Purpose: Dictation/transcription system
Quick Start Guide: (Dictation instructions on cards)
Dictating ID number: Upon notification that a physician has been granted hospital staff privileges, the transcription
staff forwards their name and Arizona Medical license number to Webmedx, to initiate dictation privileges in system.
The Arizona license number is the dictation ID number.
If you are a new medical staff member and your ID number is invalid for dictating, please call 480-728-3390 (Linda transcription supervisor) or 480-728-3129 (clerk) to expedite initiation.
Auto faxing of transcribed reports is available. Linda Kapucinski, transcription supervisor, can be contacted for
information at 480-728-3390.
Electronic-signature is reserved for high volume physicians. Contact Linda Kapucinski at number above.

What facility code do I use? Dictation for a Chandler Regional Medical Center patient requires facility code

Is it OK if I dictate on a cell phone? Due to interruptions in cell phone communication and potential HIPAA
violations, we ask that cell phone dictation not be utilized. In addition, the overall quality could result in need to
re-dictate reports.

How do I get the job number of my dictation? Job numbers are available after completion of each dictated
report. Press 9 to hear job number after dictating a single report. If you are dictating a series of jobs, press 5
at end of each dictated report to hear job number for previous report. Hanging up phone alone will result in no
job number recited.
•
How due I pause the recording during my dictation?

Will I be able to edit my reports? Yes. If you use electronic signature to sign reports, you have the ability to
edit before you sign them.

If I state to send copies to other physicians, will they get sent? Please clearly state and or spell first, last
name, and specialty in order to have copy of your dictated reports sent to the PCP. Simply stating, “Send a
copy to the PCP” is not sufficient information to comply with requests.

WEBMEDX URL/Remote Access
The Electronic Signature module provides all functionality required to support the electronic
signature function to approve transcribed reports.
Access to Webmedx is available via the Internet – anywhere, anytime. This gives users the ability to support
the electronic signoff function from anywhere the physician has Internet access including from within the
hospital, to their private office and even at home. The following is the URL that you will enter into your
browser to access the login page to electronically sign your reports.
•
Open Web Browser; go to
www.webmedx.com/crs
To create Desktop Shortcut: Under the file tab: scroll down to send, then to shortcut to desktop.
To save as a favorite site, select Favorites then scroll to Add to Favorites

Login to Webmedx (for physicians)
Your Username will be: CHWEV ___________
license number
*(when in lower case, the letters will appear in upper case)
Your initial temporary Password: for first time users, first try the password
webmedx
If unsuccessful, try the first and last initial that correspond to the numbers on a phone pad, i.e.
– John Smith, MD = J{5}, S{7} / password is 57
If still unsuccessful, call . 1.877.932.6339
**If security dialog box appears, select YES immediately. If it disappears, press Ctrl+Alt+Del to bring
up task manager box. Select CANCEL. Security warning will appears again, select YES
immediately.
•
Once you have logged into the system, you will receive a message that will indicate the total amount
of reports to be signed. Click OK to proceed. If this message does not appear when you log into the
system, there are no reports available for signature.
•
Select Signature. To sign off reports by order of dictation, select Auto Sequence.

The oldest report in your signature queue will be displayed.
a. If no editing is required, click Sign.
b. If you wish to edit the report before signing, click Edit.
Editing Tips:
i. Select Play to review dictation (click and drag can be used to reposition the audio file
window.***)
ii. Click into the report area and use ALT-J to navigate to blanks.
iii. Press Shift+Enter to go to next line.
iv. To Spell Check***, click the "ABC" icon.
c. Once editing is complete, you may choose to sign the report by selecting Sign or you may
select Back or Next to save your changes without signing.

The Ext JobID is the same as the verbal job confirmation number given during dictation.
***NOTE: Spellcheck and listening to the dictation audio will only work if you have installed the Webmedx
audio and reports plug-in. Please consult with the HIM department if you wish to have this feature
installed.

Sign no more than 10 reports at one time. After signing 10 reports, click on the back button (in the
lower right hand corner) or select Release. A dialog box will appear requesting APPROVE, ABORT
or CANCEL. Select APPROVE to release all of the reports that you have signed. To sign more
reports, click on auto sequence again
Note: If you click Abort, your reports will be placed back in your signature queue for the next time that you
log into the system.
•
Once all reports are signed, select logout at lower right corner of page.
E-SIGNING FOR PHYSICIAN:
This is completed in the physician orientation process. If you are having difficulties, ensure that you have
been set via Medical Records.

The sign-up process usually takes about 6-24 hrs. The physician should start e-signing the next day without
any problems.
