In the pages that follow you will find an Overview of the space with stage dimensions and seating capacity, Rental Rates, Rental Procedure, Rules and Regulations, and much more. We have also included hints and tips to help you along the way; tidbits we have picked up over the years working with a diverse group of renters. Each year the auditorium is rented an average of 250 times for a variety of events. The Audi has been used for music concerts, dance performances, theatre productions, lectures and much more. The auditorium is managed by the Cultural Affairs Division of the City and County of Broomfield. Cultural Affairs presents an average of 20 performances each year at the Audi. A U D I F E AT U R E S Seating The Audi is an intimate performance space with 235 seats on the main floor and 54 seats in the balcony for a total seated capacity of 284. The Audi has an additional 6 wheelchair spots, 5 on the main floor and 1 in the balcony. Staging The Audi stage is 22 feet deep and 30 feet wide between the stage curtains. The stage has two sets of wing curtains on either side of the stage and a full black curtain that can be closed across the back of the stage. An optional white curtain is also available for the back of the stage. 1 A U D I F E AT U R E S C O N T Lobby Gallery The Audi lobby serves as a community art gallery for local artists’ work. The gallery will feature an average of ten shows each year. The gallery contains two permanent art pieces, City of Rainbows by David Stephen and a mural of Broomfield landmarks created by local teen artist Emily Hyatt in 2010. Auditorium Event Staff The auditorium has a pool of highly qualified event staff to serve as technicians for productions as needed. LIABILITY INSURANCE IS REQUIRED FOR ALL EVENTS H O L I D AY R AT E S On holidays observed by the City and County of Broomfield hourly rate is increased to time and a half. On some holidays the auditorium is not available for rent. O V E R N I G H T S TO R A G E When a rental includes consecutive days, event items may remain onsite overnight. Rental fee of the hourly rate, up to 12 hours per day, will be applied. All event items must be removed at the end of the contracted time. Broomfield Auditorium is not responsible for items left onsite overnight RATES SUBJECT TO CHANGE. BROOMFIELD RESERVES THE RIGHT TO REFUSE AND/OR TERMINATE FACILITY USE. 6 A U D I R E N TA L P R O C E S S Get The Date The Auditorium books up very quickly. Plan ahead to get the date desired. A minimum of 60 days notice is required to request the auditorium. Email the Rental Coordinator with the desired date and times. Public calendars do not include all the auditorium use. Open dates on these calendars may not be available. Submit Rental Request Form Complete the rental request form and submit to the Rental Coordinator. See page 9 for a guide to the Rental Request Form. Contract or Payment Questions: Contact the Rental Coordinator The Contract The Rental Coordinator generates a contract for the rental of the auditorium. Within two weeks of receiving the contract, it must be signed and returned to the Rental Coordinator. Event Liability Insurance All events must be covered by liability insurance. Proof of coverage must be submitted to the Rental Coordinator at least 30 days before the event. See page 15 for insurance requirements. Payments The contract includes the payment schedule. Within two weeks of receiving the contract, the deposit and 50% of estimated total are due. The remaining 50% is due no later than 30 days prior to the event.Checks or credit cards accepted. Payment can be submitted to the Rental Coordinator. Get the Word Out Cultural Affairs supplements the marketing campaign for public events held at the auditorium. The Marketing Coordinator will be confirming event information 90 days prior to the event. See page 17 for supplemental marketing information. 7 Take A Tour Renters may schedule a tour of the auditorium prior to the event. Tours are only given on weekdays by appointment depending on the availability of the auditorium. Email the Production Manager to schedule a tour. Staging or Equipment Work Out the Details Questions: Contact the Production Contact the Production Manager no Manager later than 3 weeks before your event to arrange for Auditorium equipment, special staffing needs, set ups and approval of production materials. Last minute requests may not be accommodated. The Event The Auditorium Event Staff assigned to your event are here to assist you. They will unlock the auditorium doors at your arrival time and lock the building up after the event has ended. Closing Out the Rental Auditorium Event staff will submit a report of any additional fees or refunds from the event. The Rental Coordinator will then process a refund of the deposit or invoice for additional charges. Refunds can take up to 2 weeks to be processed. Maximum refund for unused time is 1 hour providing minimum rental time has been met. Recommendation: Have one member of your organization stay to ensure everyone exits on time Cancelations If an event is cancelled by the renter the following refund is available excluding out-of pocket expenses incurred by Broomfield. 90 days prior to the event 100% refund 60 to 90 days prior to the event 50% refund 30 to 60 days prior to the event 25% refund Less than 30 days prior to the event no refund 8 T H E R E N TA L R E Q U E S T F O R M The Rental Request form is used to communicate the needs of the rental to the Cultural Affairs staff. The form will serve as a base for creating the rental contract, publicity materials, technical requirements and staffing needs. GUIDE TO THE RENTAL REQUEST FORM PAGE 1 Renter Information This section is to provide information regarding the organization or individual that is renting the auditorium. The contract will be made with the organization or individual identified. Name, address, phone number and standard rental or Multiple events or days non-profit rental must be completed. may be requested on one Rental Contacts form. These will be the individuals that the Cultural Affairs team can contact regarding various areas of the rental. More than one individual may be included for each area. Booking Contact—the person responsible for contracting the rental and making the payments for the rental. Publicity Contact—the person responsible for any marketing and ticket sales for the event. Technical/Onsite Contact—the person responsible for arranging for the stage and lobby setups, and the auditorium equipment that is needed and will be present on the day of the event. Policies Please review the policies for the auditorium and sign confirming that the policies will be enforced. Publicity Include available information for each public event so the Cultural Affairs team can assist in publicizing the event. 