Event Overview & Reminders
1. HCW Overview: What is this event?
HCW is a biannual exclusive event for Heavener business majors. Launched in February 2015, our
Fall/Spring 2016-17 HCWs featured 40 different employers and will have roughly 1,800 students in
attendance.

2. HCW vs Hiring Fairs vs UF Career Showcase: Is there a difference?
HCW sessions are designed to be interactive and educational. Students are not coming to your
session to stand in line with their resume. Not only do we want you to advertise internships/FT
opportunities, we want your session to inspire, enhance professionalism, and provide industry
insights for students.
Although employers are encouraged
to take resumes during their HCW
session, this event is more than just a
hiring fair. HCW is a chance to build
into students, help them understand
career paths, and help grow their
professionalism.
3. Session Audience Demographics: What type of student might attend my session?
HCW is 95% undergraduate business and accounting students (~5% specialty master graduate
students). Undergraduate majors represented @ HCW include finance, marketing, accounting,
information systems & operations management, management, and general business.
Non-business students are not allowed to attend.
Student classifications range from
freshmen through graduating seniors.
If your organization is hiring for interns
and/or FT roles keep in mind freshmen
and sophomores are eager to learn
about career paths, explore industry,
and figure out how to use their
business/accounting degree.
HCW Tip: Although underclassmen might be currently outside your targeted demographics,
helping students understand the nature of your business, skills required, and opportunities for
advancement influences future decision making, especially when it comes time to pull the
internship or FT job application trigger. In short, keep in mind you are also building your
pipeline for long term Heavener recruitment success.

Employer Arrival & Check-In
4. Parking & Check-In: Where do I park? Do I need a tag? Where do I check-in after arrival??
If parking is available, your parking information (tag and directions) will be emailed to you as our
event nears. Contact our parking coordinator if you have any questions.
Event check-in begins daily @ 9:00am and continues all day through 7:00pm.
Upon arrival, all employers are requested to check-in at the official HCW Information Table, located
on the 1st floor next to the Rising Roll restaurant. If this is your first time visiting our campus and
you would like a tour of our Heavener Hall building, please let us know.
5. Employer Lounge: Where can I hangout before/after my session? Is there WiFi?
A private employer lounge is available for any recruiter daily
between 9am-5pm, located @ Heavener #333 (3rd floor).
This quiet space is designed to be a relaxing area for you
(student free) and doubles as a place to grab some
complimentary breakfast, lunch, and coffee. Light breakfast,
fruit, and drinks are available throughout the day.
HCW Tip: Free WIFI is available inside the building. Ask for
the password at the information table when you check-in.
6. HCW Staff Contacts: Who do I contact if I need something?
Event Assistance: Warrington Diplomat HCW Ambassadors
The Warrington Diplomat student organization
(students in blue shirts) run event coordination and
room check-in for HCW attendees. If you need onsite assistance, please ask someone in a blue polo. If
they can’t troubleshoot, please be patience and they
will find a solution from a full-time staff member.

Session Reminders & Best Practices
7. Session Content & Best Practices: What should I talk about during my session? Can I bring giveaway
items or food?
Ideally your session is a mixture of career education, company overview, and advertisement of
internships and/or FT positions. At times Heavener students are more interested in professional
growth and understanding career paths than simply sitting through a company overview. Although
this may seem counterintuitive, when you invest in Heavener students professionally, it sparks
commitment and interest on their part.

Interactive Presentations Are Always Best. If
possible, consider something interactive with students during your session. Asking stimulating
questions, having young alumni/intern panels, and/or showing short videos are all best delivery
techniques compared to traditional “old school” 50-minute lectures.
Swag & Giveaways. Students love free stuff! If you have pens, notebooks, food, or other items
please bring promotional or company items as giveaways. If you want to mail your items prior to
your visit via Fedex/UPS, please send them at attention to our HCW staff (see staff contacts).
8. Rooms & Technology: What technology is available to presenters? Can I send materials in advance?
Each session room will have a computer and projector. Please bring your own presentation on a
jump-drive or ensure you have access to it via your email/internet; do not email us with your
presentation before hand. It is always safest to bring your presentation on a jump drive should you
experience technology/wifi interruptions.
PowerPoint Setup. Due to limited staff availability, Heavener personnel cannot pre-load your
presentation. Each employer will need to
provide and setup their own presentation prior
to the start of each session.
Provided Heavener Computers. All Heavener
computers have an HDMI and USB port.
Personal Laptops. If you prefer to use your own
laptop, please show up a few minute early to
ensure an easy setup and connection.

