General Information
The widely automatic acquisition of goods in incoming inspection makes it necessary
for the goods to be marked reliably and clearly. This marking is the basis for a functioning traceability and thus offers advantages for both the supplier and for the customer.
The demands regarding data quality, together with faultless and complete linkage of
the supplier data with the production and shipping data of the customer, require a solution that is economical on the one hand and easy to realize on the other hand. The
current 2D-coding technology is one of the means to achieve this goal.
While the 2D code “DataMatrix“ has become the current standard for product marking, the “PDF417“ code underwent the same development in logistics.
The package label with the “PDF417“ code is the main focus. The shipping note also
has to be marked with this code.

1 Validity and Transition Period
The following changes are valid as of June 01, 2003. Former requirements become
obsolete from this date on.
Before the new shipping note or the new package label can be used, they have to be
approved.
2 Approval of the 2D Code on Shipping Note and the Package Label
If the 2D code on the shipping note or the package label of a supplier was approved
by a plant within the customer’s group, and the approval is based on the requirements that are listed in the following, then basically the approval is also valid for all
other plants.
However, if only a master label was approved for instance (see 6.3) and the receiving
plant requests a single label, then the label has to be regarded as a new label and
approved accordingly. This also applies if the opposite is the case (only the single label was approved, but the receiver requests a master label).
The shipping note or the package label has to be used immediately for all receiving
plants which demand the 2D-Label as soon as they have been approved.
The approval has to distinguish between the general and the plant specific release.
Basically the general approval is valid for all plant which will use a 2D-label for packaging identification.
The plant specific data fields "Additional Part Information" and "Part name" have to
be coordinated with the particular receiving plant.
Other topics like e.g. Code Building, Data Identifier, Data Syntax, have already been
dealt.
The original approval of the 2D code on the shipping note and the approval of the
package labels have to be carefully kept and presented upon request.

3 Shipping Note:
A shipping note has to be attached to the appropriate container in each shipment
(unit load). It has to be easily accessible and stored in a shipping note pocket. The
shipping note pocket shall not be attached to the top, but only to the side of the
shipped container.
Unless specified otherwise by the particular plant, the type of shipping note shall be
based on DIN 4991.
Please observe the following when creating and shipping the shipping note:

The shipping note has to be printed with a 2D code (PDF417) based on ISO/IEC
15438.
ƒ
Each order item needs a separate shipping note. If this is not possible for justified
reasons, then a shipping note with several order positions can be created. However, the length of the shipping note shall not exceed one page.
ƒ
If a shipment has several items, then the particular shipping note has to be connected to the appropriate goods.
ƒ
Each shipping note position is one packing unit if possible.
ƒ
A distinctive and clearly identifiable shipping note number is necessary.
ƒ
The contact person for the shipment has to be listed.
ƒ
The purchase order number and the ordering code has to be listed on the shipping note.
ƒ
The part number and ordering code of the supplier has to be included.
ƒ
The number of packages together with the particular content has to be listed.
ƒ
If a code (name) was assigned for the box (reusable packaging) or other package
at the receiving plant, then this code (name) has to be included.

Data Syntax of the 2D Code (PDF417)
The data syntax has to be created based on ISO /IEC 15434 with format indicator 06.
As described above, several purchase order numbers per shipping note are allowed
only in exceptions, such as if the length of the shipping note does not exceed one
page.
In case of three purchase orders, the Data Syntax is like following:

The shipping note number (SN-No.) remains the same for all three data records, only

5 Marking of a Unit Load
5.1
General:
Reusable containers and reusable covers shall not be covered up permanently and
cover the entire surface with labels of stickers.
The attachment of labels with bonding dots is permissible. The attachment of labels
or other information material with wire is not admissible.
Handling symbols based on ISO 780 have to be attached to the packaging so that
they would be easy to see, if the parts were to become damaged as a result of improper handling.
Invalid, old product tags are not admissible and thus have to be removed.

5.2
Segregated Delivery:
Unit loads, e.g., pallets or other shipping containers have to be marked with an
ODETTE-Transport-Label version 1.4 in master version (Data-Identifier of the Serial-No. = M). Each unit load has to be labeled.
Product tags according to VDA Recommendation 4902 Version 4 can be used
when shipping to German locations.

In contrast to this regulation, locations in France for instance can require a product
tag based on the valid GALIA-Standard. This is mentioned in the plant-specific regulations, or it has to be coordinated with the particular receiving plant.

