If the baby is not listed in the NHI search results, DO NOT click the ‘Add New Patient’ button. © Copyright Medtech Limited Page 2 of 9 EMPOWERING HEALTH Instead, change the search criteria to search using the Baby-of name. The Baby-of name uses the mother’s name. Hospitals register all babies on the NHI with a Babyof Mother’s name. The best practice guidance that hospitals should use for the format of a Baby-of name is included at the end of this document. Sometimes the hospital may not have followed this convention, which makes it more difficult to find the baby. The Ministry of Health monitors this and follows up with hospitals if Baby-of names are not being registered correctly. © Copyright Medtech Limited Page 3 of 9 EMPOWERING HEALTH Other things to consider when searching for babies: Use the mother’s surname when searching Try the father’s surname Consider other abbreviations that might be used; e.g. BO for Baby Of, TO for Twin Of, etc. If you have an NHI number for the baby, use the NHI lookup to see how the baby’s name is formatted on the NHI and search accordingly If you still cannot find the baby, phone the Contact Centre – they will find the baby for you. ALWAYS check with the Contact Centre before adding a baby to the NHI. Adding the baby’s real name to the NHI When you find the baby on the NHI using the Baby-of name, you will need to add the baby’s real name to the NHI. © Copyright Medtech Limited Page 4 of 9 EMPOWERING HEALTH Click the ‘Add New Name’ button and then the ‘Copy from Patient Register’ button. Click the ‘Save’ button. DO NOT replace or inactivate the Baby-of name. The Patient Demographics Comparison screen will show names that match. © Copyright Medtech Limited Page 5 of 9 EMPOWERING HEALTH The NHI will now show both names. Add any other names the parent provides; e.g. Anglicised name or nickname. Spending time to make sure all the baby’s names are on the NHI means that other providers (i.e. those in A&E or after hours clinics) will be able to easily find the baby on the NHI. Pre-enrolling babies If you are invited by NIR to pre-enrol the baby, then click the ‘Enrol Patient’ button at the bottom of the compare screen. © Copyright Medtech Limited Page 6 of 9 EMPOWERING HEALTH For the Enrolment Action, select the ‘Pre-enrol (Newborn Babies)’ radio button. When the parents complete the enrolment form, then you will need to enrol the baby.