9. Internships & FT Job Opportunities Advertisements.
Many students are actively looking to discuss internships & FT jobs with you. Chances are high you
will have both internship/job seekers in your session.
If using PowerPoint, consider having at least one slide in your presentation communicating:

10. Student Dress. Why are some students dressed business professionals and others business casual?
Students were requested to dress business casual at
minimum; business professional for those seeking
internships & FT roles.
Remember not every attending student is actively pursuing
an internship or FT job…right now. Many students are
attempting to learn what industry is about, how to use
their business degree, explore job paths, etc. All students
were encouraged to interact, network, and connect with
employers to start cultivating professional relationships.
11. Session Conclusion. What happens after I finish my session? Do I need to take attendance? How
do I receive feedback from students?
Please move any post-session conversations with students into the hallway following your session.
There is usually a 15-minute break between sessions; moving into the hallway allows the next
presenter a chance to enter the room and setup their session.
Session Attendee List Provided. All employers will receive a session attendee list with
student names, email, major, year in school, etc... Heavener staff will email each employer
around 1-week post HCW with session attendance rosters. In short, there is no need for
you to take attendance; it will be emailed to you promptly after HCW concludes.
Session/Student Feedback
Provided. All students are
requested to fill out an evaluation
sheet for your session. You will
receive these evaluations with
your attendance sheets when they
are emailed out.
12. Session Information. Where can I find all HCW session days, times, and descriptions?
All company sessions and descriptions are located in one convenient smartphone app. There is no
hardcopy program; we are digital via mobile Guidebook.

13. Session Marketing. How is HCW marketed to students?
The HCW director personally emails over 3,000 business majors encouraging attendance. Emails
are customized to each student depending on their major and year in school... highlighting
appropriate sessions.
In addition, 10-15 Heavener student organizations each partner with at least one company to
encourage attendance, often resulting in increased session numbers. Are you partnered with a
student organization? If not, please contact our staff.
Employer-Student Mixers
14. Mixers Overview. What are the mixers? How can I attend? How many company representatives can
I bring? Do I bring a table?
Employers continue to request access to both
diverse candidates and student business leaders
in record numbers. The Heavener Leaders mixer
and Warrington Scholars Diversity mixer target
both of these student populations.
Employer Attendance. Companies who
sponsor HCW are allowed to send
representatives based on their
sponsorship level. The range is between 2-8 staff members. It is at the company’s
discretion who attends across all business units and divisions. Please coordinate attendees
within your own organization. HR recruiters, practitioners, alumni, and student brand
ambassadors are all allowed towards the count of your representatives.
Employer & Student Dress. Students are required to wear business professional
dress. Employers are HIGHLY encouraged to wear clothing/nametags/lanyards which easily
identify their company. Want to standout in a crowd of suits? Want students to easily
recognize what company you work for? Since no tabling is allowed, employers are strongly
encouraged to wear company polos; they are preferred. Use your best judgment.
Professional Social Mixer: No Tabling.
Each mixer is a professional social mixer;
no tabling or giveaways are allowed by
any company except for each mixer’s
official sponsor.
Food and Drinks. Heavy hors d’oeuvre
and drinks generously provided at both
events from our mixer sponsors.

15. Warrington Scholars Diversity Mixer Overview.
This non-tabling professional mixer is open to any undergraduate or graduate business and
accounting major. Students of Color, Hispanic students, women, and other candidates who selfidentify as diverse are strongly encouraged to attend.
Event Details: Each Monday of HCW, 5:00-6:00pm @ Heavener 160.
Students Anticipated to Attend: 140+
16. Heavener Leaders Mixer Overview.
Hosted by Heavener’s oldest and most respected organization the Florida Leadership Academy
featuring Heavener’s top 100 sophomores, this non-tabling professional social mixer is invite only
within our Warrington family.
Top undergraduate business and accounting majors are the only students allowed. This private
mixer attracts sophomore to senior level students. Designed for the top 8% of Heavener’s entire
population; less than 325 spots are available; any student who attends this particular event is a top
student in the college...period.
Event Details: Each Monday of HCW, 6:00-7:30pm @ Heavener Commons 1st Floor
Students Anticipated to Attend: 180+
Students Invited: All Florida Leadership Academy (FLA) students (current and former), seven
students from each of the 20+ executive boards from all active Heavener student
organizations, the Warrington Diplomats, and 25 of Heavener’s top honor students.
17. UF Affiliations. Are these mixers associated with the Career Resource Center?
Both mixers were designed for employer engagement of Warrington students and are
exclusively for top business and accounting majors only. Non-business majors are not allowed
to attend. Neither mixer is affiliated with other UF campus affiliates, including our central
University of Florida Career Resource Center (CRC) office.
