OVERVIEW & PROCESS This document contains the LDWholesale policy and procedure for the Conditions Workflow. The conditions workflow process is based on loan purpose (purchase or refinance and provides pre-configured emails to be used for communicating between Brokers, Account Managers, and Underwriters for each condition’s situation. The conditions workflow process is in place to create visibility into where each loan is, between the initial Underwriting Approval or Suspense, and the Final Approval. In addition, it gives a greater ability to maintain established Service Level Agreements in each of these areas. Below are the workflows (purchase and refinance), illustrating the conditions process, procedure, and the responsible parties involved. CONDITION STATUS DEFINITIONS, EMAIL NOTIFICATIONS AND RESPONSIBLE PARTIES 2.1 CONDITIONS READY FOR REVIEW – PARTIAL (APPLIES TO PURCHASE AND REFINANCE) Responsible Party: Broker Definition: Available selection made within the Broker Portal, used by the Broker after linking documentation that meets the below “Requirements to enable Conditions Ready For Review – Partial” and the loan is ready for the Account Manager to review. Requirements to enable Conditions Ready For Review – Partial: Five (5) or more PTD conditions or any PTA or PTCD conditions Email Notification: An auto Email will be sent to the Account Manager, Account Executive, and Broker LO/Processor once the button is selected on the portal. Next step if Refinance: The Account Manager will review the documents uploaded and status the loan as Conditions Incomplete, Conditions Received, or Final Approval Requested. Next step if Purchase: The UW 1 will review the documents uploaded and status the loan as Jr. UW Review Complete (if the loan needs to be reviewed by a Sr. UW) or UW Review Complete or Final Approval if no escalation to a Sr. UW is needed. 2.2 CONDITIONS READY FOR REVIEW – FOR FINAL (AKA “FULL”) (APPLIES TO PURCHASE AND REFINANCE) Responsible Party: Broker Definition: Available selection made within the Broker Portal, used by the Broker after linking documentation to each PTD condition and the loan is ready for the Account Manager to review and request Final Approval. Requirements to enable Conditions Ready For Review – For Final: All outstanding originator PTD conditions have a document (or documents) linked. Email Notification: An auto Email will be sent to the Account Manager, Account Executive, and Broker LO/Processor once the button is selected on the portal. Next step if Refinance: The Account Manager will review the documents uploaded and status the loan as Conditions Incomplete, Conditions Received, or Final Approval Requested. Next step if Purchase: The UW 1 will review the documents uploaded and status the loan as Jr. UW Review Complete (if the loan needs to be reviewed by a Sr. UW) or UW Review Complete or Final Approval if no escalation to a Sr. UW is needed 2.3 CONDITIONS INCOMPLETE (APPLIES TO REFINANCE LOANS ONLY) Responsible Party: Account Manager Definition: Selection made within the Account Manager Dashboard, used when the Account Manager completes their cursory review and determines the submitted document(s) do not meet the requirements to resubmit the loan to the Underwriting queue for the Underwriters review. Email Notification: The Account Manager will send an email to the Broker LO/Processor and Account Executive to outline what Conditions were received, incomplete, or still remain open and advise the loan was not submitted to Underwriting. 08.09.16 Page 2 Conditions Workflow Process Overview Next step: Broker to review the Conditions Incomplete email sent by their Account Manager and obtain the additional documentation needed to status the loan as Ready for Review – Partial or Full. 2.4 CONDITIONS RECEIVED (APPLIES TO REFINANCE LOANS ONLY) 1. Responsible Party: Account Manager Definition: Selection made within the Account Manager Dashboard, used when the Account Manager completes their cursory review and determines the submitted document(s) meet the requirements to resubmit the loan to the Underwriting queue for the Underwriters review. Email Notification: The Account Manager will send an email to the Broker LO/Processor and Account Executive to outline what Conditions were received and those that still remain open, also advising the loan was submitted to Underwriting. Email Template Next step: Account Manager will advance file to UW queue. An Underwriter will review the submitted document(s), clear the conditions that are met and status the loan as Underwriter Review Complete if there are remaining open PTD conditions. 08.09.16 Page 3 Conditions Workflow Process Overview 2.5 JR. UNDERWRITER REVIEW COMPLETE (APPLIES TO PURCHASE LOANS ONLY) Responsible Party: Underwriter 1 (aka Jr. UW) Definition: Available selection made by the UW 1 once they have completed their review of the loan and the loan is to be escalated to the Sr. UW. Email Notification: An auto Email will be sent to the Sr. UW and UW Team Lead once this status is selected within LDW’s system. Next step: The Sr. UW will review all outstanding submitted conditions and issue either UW Review Complete or Final Approval. 