5.3
Non-Segregated Delivery (Mixed Shipment):
Marking for mixed shipments also has to be based on ODETTE or VDA or GALIA
(see 5.2) as a Label for Mixed Shipments (Data-Identifier of the Serial-No. = G).
“Mixed load“ (or the equivalent translation in the language of the country based on
VDA “Mischsendung“ or GALIA “Unite Mixte“) has to be stated instead of the customer part number.
Additionally, a packing list has to be attached to each pallet that lists the individual items with the appropriate amounts. The packing list has to be attached in such a
way that it can be removed.

5.4
Marking of a Unit Load (Pallet) as the Smallest Packing Unit
If the unit load (shipping container) should at the same time represent the smallest
packing unit, then the approval of the particular receiving plant has to be requested in
general depending on the IndentNumber / drawing number.
If the approval is given, then a package label with 2D code (see 6) in master version
will become necessary (the master is explained in 6.3). The layout of the package label with 2D code has to be selected in such a way that the IdentNumber and amount
can also be read from a distance. If this is not feasible, an additional ODETTE-Label
(see 5.2, also VDA or GALIA) will become necessary. In this case, the package label
with 2D code has to be applied to the upper right of the ODETTE-Label.
5.5
Outer Packaging
Outer packaging is defined as the packaging that lies between the unit load and the
smallest packaging unit, and therefore contains at least one additional subpackaging.
The outer packaging of segregated delivery is disposed of – unless agreed upon otherwise – and thus does not require any special marking.
Marking is necessary on the outer packaging of mixed shipment. The minimum information that needs to be included is the customer IdentNumber and the volume.
However, it is also possible to use the ODETTE, VDA or GALIA-Label.
5.6
Part Packaging (Smallest Packing Unit)
The part packaging (smallest packing unit) is usually the
packing unit that does not contain any additional subpackaging.
In case of “Dry Pack” the protective packaging or the
protective bag is considered to be the part packaging

Other definitions pertaining to part packaging have to be coordinated with the particular receiving plant depending on the IdentNumber / drawing number.
Any piece of this part packaging has to receive a package label with 2D code, (see
6).
5.7
Marking of Dry Pack Packaging
Moisture sensitive components (“Dry Pack“) have to be marked with appropriate
stickers based on industrial standard IPC/JEDEC J-STD-020 resp. IPC/JEDEC JSTD-033 in addition to the package label with 2D code (see 6).
For an example see section “Dry Pack for Moisture-Sensitive Components“ in the
packaging guideline. The package label with 2D code has to be the “Sandwich“ type
label. It has to be peelable.
5.8
Additional Requirements
The following marking can also become necessary according to circumstances in
addition to the above requirements:

Special marking for time-critical goods
This type of marking has to be coordinated with the particular receiving plant before delivery, or it is generally regulated in the additional plant-specific requirements.

When packaging electronic parts and components, it is mandatory to use the appropriate ESDS-Symbol.

6 Requirements of 2D Label
6.1
Size and Layout
Initially, the supplier can specify and suggest a size and a layout of the package label
while considering all the requirements in the following. The customer reserved to assign the size and layout of the package label.
6.2
Attachment, Attachment Location:
ƒ Expendable Material
In general, the package label has to be permanently attached (exception, peelable
label for Dry Pack, see 5.7).
ƒ
Reusable Containers / Durable Systems
In general, the package label shall not be attached permanently and over the entire
surface. The attachment of labels with bonding dots is permissible. The label and
its attachment (bonding dots) have to be removable without residue.
The label shall not cover up any other supplier-created data and labels on the packaging, if possible.
It has to be possible to easily reach the label with a hand scanner without obstructions;
the surface on which the label is attached should be as smooth as possible. The code
in particular shall not be attached in recesses, raised parts or “around a corner.“
The attachment location should be selected with the following criteria in mind: the label
shall not be damaged during opening of the packaging and the code should remain
readable. The attachment with wire is not permissible.

6.3
Package Label as a Single or Master Label
The package-ID (Package-ID) is used to determine whether the package label is a
Single or Master label (see the definition of the package-ID on page 16).
If the label is a single label for each part packaging, then the package-ID has to start
with an “S“ (general rule).
If the label is a master label for a unit load for example (possible in exceptions, see
5.4), then the package-ID has to start with an “M“.
6.4
Requirements on the Data to be printed.
Within the code (PDF417) all of the fields are mandatory fields. Wether and how to
print the individual data fields on label is described in detail in the following.
ƒ
Revision Level:
This piece of information is part of the code (PDF417); however, it does not have
to be printed on the label. The version number is a fixed entry in the code and is
pre-specified by the customer. The current number is 0001.
ƒ
Supplier Part No.:
This piece of information can be printed up to a length of 35 characters (alphanumerically), if the supplier regards it as necessary for his processes. It is not absolutely necessary to state this piece of information.
ƒ
Customer Part No.:
This piece of information has to be printed. The maximum length of the field is 18
characters (alphanumerical). The format and design of the customer part number
has to be analog to the order. It is necessary to specify this number or the field, in
which the number is printed.
The customer part number has to be emphasized over the remaining information
(e.g., by using bold type).

