Screening Submission Instructions Page 1 of 3 November 4 ‐ 11, 2015 Screening requests must be entered online. The online screening portal opens on Monday, August 3. The deadline for film submissions is Sunday, September 6, 23:00 GMT. To submit screening requests go to www.TheFilmCatalogue.com/portal/ and enter the username and password provided to your company. IMPORTANT: Read the Screening Guidelines before submitting films. Questions regarding screenings should be directed to AFMScreenings@ifta‐online.org or by phone to the Screenings Department at +1.310.446.1089. AFM 2015 SCREENING REQUESTS There are two ways to submit a film for screening: 1. For films or projects previously entered in The Film Catalogue: From the HOME page find the film and click on the green "Submit for Screening" button. This takes the user to the "Edit a Film" page where it is important to review the listing for accuracy and fill in the required fields that are bold and marked with **. From the "Edit a Film" page, follow the four steps outlined below. 2. For a film not in The Film Catalogue: Click on "Screenings" (tab at the top of the page). Under "Pending Screening Requests" select "Add Film". From the "Add a Film" page, follow the four steps outlined below. STEP 1: "EDIT A FILM” OR “ADD A FILM” PAGE Information for the fields that are bold and marked with ** must be provided or the submission will not be accepted. For clarification on certain fields, please see below: English Film Title: The title as it will be listed in The Film Catalogue and all printed schedules. Use Title Case – do not use all capital letters. Alternative Title(s): The title in its original language and any other name the film may have had. Running Time: Films between 116 and 130 minutes will screen either at 8:45am (15 minutes early) or at the last screening of the day. Films between 131 and 140 minutes will screen either at 8:30am (30 minutes early) or can request two (2) consecutive time slots and be charged accordingly. If you would like to request two (2) consecutive slots, please indicate this in the "Special Remarks" section. Films that are over 140 minutes will require two (2) consecutive time slots. NOTE: If the running time is longer than 115 minutes, and the correct running time was not provided, the screening will end before the film has finished and subsequent screenings will be cancelled without a refund. People: Must provide one (1) director, one (1) producer, one (1) writer and one (1) cast member. First Market Screening: Please indicate the market history of the film. Market Premieres: Films completed in 2015 that have not screened at any Market. Cannes Premieres: Films that had their first Market screening at the 2015 Marché du Film. Other Films: Films that screened at a Market prior to Cannes 2015 or were completed in 2014 or earlier. V.07.31.15 AFM 2015 Screening Submission Instructions | Page 2 of 3 Screening Type ‐ There are two types of AFM screenings: Market Screenings are the traditional AFM screenings and will be included in the online screening schedule and the printed AFM Screenings Guide. Some films may be included in AFM press releases and/or emails to Buyers. Private Screenings limit admittance to the Exhibitor's invited guests only. The words "Private Screening" will be listed on the screening schedule and the film details will not be listed anywhere. More information on Market and Private Screenings can be found in Section F of the Screening Guidelines. World Premiere: If the film has not been screened in a festival, market or for the public or press in any country select YES for this question. World Premieres receive special visibility at the AFM. For a list of benefits please refer to Section J‐1 of the Screening Guidelines. Market Lineup: Films submitted for screening are part of your company’s AFM lineup; please select YES for this question. If a film is marked private, it will not be listed in your market lineup. To include a film that is screening privately to your market lineup see Section F‐2 of the Screening Guidelines. Choose Venue Location(s): There are three types of screening venues: DCP Theatres; High Definition Theatres and HD Mini‐Theatres. Choose the venue where the film is to screen. Once a venue has been selected: Select the format of the film. Fill in the proper aspect ratio for your film’s format. Check all sound formats that the film can play in to ensure that the film will be compatible with its assigned theatre. Make a note in the "Special Remarks" section if the film has an unusual sound format. Such requests will be taken into consideration, but cannot be guaranteed. Special Remarks: List any information that the Screenings Department needs to take into consideration, including: request for two screening slots for a long film under 140 minutes; if a recruited or cast & crew screening is planned; preference for a theatre; top three preferred screening times, etc. Once all the required information has been entered, select the "Submit Film" button at the bottom of the page. You will be allowed to preview the submission and make changes by selecting the "Edit Film Submission" button. Once you are satisfied with the entry, print the page to have a record of the submission. To proceed, select "Continue to Screening Request." STEP 2: SUBMIT SCREENING REQUESTS FOR A FILM Choose a screening category and the number of screenings for the film. Pay special attention to the following restrictions and guidelines: Market Premieres may request a maximum of three (3) Screenings. Cannes Premieres may request a maximum of two (2) Screenings. Other Films that screened at a Market prior to Cannes 2015 or were completed in 2014 or earlier may request one (1) Screening. Once the screening requests have been made, select the "Submit Request" button. To enter more films, choose the "Submit Another Film" button. To proceed, select "Continue to Preferred Times." To edit Screening Requests: From the Screenings Page, find the film and select "Edit Screening Request" (found underneath the film title). AFM 2015 Screening Submission Instructions | Page 3 of 3 STEP 3: SET FILM PRIORITY AND SELECT PREFERRED TIMES V.07.31.15 Film Priority: If screening more than one film, rank films in order of priority. If screening just a single film, rank that film as number 1. Preferred Times: Screening Assignments are allocated by a computerized system in the following manner: the film prioritized as first from each company is assigned a best available time in accordance with that company's preferred times. Once every company has been assigned one screening, each company is then assigned a second ‐ the best available in accordance with their preference ranking. The process will continue until all screening times have been allotted. 7:00pm screenings are available at Fairmont and the Loews Hotel. There are no 7:00pm screenings at the Commercial Theatres. The Preference Grid should only be filled in once. It is not specific to one film, but for the whole slate of films. In the Preference Grid, you must: 1. Choose five (5) times that are the times you prefer most and place a "1" in each of those five (5) boxes. 2. Choose five (5) from the remaining times that are second choices and place a "2" in each of those boxes. 3. Continue until you have filled in most of the chart. When complete, five (5) boxes must have a "1", five boxes must have a "2", five boxes must have a "3", five boxes must have a "4", and five boxes must have a "5". To proceed, select "Submit Preferred Times Update" button. This takes you to the Preferred Times Preview. If you would like the Screenings Department to review your grid for optimization, include your top three times in the Special Remarks section of the “Add/Edit a Film” page. If there are no changes, select, "Payments/Invoice." STEP 4: REVIEW PAYMENT RECEIPT Print the invoice and submit payment to the AFM by Sunday, September 6. Payment by Check: Send a US$ check (drawn on a US bank) payable to American Film Market. Email or fax a copy of the check and the invoice as proof of payment. Payment by Credit Card: For security, payments by credit card should be made through the online portal. Submit invoice via email or fax and a payment link will be emailed to the screening contact within 48 hours. Payment by Wire Transfer: Email or fax a copy of the wire confirmation as proof of payment. Questions regarding credit card payments and bank wire details should be directed to Heather Henderson, Senior Accountant, at HHenderson@ifta‐online.org. IMPORTANT: If payment is not received, screening times will not be assigned. WITHDRAW SCREENING REQUEST To withdraw a screening request, go to the "Screenings" page, find the film title, and select "Withdraw Screening Request." NOTE: Screening requests cannot be withdrawn once a film has been reviewed by AFM staff. To withdraw a screening request after the film has been reviewed contact the Screenings Department at AFMScreenings@ifta‐online.org.
