is a stand-alone date that cannot be entered into a PROMPT
(prompts are based on specific fields in the database). Therefore,
this date must be entered directly into the SQL (back-end logic).
*The children listed in the report output are in a current certification period as of the date the report is run.
They may not still be certified as of the specified date.
*The Age on <specified date> is calculated using a formula based on the number of months between the
child’s birth date and the specified date. (NOTE: This formula will also have to be updated.) The number of
months always rounds down (ex: child 38 months and 27 days will round down to 38 months).
*The Agency is based on the where the participant currently belongs.
*The City is based on the city currently entered into the Residential Address field; not the Mailing Address field
since the output was not going to be used for outreach beyond entering an alert in the child’s participant
folder. However, the mailing address and city (along with the authorized representative’s name) are included
in the report output so that the report could easily be modified to provide this information for outreach.

In the SQL WHERE statement: change ‘09/01/2015’ to the new date (there are two)

In order to calculate the participant’s age, a DATEDIFF formula was used based on the number of days between the
participant’s date of birth and the specified date. There are 1095.75 days in 36 months (this number was rounded up for
the calculation to 1096) and 1856.6875 days (again, rounded up to 1857) in 61 months. The calculation went up to 61
months in order to include those who are 5 years old (otherwise, the output only include children up to 59 months of
age).