Ordering Code:
This piece of information has to be printed. The maximum length of the field is 35
characters (alphanumerical). The format and design of the customer part number
has to be analog to the order. It is not absolutely necessary to state this piece of information.
The ordering code can be the supplier part number, or only a partition of this number. It can also repeat the customer part number or differ from this number (e.g., by
adding an index).
ƒ
Part Name:
The part name has to be printed. The part name can consist of a code and/or of
another part number defaulted by an orderer. The maximum length of the field is
35 characters. If there is no default of the orderer available, the part name of the
supplier has to be used or a triple X (XXX) has to be printed.
The part name will only be printed and is not content of the code (PDF417). Dimensions and position of letters have to be adjusted to the label layout. The part
name must be easy to read. It is not absolutely necessary to state this piece of information.
ƒ
Additional Part Information:
If additional part information is required by the receiving plant, this information has
to be printed and coded (PDF417). The maximum length of this field is 18 characters (alphanumerical). It is necessary to specify this information or the field, in
which the number is printed. The headline also can be abbreviated (Add.Info).
It is necessary to reserve place for this field and to specify the field, even if no data
was defined or exists.
ƒ
Index
This piece of information has to be printed. The length of the field is 3 characters
(alphanumerical). It is necessary to specify this information or the field, in which the
number is or is to be printed, even if no index was defined or exists for the part that
is to be marked.
The index is always identified through a preceding “E“ (for product index) in the
code (PDF417). This “E“ shall not be printed on the label.

Content, Quantity:
This piece of information has to be printed. The maximum length of the field is 12
characters with optional 3 digits after the comma (numerical). Separating decimals is only permitted when using a comma and up to three digits after the decimal
point (comma). Avoid leading zeros.
The quantity has to be emphasized over the remaining information (e.g., by using
bold type). It is necessary to specify this information or the field, in which the number is printed.
If there are several batches in one container, a label with the identical package-ID
(see the following passage) is necessary for each batch. The quantity information,
however, remains the same on each label according to the total quantity.
Separators (periods) can be added to make it easier to recognize thousands
places. However, these separators are not permitted in the code (PDF417). If a differentiation between coded and printed information pertaining to separators is not
possible, then the quantity has to be printed without separators.

Shipping Note Number:
This piece of information has to be printed. The maximum length of the field is 12
characters (alphanumerical). It is necessary to specify this information or the field,
in which the number is printed.
The length and format of the shipping note number has to match the actually used
shipping note number on the shipping note.
There shall not be any differences between the shipping note number on the package label and the shipping note (even for the 2D code on the shipping note).

Vendor Number:
This piece of information has to be printed. The maximum length of the field is 10
characters (alphanumerical). It is necessary to specify this information or the field,
in which the number is printed.
The vendor number has to be copied from the order and the same form and length
has to be used on the package label.
The vendor number has to be printed in one row together with the package number
and the batch-ID. The three numbers have to be printed in the above order and
with a small space in between them.

Package-ID:
This piece of information has to be printed. The mandatory length of the field is 17
characters (alphanumerical), while a maximum of 12 characters are available for
the actual package-ID.
It is necessary to specify this information or the field, in which the number is
printed.
The package-ID has to be unique for each vendor number (see previous
paragraph) that is used and shall not be repeated in any package.
If the package identifies parts packaging (which is usually the case), then the first
character has to be an “S“.
If the package label is intended for a unit load, then the package-ID starts with an
“M“ (see 6.3 Package Label as a Single or Master).
The next 12 characters (alphanumerical) can be freely assigned by the supplier.
The last four characters have to be filled with blanks.
If a package contains two batches for instance, then two labels have to be printed
corresponding to the number of batches. Since both labels identify the same package, the package-ID will remain the same in this case.
Only the batch-ID and the batch number on the labels will be different (see the following paragraph).
The package-ID has to be printed in one row behind the vendor (supplier) number
and in front of the batch-ID. The three numbers have to be printed in the above order and with a small space in between them.