2.6 U/W REVIEW COMPLETE (APPLIES TO PURCHASE AND REFINANCE) Responsible Party: Underwriter Definition: Selection made when an Underwriter reviews the submitted document(s), clears/modifies/adds condition(s) and there are remaining/open PTD conditions. Email Notification: An auto email will be sent to the Broker LO/Processor, Account Executive, and Account Manager with an attached updated Conditional Loan Approval (CLA). Auto Email: Next Step: Broker to review the updated CLA and obtain additional outstanding conditions to clear all remaining PTD conditions. 2.7 FINAL APPROVAL REQUESTED (APPLIES TO REFINANCE LOANS ONLY) Responsible Party: Account Manager Definition: Selection made within the Account Manager Dashboard, used when the Account Manager completes their cursory review and determines the submitted document(s) meet the requirements to resubmit the loan to Underwriting for Final Approval. 08.09.16 Page 4 Conditions Workflow Process Overview Email Notification: The Account Manager will send an email to the Broker LO/Processor and Account Executive to outline that all PTD conditions were received and advise the loan was submitted to Underwriting for Final Approval. The remaining Originator PTF conditions will also be displayed in the email for the Broker’s reference. Email Template Next Step: Account Manager will advance file to UW queue. An Underwriter will review the submitted document(s), clear the conditions that are met, and status the loan as Final Approval once all PTD conditions are met. 2.8 FINAL APPROVAL (APPLIES TO PURCHASE AND REFINANCE) Responsible Party: Underwriter Definition: Selection made within the UW Decision screen, used when an Underwriter reviews the submitted document(s) and clears all the remaining PTD conditions. Email Notification: An auto email will be sent to the Broker LO/Processor, Account Executive, and Account Manager with an attached updated Conditional Loan Approval (CLA) listing the remaining PTF conditions that are open (as well as any remaining PTCD conditions if, applicable). Auto Email: Next Step: Broker to review the updated CLA and prepare the loan to close. 08.09.16 Page 5 Conditions Workflow Process Overview 3. UPLOADING CONDITIONS THROUGH THE BROKER PORTAL Pre initial Approval o Documents must be submitted through the submission section of the Broker Portal Post initial Approval o Documents must be linked to individual conditions through the conditions window of the Broker Portal. o Once uploaded / linked to the condition(s): o The status of the condition(s) will change to “REC” for received. o If Broker uploads a document (or documents) to a “canned” or “pick list” condition(s) the name of the document will change based on the condition that the document is uploaded to. o These re-named documents will also carry over their new name to M4 o Link to the Outline of the Auto Index Conditions based on Condition ID (document that shows what the document name will be based on the condition that it is linked to o There is the ability to link multiple documents to one condition o Brokers have the ability to notify the Underwriter / Account Manager when Conditions are Ready for Review and also add notes to the notification. There are two types of notifications: 08.09.16 Partial – selection used when the Broker uploads partial conditions and they are important enough to have the Underwriter / Account Manager review. In order for this selection to be available Five (5) or more PTD conditions or any PTA or PTCD conditions, must have document(s) linked to those conditions. For Final - used when the Broker uploads all PTD conditions and the loan is ready for the Underwriter to issue Final Approval. Page 6 Conditions Workflow Process Overview 4. WALKTHROUGH ON UPLOADING CONDITIONS Once in a loan on the Portal, the Broker will need to navigate to the Loan Conditions tab on the left side. Then the Broker will select the condition for which they need to upload a document. Once the condition is selected, the Broker can make notes about the condition documentation for the Account Manager, then Browse and Upload the appropriate document(s) for that condition. The Broker can add multiple documents to one condition if needed. 08.09.16 Page 7 Conditions Workflow Process Overview 5. SELECTING CONDITIONS READY FOR REVIEW When the Broker is ready for the Underwriter / Account Manager to review the uploaded documents, they will select the Conditions Ready for Review button. Then the Broker can make additional notes to the Underwriter / Account Manager about the loan, that will be included in the auto email that will be sent to the Account Manager. o The Broker will make the selection of either Partial or Full (see above definitions for which one will be available and selected). or The selection of Conditions Ready for Review will then be grayed out, until the Broker has met the above criteria again. 08.09.16 Page 8