9 GUIDE TO THE RENTAL REQUEST FORM PAGE 2 Event Information This section is provided so you can list the dates and times for the rental. Date—Needs to include the year. Day 1 can go in the first column, Day 2 in the second. Have more days? Add additional copies of page 2! Rehearsal, Public or Private Event—This information is used to determine if the event should be included in the auditorium’s marketing information. Not indicating what type of event it is could result in the event not being included in marketing materials. Recommendation: Arrival Time—This time is strictly enforced. Be sure to indicate the number needed for equipment such as tables or chairs. If left blank an additional event staff member will automatically be added to the contract to serve as the lobby attendant. 10 A U D I P R O D U C T I O N S TA F F How the Production Staff Works For each event arrangements are made with the Production Manager for equipment, stage set ups, and other special needs. The Production Manager then creates a report for the event staff including all of the details and arrangements. The Event Staff will set up the requested equipment to the specifications on the report and work with the renter to make minor adjustments as needed. Much of the auditorium equipment has special requirements for the set up and use. Careful planning will ensure you are able to use the equipment. Last minute requests or changes may not be fulfilled. PLEASE CONFIRM ALL EVENT NEEDS WITH THE AUDITORIUM PRODUCTION MANAGER AT LEAST 3 WEEKS IN ADVANCE OF THE EVENT TO ENSURE THESE ARE ADDRESSED. Event Staff The Auditorium Event Staff assigned to the event are here to help make the event successful by facilitating your use of the Auditorium and its equipment. They will: Don’t hesitate to ask the Event Staff for help! Set up and take down all Auditorium equipment: tables, chairs, music stands, monitors, etc. For their safety renters may not move auditorium equipment. Serve as the light board operator and sound engineer. Depending on the complexity of the event more than one staff member may be required. P R I VAT E E V E N T S AT T H E A U D I The Auditorium welcomes your private event. However during Box Office and Gallery hours the lobby must be accessLble to the public. Please take this in to consideration when scheduling your event. Box Office and Gallery hours are available at Broomfieldauditorium.com 11 A U D I R U L E S & R E G U L AT I O N S Access The Auditorium will be made available at the start time indicated on your rental contract. At that time, renters may enter the Auditorium. Food Food and Beverages are only allowed in the Auditorium Lobby. The renter is responsible for ensuring that no food or drinks are taken into the auditorium. Production Equipment All furniture, sets, banners and decorations provided by the renter must be pre-approved by the Production Manager. Wood Floors To protect the wood floors furniture or sets may not be dragged across the floor. All performances that include hard shoe dancing requires the use of the marley dance floor. Library Lobby During library hours renters may only use the Library lobby for access to the restrooms and backstage. Currently renters are allowed to provide a lobby attendant. This is subject to change. The Lobby Attendant is there to: Ensure no food or drink is brought into the auditorium Monitor traffic in and out of the auditorium, the general public may try to enter the auditorium Monitor unsupervised children Assist audience members with special needs such as walkers, wheelchairs or strollers, these items may not block the aisles Help late arrivals to seats. The auditorium side of the elevator is kept locked unless access is requested. The lobby is rented by the hour. Special Event Permit is required for Any event where alcohol is being sold Any event open to the public where alcohol is provided Special Event Permit Application The application and supporting documents must be submitted to the City Clerk’s office at least 30 days prior to the event. Applicant is responsible for returning it to the City Clerk’s office after the 10 days. Contact the Production Manager to have it posted. W I N E RY O R B R E W E RY S E RV I C E Renters may work with a winery or brewery and have them sell or serve alcohol at the event. The winery or brewery would be responsible for ensuring Colorado Liquor Code is followed. Hint: It’s never too early to start your own marketing campaign. 17 A U D I B O X O F F I C E S U P P O RT The Broomfield Auditorium Box Office would be happy to assist with the sale of tickets to events held at the Auditorium. At present this is a free service provided by the City and County of Broomfield. To participate in this service the following will need to be met. Physical printed tickets need to be provided Tickets must be received by the box office a minimum of one month in advance of the event Box Office Recommendation: Each ticket needs to be numbered— Please provide sequential ticket numbers Do not use one ticket for all prices. It is hard to verify that the ticket was sold for the correct value. Tickets need to include the Event name, date and price on them— Carnival or raffle tickets will not be accepted THE BOX OFFICE IS NOT ABLE TO FACILITATE TICKET SPECIALS, GROUP RATES, OR COUPONS. Purchases The box office is capable of accepting cash, check and credit card payment. Purchases may be made in person or over the phone. All of the money collected in the sale of tickets will be deposited with the City and County of Broomfield. A check will be mailed approximately two weeks following the event. This service does not include at-the-door sales for the event. Any unsold tickets will be returned on the night of the event with documentation of all sales transactions for the event. The Box Office will not take reservations or place tickets on hold. All Box Office sales are final. For online sales try www.brownpapertickets.com Once the box office has the tickets don’t forget to tell people that the tickets are for sale there. 18 S P E C I A L R E C O M M E N D AT I O N S Each type of event has special and different needs. Collaborations between different types of groups can create other unique challenges. Below are some recommendations for various types of events. Children Performers Overcrowding is often a challenge for events where children are performing. Please expect a minimum of 3 audience members for each child performer. Auditorium can only seat 289 audience members. Dance Performances Critical pieces to dance performances are the music and lighting. One staff member cannot effectively run both the music and create special lighting for each dance. We recommend two Event Staff for dance performances. All performances including hard shoe dancing such as tap, step dancing or flamenco must use the marley floor covering. Orchestra and Band Performances Event staff will be setting up and taking down the chairs and stands for the event. Changes to the chair arrangement during the performance can be challenging with one staff member so careful planning is needed. The parking lot is shared with Broomfield’s public library.