4 characters (numerical). It is necessary to give this piece of information or to
state the field into which this piece of information is or is to be printed.

Batch Counter
The batch-ID is not to be confused with the batch No. The Batch-ID helps determining the number of batches and identifying the batch.
Theoretically up to 99 charges are possible per container. In practice a maximum
number of two charges is recommended. Smaller packaging is highly recommended starting with two batches.
The first two batch-ID places show the number of batches. The third and fourth
place identifies the Batch-ID (batch counter).
Example (general rule): Container has only one batch:
0101
This batch-ID shows that there is only one batch in the container. Any
parts packaging with the batch-ID 0101 has only one label with a
package-ID that differs.
Example: Container has two batches
In this case two labels are necessary on the container. Only the batch-ID and the
batch number of the labels differ. The first batch in this example is called batch
A111, the second batch B222.

The first two places show that there are two batches in the container.
The first label contains 01 as the third and the fourth place of the
batch-ID, since this label identifies the first batch A111.
0202
The second two places specify once again that there are two batches
in the container. The second label contains 02 as the third and fourth
place of the batch-ID, since this label identifies the second batch
B222.
The batch-ID has to be printed behind the supplier-ID and the package-ID in one
row. The three numbers have to be printed in the above order and with a small
space in between them.

Expiry Date:
This piece of information has to be printed. The mandatory length of the field is 10
characters (numerical) in print mode and 8 characters in coded mode. It is necessary to specify this information or the field, in which the number is or is to be
printed.
The expiry date has to be printed in the format DD.MM.YYYY. D=day, M=month,
Y=year.
Please use dots between day, month and year only in print mode. The expiry date
in the actual code shall be coded without dots.
If a separation between printed and coded format is not possible, then it is also
permissible to print the expiry date without dots in 8-digit format.
As expiry date a time period has to be chosen between 60 days and two years
effective from receiving date (customer).

Date Code / Date of Manufacture or Dispatch):
This piece of information has to be printed. The maximum length of the field is 9
characters (alphanumerical). It is necessary to specify this information or the field,
in which the number is or is to be printed.
The date of manufacture or dispatch can be formatted in different ways. Separating
periods such as with the expiry date are not necessary.
In order to differentiate between date of the day, week or month, the first character
to be printed has to be D, W or M.

This piece of information has to be printed. The maximum length of the field is 17
characters (alphanumerical). It is necessary to specify this information or the field,
in which the number is or is to be printed.
The traceability information of the supplier has to be printed in this field.
The supplier has to be able to retroactively provide information about the batch
(e.g., volume, production and delivery) with the help of this combination of numbers / characters.

have to be met. Please contact the responsible buyer if you have any questions
regarding this matter.

Moisture-Level:
This piece of information has to be printed. The length of the field is 2 characters
(alphanumerical). It is necessary to specify this information or the field, in which the
number is or is to be printed.
If the part is moisture-sensitive, then the MS-Level (Moisture-Level) has to be
printed based on industrial standard IPC/JEDEC J-STD-033 (see also 5.7). This
usually applies to electronic components.
If the part is not moisture-sensitive (mainly with mechanical parts), then the letter
“N“ has to be printed (for not moisture-sensitive).
ƒ
Supplier Data:
If the supplier wants (or have to) code own information, this field with maximum
length of 35 characters can be used (optional field).
It is necessary to reserve place for this field and to specify the field, even if no data
was defined or exists.
6.5
Requirement on the 2D Code (PDF417)
6.5.1 Placement of the 2D Code on the Package Label:
The 2D codes has to be placed either horizontally or vertically with sufficient spacing
to the edge of the label and the printed data (row space). Examples see page

6.5.2 Size of the 2D Code:
While taking the print parameters and code specifications into account, the size of
the code depends on the prevailing conditions on the label.

6.5.5 Data Contents and Data Syntax Based on ISO/IEC 15434
The required data syntax is described in short form ex page 22. Please observe that
06 has to be used as a format indicator (part of the format header, data is using data
identifiers) and the PDF417 code has to be selected.
In other words, any kind of data is structured by a defined data identifier. The data
identifier precedes the data.
No blanks are permissible between the data fields. Blanks are only permissible in the
data fields, if they are part of the information format or if they were provided to the
supplier as stated in the order.
6.5.6 Data Content and Data Identifier
The following table lists the data, data length, format and data identifiers that have to
be encrypted in the code. All fields are mandatory fields.

If a field is indicated optionally, then this refers to the data contents and not to the
data construction. This means, that at least the accompanying Data Identifier must
be available at the optional data, even if the field remains empty itself.
