FSB STUDENT AMBASSADOR AGREEMENT Student Name: ____________________________________________________ Student ID: ______________________________________________________ Signature: _________________________ Date: _____________________ FSB Student Ambassador Agreement Terms & Conditions 1 Introduction 1.1 Definition - The Student Ambassador Scheme is the recruitment, training and participation of students on marketing activities to promote the school. - Student Ambassadors are current students that will represent the school to the local community at open days, events and will carry out various marketing activities. - Students will join the Student Ambassador Scheme on a voluntary capacity for the duration of their studies at FSB or until a specified time. 1.2 Aims The aim of the Student Ambassador Scheme is to: 2 - Provide students an opportunity to gain experience and develop essential skills for academic life and employment. - Support the school in its student recruitment and widening participation activities. - Give applicants applying to study at the school an authentic idea of what they can expect by joining the school. Recruitment 2.1 The aim of the recruitment and assessment procedure for the student ambassador scheme is to: - Ensure that students appointed as student ambassadors are capable of fulfilling the relevant roles within the scheme and have an appropriate level of enthusiasm and aptitude for the job. - Help students prepare for the recruitment and application processes they will encounter when they look for employment outside the college. 2.2 The student ambassador scheme will be clearly advertised within the college so that all eligible students are aware of the opportunities it offers and have sufficient time to apply. Clear information will be given about the recruitment process, the format of applications and where they should be submitted. 2.3 Interested students will be required to submit an initial expression of interest form stating why they wish to join the student ambassador scheme and how they will contribute to it. 2.4 The initial expression of interest form will be made available to students by both the admissions department and student support department. (Appendix A – Form A) 2.5 Completed forms will need to be submitted to the Admissions department before any set deadline. Applications submitted after the deadline may not be accepted. 2.6 A nominated member of the marketing team will assess the initial expression of interest forms. 2.7 Selected students will be invited to attend a student ambassador scheme presentation where information will be provided relating to the various student ambassador roles, duties, allowances, location of work and expectation of behaviour. 2.8 Following the presentation, students will carry out a number of group activity based assessments. 2.9 Students who match the criteria will be invited to an interview. 2.10 3 Students who do not match the criteria will be informed within one week of the assessment and may be provided with relevant feedback if requested. Working Hours 3.1 The working hours during the week will vary depending on the requirements of the admissions and marketing department. The ambassador will be informed every week on every Monday about the weekly schedule. The overall hours will be no more than 18 hours per week. 3.2 All Ambassadors should report to the admissions department and make them aware of their weekly availability (days and working hours). If an Ambassador has not reported, they will not be part of that weekly campaign and will not be paid. 4 Allowances 4.1 As recognition that ambassadors working in a voluntary capacity may spend a significant amount of time and effort in carrying out their duties, the school will offer the following allowances: - Basic hourly rate - Travel allowance 4.2 Basic hourly rate 4.2.1 Student ambassadors will be given £7.00 per hour when participating in activities on-campus and off-campus. 4.2.2 Ambassadors will only be paid the hourly rate for activities organised by the school, any other work must first be authorized by the marketing director. 4.3 Travel 4.3.1 Ambassadors are NOT entitled to claim travel expenses for on-campus activities, unless the student ambassadors are working outside term time or on days outside of their scheduled timetable days. 4.3.2 Ambassadors are eligible for a commuting mileage allowance of 25 pence per mile, if travelling by car. 4.3.3 Ambassadors travelling by public transport will be entitled to reimbursement of their travel costs. Ambassadors must provide a ticket or receipt for any travel expense they wish to claim. 4.3.4 Travel by taxi MUST be approved by the marketing director and receipts must be kept as evidence. 4.3.5 All the claims of charges/payments must be made within 30 days of work, late claims will be rejected after 30 days. 4.4 Payment 4.4.1 5 The hourly rate and travel expense will be paid on a monthly basis directly to the ambassador’s Bank account. Code of Conduct As a representative of FSB, Student Ambassadors are expected to adhere to an ‘Expectation of Behaviour’. Students are expected to comply with these during their appointment as ambassadors. 5.1 Expectation of Behaviour Ambassadors are expected to: 5.1.1 Act in a highly professional manner at all times. 5.1.2 Engage with participants at all times, unless otherwise instructed by supervising members of staff. 5.1.3 Display enthusiasm for events and activities, and for the FSB experience as a whole. 5.1.4 Represent FSB in a positive light. 5.1.5 Undertake suitable preparation for events, particularly regarding presentations and mentoring programmes. 5.1.6 Refrain from smoking or drinking alcohol. Ambassadors are not permitted to participate in any Ambassadorial activities under the influence of alcohol. 5.1.7 Refrain from using their mobile phone for anything other than ambassadorial related purposes during an event. 5.1.8 Seek clarity on issues or questions from participants to which they are unclear of the answer. 5.1.9 Consider and limit where possible any adverse health and safety implications of all activities, as outlined in the ambassador training. 5.2 Internal and External Relationships Ambassadors are expected to: 6 5.2.1 Follow appropriate instruction from FSB staff. 5.2.2 Respect the authority of FSB staff and follow instruction where relevant. 5.2.3 Maintain professional communication, and adhere to all expectations of behaviour, with all members of internal and external staff. 5.2.4 Adhere to rules and guidelines prescribed by external institutions where relevant. 5.2.5 Inform supervising FSB staff as soon as possible of any significant issues or incidents which arise during ambassador activities. Punctuality and attendance Ambassadors are expected to: 6.1 Arrive at least ten minutes before the start time of an event. Any delay must be communicated via a telephone call as soon as possible. Unacceptable reasons include, but are not limited to, oversleeping, bad timekeeping and missed public transport. Reasons will need to be discussed and appropriate action taken. 6.2 Attend any placement for which they have been confirmed. 6.2.1 Contact the office at the first possible convenience via phone should they be unable to attend due to sickness. . Notification via e-mail or text message is not acceptable. 6.2.2 Call supervising staff if they are forced to cancel a placement within 5 working days of the start of the event. Notification via e-mail or text message is not acceptable at this stage. The reason for cancellation will be taken into account when deciding upon further action. Ambassadors are permitted to cancel placements for any reasons prior to the 5 working day notice period. Notification can be made via phone or e-mail. 7 6.2.3 All Ambassadors will sign the attendance register for their timing IN/OUT from the work on daily basis. 6.2.4 If Ambassadors fail to sign the Attendance Register they will not be paid for their working hours. Dress standards Ambassadors are expected to: 7.1 Ensure they are dressed in a manner appropriate to the activities they are undertaking. 7.2 Maintain a good standard of hygiene for the workplace.
