Instructions for Adding a Utilities Meter in AiM (6.x) If you are adding a meter for an existing utility, skip to page 8. Utility Type Utility type is used for adding new utilities and/or utility vendors to the AiM system. 1. Select UTILITY MANAGEMENT 2. Click SETUP 3. Click UTILITY TYPE 4. Enter a DESCRIPTION of the utility. 5. Change ACTIVE to YES 6. Choose YES or NO in the COMMERCIAL field. a. YES if the utility is provided/billed by an external supplier. b. NO if the utility is produced on site. 7. Click the ZOOM icon and choose OFFSET for the OFFSET ACCOUNT. 8. Click the ZOOM icon and choose OFFSET for the SUBCODE. 9. Click the SAVE icon. Page 1 of 17 Instructions for Adding a Utilities Meter in AiM (6.x) Utility Unit of Measure 1. Select UTILITY MANAGEMENT 2. Click SETUP 3. Click UTILITY UNIT OF MEASURE 4. Enter the UOM. 5. Enter a DESCRIPTION of the UOM. 6. Change ACTIVE to YES 7. 8. 9. 10. Click the ZOOM icon beside UTILITY TYPE and select the utility associated with this UOM. Choose whether the UOM is CUMULATIVE. Choose whether this is a BASE UOM for the utility. Choose whether UOM USED FOR is BILLING or REPORTING. a. Precise UOMs are preferred for billing. b. Larger UOMs are more useful for reporting. 11. Click the SAVE icon. Page 2 of 17 Instructions for Adding a Utilities Meter in AiM (6.x) UTILITY METER TYPE 1. Select UTILITY MANAGEMENT 2. Click SETUP 3. Click UTILITY METER TYPE 4. Click the NEW icon. 5. Enter the METER TYPE – standard coding is “UTILITY”_”CLASS”_”METER” a. Example – “ELEC”_”VIRT”_”METER” b. A meter type can be either: i. MASTER – the meter reading the output of the plant. ii. SERVICE – a meter reading the consumption of a property iii. VIRTUAL – a meter placeholder, where the utility is not metered, but rather charged at a fixed rate. 6. Enter the meter DESCRIPTION 7. Enter the METER CLASS – this should be the same as the class used in the description. 8. Change the ACTIVE status to YES. 9. Click the SAVE icon. Page 3 of 17 Instructions for Adding a Utilities Meter in AiM (6.x) UTILITY METER ROUTE Utility Routes are used when the utility is produced on site and there are MULTIPLE meters that need to be processed when billing the utility. 1. Select UTILITY MANAGEMENT 2. Click SETUP 3. Click UTILITY METER ROUTE 4. 5. 6. 7. Click the NEW icon. Enter the name of the utility. Enter the utility DESCRIPTION Change the ACTIVE status to YES. 8. Select UTILITY MANAGEMENT 2. Click SETUP 3. Click UTILITY METER GROUP 4. 5. 6. 7. Click the NEW icon. Enter the name of the utility. Enter the utility DESCRIPTION Change the ACTIVE status to YES. 8. Click UTILITY BILLING PERIOD 4. 5. 6. 7. 8. Click the NEW icon. Enter the BILLING PERIOD in MM-YYYY format. Enter the utility DESCRIPTION – Month-Year. Enter the START DATE as the start of the month. Click UTILITY METER 4. Enter the METER: a. Electricity meters are entered by account number b. Master meters are entered as “UTILITY”_MSTR_MTR except in the case of utilities with multiple rates, such as steam – “UTILITY”_MSTR_AUX or “UTILITY”_MSTR_ACAD. c. Sewer meters are entered with the prefix “S” d. Steam meters are entered with the prefix “ST” e. Water meters are entered with the prefix “W” f. Virtual Meters are entered with the prefix “VM” g. All other meters are entered by meter number found on the actual meter 5. Enter the Description – typically by building name and utility type. a. Ex: THELMA C. RALEY HALL ELECTRICITY 6. Change the STATUS to ACTIVE 7. Click the ZOOM icon to select the METER TYPE. Page 7 of 17 Instructions for Adding a Utilities Meter in AiM (6.x) 8. Click the ZOOM icon to select the UTILITY TYPE. 9. Click the ZOOM icon beside region to select the REGION, FACILITY, PROPERTY and LOCATION. a. Most Facilities will be listed in MAIN CAMPUS, STATE FARM, or OTHER. b. For LOCATION - use room # “000” unless the meter can be defined to a specific room. 10. Click the ZOOM icon to select the METER GROUP. 