Monitoring Student Registration in the Match: Tracking Eligibility for and Participation in the Match Under the terms of the NRMP Match Participation Agreement, if any of an institution’s programs participates in the Main Residency Match, all of the institution’s residency programs must offer positions to senior students at U.S. allopathic medical schools through the Main Residency Match or another national matching plan. Allopathic medical school officials have the ability to monitor student registration and participation in the Match by uploading directly to the R3 system a list of graduating senior students. Creating a student list in the R3 system is voluntary; however, the list helps allopathic medical school officials and administrators identify seniors who have not yet registered for the Match. The list also enables school officials to prohibit ineligible students from participating in the Match. Absent the list, school officials will be able to withdraw students from the Match only after the students have registered. How do I create a list of my seniors in the R3 system? You will need the following data points for each of your students: a. AAMC ID (must include this or USMLE ID) b. USMLE ID (must include this or AAMC ID) c. First Name d. Middle Name e. Last Name f. Date of Birth (format: mm/dd/yyyy) 1. Log in to the R3 system with your username and password. 2. Click View Participation Status from the left menu bar and click Upload Student List. 3. Review the instructions on the Upload Student List page. Note: Input your data in the Applicant Data box at the bottom of the instructions. You can create your list in two ways: Manually: Enter data for each student in the order presented above. Separate each data element with a tab (e.g., tab delimited). Note: All fields are required, except you may omit either AAMC ID or USMLE ID. If leaving a data element blank, enter an extra tab. Copy from Another Application: Excel or Word Highlight the data on your spreadsheet or document, right-click, and select Copy. Right-click on the Applicant Data box in the R3 system and select Paste. Note: Column headers should not be included in the highlighted data. If importing from Word, be sure to create your document separating each data element with a tab. 4. Click Upload Students. The R3 system will process your data. If there are errors (e.g., a missing data element), the R3 system will display them above the Applicant Data box. If there are no errors, the R3 system will open the View Participation Status window. Remember… Data MUST be entered all at once. You may edit your list or add or remove students from the list after it has been uploaded. You also can re-import your list at a later date, but doing so will remove your existing list from the R3 system and replace it with your new, imported list. Return to the View Participation Status page frequently to view those students who have not registered for the Match or to view/mark students as “Not Participating.” Use this list to communicate with students who need to register. By the end of the applicant registration period, NO student names should remain on the imported students list. All students should have registered for the Match or have been verified as not participating.
