2015-‐2016 Housing Lottery Instructions and Terms and Conditions Housing Lottery Instructions What to do before lottery (after 5PM Friday, February 20 and before Noon, Monday, February 23) • Log in to Residence Account to confirm you are in the accurate Lottery according to Housing Agreement Length (Summer/Fall/Spring or Fall/Spring); o If you wish to add Summer to agreement, you must sign up on the waitlist online (discounted rate was only applicable until 2/4/15) o CHANGES to your agreement length will REMOVE you from a roommate group you are assigned to. • Log in to your Residence Account to view roommate groups; o Roommate requests that are not mutual are not able to be satisfied. • Call 706-‐721-‐3356 Monday from 8AM-‐Noon to make necessary changes. Pre-‐Lottery Information • • • • Roommate groups were set based on your submissions via the application to participate in the Housing lottery. EACH roommate was required to complete the application to participate in the lottery AND EACH was required to have a matching selected roommate group AND matching contract agreement length. If either of these were in conflict, individuals were broken from requested groups. INDIVIDUAL-‐Students who submitted a lottery application as an individual or were split from requested roommate groups (due to conflict of submissions) will be able to locate any available space for one individual in 2 and 4 bedroom options. GROUP ASSIGNMENT-‐Students with approved roommate group requests will enter the lottery as a group with ONE assigned group leader who will make the room selections for ALL group members. The Department of Housing and Residence Life advises ALL group members to be present at the room selection. *IF the group leader’s assigned lottery time is in conflict with a class, please notify us at 706-‐721-‐3356. Roommate groups will be able to locate any available space based on group size (2, 3, or 4). During the lottery process you will need to: 1) Select your Housing, 2) Accept the Housing Agreement Terms and Conditions, 3) Consent to a Background Check, and 4) Acknowledge the Cancellation Fee. Lottery Selection 1) When you log in to your Residence account, your homepage will look similar to: YOU MUST OPT IN TO THE LOTTERY (You may “opt out” after you “opt in”. 2) After you opt in to the lottery, your screen will look similar to: 3) Select “OPEN” 4) When you OPEN the 2015-‐2016 Housing Lottery, your account will display your assigned “Room Selection Time” and “Start Date”, and will look similar to: 5) At your assigned time selection “Select a Room” and you can search available rooms. You may use filters to search for the type of space you are looking for based on building, floor, etc. Your available list of rooms may be different than other students based on 1) gender, 2) size of roommate group. ***BEFORE THE LOTTERY BEGINS YOU MAY CREATE A “FAVORITE ROOMS” LIST, which may allow for faster selection when it is your selection time. Your account will display similar to: 6) Finalize Room Selection • As an individual-‐ As you select rooms, you will be able to see the students who have already selected that unit. Select “FINALIZE SELECTION” and select “OK” to confirm that the housing selection is finalized. Once the selection is finalized, you may still view your assignment, but you will not be able to edit or change the room assignment. • As a group-‐The group leader must place EACH roommate into the bed spaces available in the unit selected. Select “FINALIZE SELECTION” and select “OK” to confirm that the housing selection is finalized. Once the selection is finalized, you may still view your assignment, but you will not be able to edit or change the room assignment. • For groups of 2 or 3-‐ As you select rooms, you will be able to see the students who have already selected that unit 7) Housing Agreement, Terms and Conditions, Background Check and Cancellation Fee • After the lottery is complete, a Housing Agreement, Terms and Conditions, Background Check Consent, and Cancellation Fee Notice will post to your Residence Account. • IF YOU DO NOT CONSENT TO ALL BY MARCH 30, YOUR HOUSING ASSIGNMENT WILL BE CANCELLED Terms and Conditions • You have the right to “opt out” of the lottery (after you opt in). If you choose to “opt out” of the lottery, select that option on your account homepage: ***IF YOU OPT OUT OF THE LOTTERY, AND YOU THEN DESIRE TO LIVE ON CAMPUS, YOU WILL BE ASSIGNED TO THE WAITLIST. • If you neglect/forget to participate in the lottery, you will be assigned to the waitlist. • Students who do not register for Fall 2015 during the Spring early registration period WILL HAVE THEIR ASSIGNMENT CANCELLED. • Students who violate the terms and conditions outlined in the Housing Agreement and Residence Life Handbook MAY HAVE THEIR HOUSING ASSIGNMENT CANCELLED. Cancellations: • Students who cancel their SUMMER assignment after April 1, 2015 will be assessed a $500 cancellation charge plus the loss of their Fall/Spring assignment. • Students who cancel their FALL/SPRING assignment after May 1, 2015 but before June 30, 2015 will be assessed a $200 cancellation charge. • Students who cancel their FALL/SPRING assignment on or after July 1, 2015 will be assessed the full cancellation charge of $500.
