Summary:
The Executive Assistant is responsible for providing general administrative support to the
Executive Office, maintaining board relations and executing tasks related to organizational
development.

Executive Office/Board Relations
 Answer all Executive Office calls, greet visitors, and coordinate communication and
messages appropriately
 Schedule and maintain CEO and COO calendars; provide follow-up correspondence
 Assist with drafting written documentation and correspondence for the Executive Office
 Maintain confidentiality of matters concerning the Executive Office
 Provide support to all executive and direct management staff
 Support the Executive Office with travel arrangements including securing
transportation, preparing itineraries, and arranging all necessary preparations
 Assist in research, preparation, and written documentation for special projects,
presentations and meetings
 Maintain the Board of Directors meeting calendar
 Maintain correspondence with the Board of Directors
 Plan and coordinate board meetings

Maintain filing and records system of board related documentation
Organizational Development
 Assist in the development of forms, procedures, and manuals for various departments
including Operations, Human Resources, and Administration
 Research and formulate training plans in addition to maintaining the training calendar
within the administration and Human Resources Department
 Assist with writing proposals and reports for the Administration Department
 Assist with agency wide survey administration
 Assist with the planning and execution of agency orientations
 Create and maintain agency organizational charts
 Assist with special projects from the Human Resources Department
 Assist the Development Department by maintaining the donor database which includes
daily data entry of private giving, sending out acknowledgment letters for all donations,
and sending updated records to agency leaders
 Support the Associate Director of Administration with special projects as assigned
 Attend all administrative meetings and provide input and feedback related to
department operations
 Provide back-up support for other tasks within the Administration Department
Qualifications:
 Bachelor’s level or equivalent, three to five years related experience, or equivalent
combination of education and experience
 Excellent verbal and written communication skills
 Acute attention to detail
 Proficient on Microsoft Outlook, Word, Excel
 Keystrokes a minimum of 30 wpm
 Commitment to excellence and high standards
 Strong organizational, problem-solving, and analytical skills; able to manage priorities
and workflow
 Strong interpersonal skills
 Ability to understand and follow written and verbal instructions
 Ability to deal effectively with a diversity of individuals at all organizational levels
 Good judgment with the ability to make timely and sound decisions
 Creative, flexible, and innovative team player
 Ability to work independently and as a member of various teams and committees

Work Environment

unpleasant sensory demands associated with the client’s use of alcohol and drugs, and the lack of
personal care. The employee must be ready to respond quickly and effectively to many types of
situations, including crisis situations and potentially hostile situations.
