Universal Anywhere Getting Started Guide
Welcome to Universal Anywhere - Your estate agency software
The getting start guide is designed to help you setup and start using Universal as quickly and as effectively as
possible. This document goes through the key stages step by step to get you going with your new software.

1. Accessing the software
When you sign up to Universal Anywhere, you will receive an email with your account details. On this email will
be the following information:



User Name (e.g. DEM01)
Password
Server name (e.g. server4.universalanywhere.net)
To login type the server name into your web browser
You will then be presented with our online login page, here you have two options:


Option 1: Download the shortcut and save to the desktop – (provides an easy to use shortcut for everyday use)
Option 2: Login via the web browser
Once the shortcut has downloaded, double click on it and you
will be presented with the window to the right asking for your
user name and password
Simply enter the user name and password provided in the
email
and click ok.
Please note user names and passwords are case sensitive.

Once you have logged in successfully, Universal will
automatically open. You will be presented with the
login box (see right); at the stage you must select your
user name from the list and enter your password.
The first time you are accessing Universal you will
need to select the admin user name, the default
password is admin, click ok.
See the next section “maintenance screens” below for adding your members of staff into Universal and
customising your Universal to your needs.
2. Maintenance Screens
Information needs to be entered into the maintenance screens for the software to work effectively. Select tools at
the top and then maintenance (only the admin user can access these screens).
o
Users - Anyone using the system should be entered as a user onto the system. This list will be displayed
at logon time. The same user list is used for Negotiator/Valuers in the Valuation screens. You can alter the
access permissions of the different users on your system by allowing users to only access certain
areas/features of the software. Simply click on the new button then add additional users onto the system.
o
System Settings (Send SMS messages) - To send SMS text messages through the software you need to
add in a name for the ‘SMS from DEFAULT text or number’ field. This is usually your company name (max
11 characters) and this is what appears when your customer gets the text message in their inbox. Credits
for SMS can be purchase either through the system or on the Thesaurus Technology website, click here to
view the different price bundles we offer.
o
List Maintenance - Areas/Towns/Counties, values and other drop down information – Most drop down
fields throughout the system are configurable to your own settings in the List maintenance section.
o
Property Search – The colours for your supplied property search (on the Internet) can be set directly
from the software to match your existing web site. Different style search results can also be chosen, click
here to see the ‘Implementing the Property Search’ page on the Thesaurus Technology website

3. General navigational information
Dialogue boxes can be started by either clicking on the Toolbar down the left hand side of the screen, or from the
drop down menu (above) across the top of the screen. Certain dialogues are only available from the drop down
(Browser Property Search/Mail Email Match/Maintenance/Help).
The navigation bar (below) is used search and step through the full or selected parts of the database. The Find All
button will find all records of the dialogue box type. The first/prev/next/last buttons (to the left of the Find All
button) step through records one at a time or to the beginning/end of the selected records.
Alternatively a partial reference/address/company (depending on the dialogue box) can be entered and the
appropriate find button (binoculars) clicked. This will only find records that have the typed information as part
of the record.
The LIST tab on most dialogue boxes can be used to list all records on the system, double clicking on an
individual record displays the record in full. The Filter button can be used to narrow the list of records.
On starting most dialogue boxes, almost all fields will be blanked except the ones that can be used to specify
certain search criteria. All fields will be populated when records are found.
Demonstration data
The demonstration data in Universal should be deleted from the system when users no longer need them for
reference purposes.

4. Uploading Images
To upload images you need to download Universal Anywhere Helper. This is free and you are prompt to
download it once you have entered Universal,
Once you have opened Universal Anywhere Helper you
will notice that it will appear on you system try, which is
next to the clock on the bottom right hand side of your
screen. To gain access to the program if you double click
on the icon a window will appear. This will stay on top
of any window which you currently have opened.
Then simply open up the folder where your photos are located and drag the files from here onto any area of the
anywhere help window. The program will then list all of the new images that have been resized.
We recommend you click the delete all files button quite regularly. This will not remove any pictures in the
Universal software but it will keep the folder clear for sending new pictures up into the software. Images left on
here are automatically deleted after seven days.

5. Document Creation
Creating a new brochure or standard letter in Universal is very simple. The system comes with many SAMPLE
standard letters and brochures which should be used as a basis to create customised documents. Depending
where you are in the system different SAMPLE documents are displayed when the Print button is clicked. All
templates MUST be changed (by Editing) to create your own templates and should have the
word SAMPLE removed from the file name as when your system is upgraded the SAMPLE
templates are overwritten.
To create a new document, select the relevant SAMPLE template and click Rename change the template to a
name relevant to the template click ok and you will get prompt with a message asking if you would like to keep a
copy of the previous document.
If you have you own templates then you
can either upload them yourself by
clicking the upload button and navigating
to where they are stored on the computer.
You will need to put the necessary mail
merge tags in to pull through the data, or
you can get in contact with someone on
the helpdesk to upload and put the tags in
for you.
A full list of Merge Tags is available which
can be inserted to display the relevant
database field.
When a document is generated, Microsoft Word loads and displays all the database fields imbedded in the
document which can be printed as normal from Word. A copy is kept on the system and displayed in the
‘Generated documents’ section for reprinting if required.

6. Uploading property data to the Internet
The Sync button (from the WWW button on the left hand Toolbar) is used to send property details to the
Internet. This data is used to:
a) Power the supplied Property Search on your web site.
b) Automatically embeds images when you match and email property details to applicants.
c) Send property data to portals (optional). To access the request page:
Tools > Portal Uploads > Request Portal Upload
All users should be made aware that the Sync button should be clicked after any property changes to reflect this
new information online.

Training
Thesaurus Technology provides online training to new and existing customers. A training session usually lasts
for 1 - 2 hours and can involve a detailed look or just an overview of the software. The training is done over the
Internet whilst the customer is on the phone. A facility is set up so the customer can simply connect to a
computer in Thesaurus Technology's offices so both parties see the same screen.
It allows for better communication as both parties can see the same screen and any points can be clarified or
discussed there and then over the phone. Sessions can be done with multiple users via a speakerphone in your
own office.

Training sessions run Monday – Friday from 10:00am – 4:00pm.