11. Select the BILLING METHOD – most meters should be billed by PROPERTY. If the utility is provided externally a. Choose the contractor by clicking the ZOOM b. Continue to Step 12. icon beside CONTRACTOR. If the utility is provided on site: a. Choose the parent meter for this utility by clicking the ZOOM METER. icon beside PARENT b. Choose the meter route for this utility by clicking the ZOOM icon beside METER ROUTE. c. Enter the METER ROUTE SEQUENCE. This should be a number that ensures that the billing sequence numbers match the monthly schedule meter reading sequence. i. Example – Jim’s protocol is to read Meter A, then Meter B, then Meter C. Thus, meter A should have a sequence number of 1, B – 2, and C – 3. ii. Since new meters are added regularly, the system has been designed with incremental gaps between each meter. Any new meter sequence numbers should be added as the number halfway between the two sequence numbers it is being inserted between. Ex: A new meter between SQ#1 and SQ#10 would be inserted as SQ#5. Page 8 of 17 Instructions for Adding a Utilities Meter in AiM (6.x) d. Click the PLUS icon beside UNIT OF MEASURE. e. Click the ZOOM icon beside UOM. f. Enter the MULTIPLIER of the meter. g. Enter the ROLLOVER POINT of the meter – the highest value that this meter can hold before it resets back to ZERO. h. Keep ROLLOVER COUNT set to ZERO. i. j. Click the DONE icon. Continue to Step 12. Click the CALENDAR icon to choose the START DATE for the day that this meter was connected to this property. a. NOTE: Be sure to choose the last day of the month prior to the month that the meter was added to this property as the START DATE, this will reduce date-related errors during the billing process. For example, if a new meter is installed on February 10th, 2013 the start date for that meter should be listed as January 31st, 2013. 16. Enter the USAGE PERCENT for this property. 17. If you need to add more properties to this meter, click the PLUS icon. 18. When you are done adding properties to this meter, click the DONE icon. 19. Click the PLUS icon beside RELOCATION. 22. Click the ZOOM icon beside REGION to select the REGION, FACILITY, and PROPERTY that this meter serves. 23. Click the CALENDAR icon to choose the START DATE for the day that this meter was connected to this property. a. NOTE: Be sure to choose the last day of the month prior to the month that the meter was added to this property as the START DATE, this will reduce date-related errors during the billing process. For example, if a new meter is installed on February 10th, 2013 the start date for that meter should be listed as January 31st, 2013. 24. If you need to add more properties to this meter, click the PLUS icon. 25. When you are done adding properties to this meter, click the DONE 26. Click the icon. icon to exit RELOCATIONS. Page 12 of 17 Instructions for Adding a Utilities Meter in AiM (6.x) 27. Click view to select INSATALLATION READING screen. 28. Enter the READING of the meter per installation. 29. Click the CALENDAR icon to enter the READING DATE. a. NOTE: The installation reading date should be the last day of the month that was PRIOR to the month that the meter was actually installed. This is due to the billing screens needing a PRIOR MONTH READING/USAGE to function properly. For example, if a new meter is installed on February 10th, 2013 the installation reading date for that meter should be listed as January 31st, 2013. 30. Click the icon to exit INSTALLATION READING. Page 13 of 17 Instructions for Adding a Utilities Meter in AiM (6.x) 31. Click view to select USER DEFINED FIELDS screen. 32. In the UTILITY ACCOUNT NUMBER field: a. If the meter is associated with NEW RIVER LIGHT AND POWER – enter the NRLP account number here. b. For all others, enter the actual meter number physically stamped on the meter or leave blank. 33. Click on the PROPERTY(BUILDING) number to take you to the property setup. 36. Click the EDIT icon. 37. Click the VIEW dropdown and select UTILITY ACCOUNT SETUP. Click the ZOOM icon and enter the ACCOUNT that will be billed for this utility. 40. Click the ZOOM icon and enter the SUBCODE that will be billed for this utility. 41. Click the ZOOM icon to choose the UTILITY TYPE. 42. Click the CALENDAR icon to enter the START DATE. a. NOTE: The installation reading date should be the last day of the month that was PRIOR to the month that the meter was actually installed. This is due to the billing screens needing a PRIOR MONTH READING/USAGE to function properly. For example, if a new meter is installed on February 10th, 2013 the installation reading date for that meter should be listed as January 31st, 2013. 43. Click the DONE icon to exit the CHARGE screen. 44. Click the DONE icon to exit the UTILITY ACCOUNT SETUP screen. 45. Click the SAVE icon. Page 17 of 17
