employers - Post your job - Review applications - Set up interviews - Hire & set terms of employment (hours, schedule, job expectations) - Add students to the New Student Employee Orientation module Email Katie Woerdeman ([email protected]) the following information: First & Last name, TU ID#, Hire@TU Job ID# and start date. - Complete/sign Student Employee Hiring Form & give to student Graduate Assistants – GA Office will complete paperwork Students – Create/update account on Hire@TU for Students - Complete New Student Employee Orientation via Blackboard; module should appear when you sign in. Earn an 80% or better on the assessment. - Take signed Student Employee Hiring Form and to OHR to complete I-9 - ID #_____________ *For international students with no Social Security Number (SSN) Supervisors need to complete hire letter certified by the International Student & Scholar Office. For more information, see: www.towson.edu/academics/internation al/isso/. Have them complete this process first and then apply for SSN. NOTE: Students may LEGALLY begin to work once they have completed the I-9 – even if they do not have a SSN. Complete I-9 within 3 days of start date (all employees) Complete Form W-4 To learn how to complete W4, review online orientation Step 2: Office of Human Resources – 1st floor Admin. Bldg., Room 101 (M-F 8:00 – 5:00 p.m.) Complete Section 1 of the Form I-9 on link: https://ows01.hireright.com/oseserv/entry?entry=i9_kiosk&code=T OWSON1 Bring original forms of identification or immigration documents to OHR to complete the I-9 process Present Student Employee Hiring Form as evidence of your job If you are not a US Citizen or Permanent Resident Alien, once you I9 Original Documents To complete your I-9 you need to bring originals to the Office of Human Resources. Step 3: Student Financial Services – 4th floor Admin. Bldg. ([email protected]; M-F 9:00 a.m. – 4:30 p.m.) Ensure Social Security Number is correct on all paperwork Submit completed and signed forms: – Student Employee Hiring Form – W-4 Form – Tax Residency Status Form (yellow sheet from Human Resources) – Any other payroll paperwork (direct deposit, etc.) – If foreign national, Tax Code Summary sheet Tips About Getting Paid Make sure you complete and approve your timesheet on time every two weeks! Your supervisor also has to approve it in order for you to get paid!
