Rosterlive – Timesheets Timesheets Go to Timesheets > Employee Timesheet or click on the employee’s name in the roster and you will go to the Employee Timesheet screen. Timesheets are either populated by manual enteries, the roster, ESS or time captures via a terminal. The screen will default to the current working period. Times shown in Start & End columns are rounded times as per your rounding rules set up (terminals only) Exception times are coloured for quick view. Use the Legend to identify the exception. The Role column details the role worked. Pay Level is the rate of pay the employee will receive for the shift and will default to what they have been set up as in their employee details page (do not touch this) The Work Type column can be used to choose a variation to the normal type of work. If you leave this field blank it will default to ordinary work. Examples of different types of work types would be Sick Leave, Annual Leave, Unpaid Leave, Actual Time (ignores rounding rules) and PHNW (public holiday not worked). Hold your mouse over the column header to see a list of work types available to choose from. If a roster exists for the employee then it will appear in the Roster column. The +/- (variance) column showsthe difference between the rostered and actual times. Department & Job shows where the hours were worked. A blue flag shows in the corner of the date if the timesheet line has either a Comment or Posted Comment. RosterLive – Entering A New Employee Timesheet Audit If you hold your mouse over the date on a specific line, an audit pop up box will appear detailing the actual times & other interpretation information. Most of the fields are self-explanatory. Only fields relevant for the timesheet line display. Below are details on some of the different fields. Creation Method – this is how the times were created. o CLOCK – Clocking from terminal o CLOCKLIVE – Clocking from ClockLive o ESS – Posted ESS timesheet o LEAVE – Approved leave request o ROSTER – Roster o SMS – Roster code “Is Payable” o WEB – Manually entered into Employee Timesheet Last Modified Method – this is how the times were last modified. The methods are the same as the creation methods. Last Web Modified By – this is who last modified the times manually into the employee timesheet. Actual Start & Actual End – if times are populated by a terminal these will show the original unrounded times clocked. Entered Start & Entered End – if times are populated by any other method except terminal these will show the original unrounded times entered. Last Interpreted Date - this is the date & time that the line was last interpreted. Manually Interpreted By – this is who manually interpreted the line. Employment Type – this is the employee’s employment type at the time of last interpretation. Contract – this is the effective contract when the timesheet was last interpreted. Comments – comments entered into the employee timesheet. RosterLive – Entering A New Employee Adding a Timesheet 1. Click Add to add one line or multiple lines. Click on the button to add one line or use the drop down on the button to add multiple lines. 2. The new blank lines will appear at the top of the timesheet. Complete lines and click Save. NB: If you have entered incorrect data then no lines will be saved and the error per line can be viewed by clicking on the round red error icon on the left hand side of the line. Correct the line or click on the cross icon to delete line and click Save once. RosterLive – Entering A New Employee Timesheet Editing Start time, End time & Work Types fields are “open” fields and can be edited. To change times type over the existing times. To change work types use the drop down to select. Click Save, the pink will disappear & changes will be saved. Lines with changes will show a pink colour on the left hand side. The pink colour is a highlight to remind you to save changes. To add/edit/delete comments: 1. Click on the bubble icon on the far right 2. Enter comments & click OK. 3. Hold your mouse over the bubble icon to view comments. RosterLive – Entering A New Employee To edit any other data in the timesheet: 1. Click Edit and all fields will become “open”. 2. Make changes across multiple dates and then click Save. DeletingTimesheets 1. To delete a line from a timesheet use the select box on the left hand side. Tick the lines you wish to delete. 2. Click Delete. To delete all lines in a timesheet tick the top select box and all lines will be ticked automatically.
