Vendor Terms and Conditions
Check in will begin at 8am, all personal vehicles must be off of Ottawa Ave by 11am and vendors set up
by 11:30am on June 17, 2017. Check in will be on the Ottawa Ave side of Calder Plaza. Please enter
from Michigan St as Ottawa Ave is a one way.
THERE WILL BE NO EXCEPTIONS
VOLUNTEER HELP WILL BE AVAILABLE IF NEEDED
All Vendors must have their booth set up by 11:30am. Automobiles will not be permitted on Ottawa Avenue after
11:30am (excluding Food Trucks).
Each space will be provided one 8’ table and two chairs. Additional tables can be ordered in advance at a cost of
$10.00 each (subject to availability). Each vendor is responsible for retrieving their extra table during setup, if they
have ordered one. Table linen and skirts will not be provided.
Damages: Vendors are solely responsible for any damages caused during load in/out.
Firearms: All weapons and firearms (loaded or unloaded) whether concealed or exposed are strictly prohibited from
the festival grounds.
Noise: As a courtesy to other vendors, please keep amplified sound from your booth at a reasonable level.
Excessive sound will be limited by the Grand Rapids Pride Festival Committee.
Permits – Licenses – Insurance: At their expense, all vendors are required to obtain and assume all responsibility
and liability for any and all permits, licenses, and insurance that may be required by the City of Grand Rapids and/or
Kent County and/or the State of Michigan. All food vendors must present a copy of their Health Department License
at check in. If you do not have it you will not be allowed to sell food at the Grand Rapids Pride Festival.
Vendors shall not display, offer for review or sell any illegal or contraband items: The laws of the state of Michigan
and local ordinances of the City of Grand Rapids and Kent County shall control, Vendors shall not display, offer for
review or sell any item that are unlicensed and/or copies/interpretations of licensed or registered items at any or all
sites and operations of the Grand Rapids Pride Festival.
Vendors agree that Grand Rapids Pride Center has no control over: weather, acts of God, acts of terrorism, or
Government intervention or any other cause that may prevent, end or interrupt the festival weekend. Vendors shall
hold Grand Rapids Pride Center harmless for any losses that should arise because of such event. By submitting the
attached application the exhibitor agrees to comply with all of the provisions herein:








Vendor registration ends 6/10/2017. The 2016 event sold out so please reserve your spot as early as
possible.
Any fee’s that are paid at festival must be paid in cash, absolutely no checks will be accepted at the festival.
All Cash payments must be paid directly to the vendor coordinator
All vendors are required to be set up and open by noon on Saturday 6/17/2017. Unoccupied spaces at
11am Saturday will be considered forfeited and be made available to those on the waiting list, no refunds will
be given.
All vendors must provide a 2A10BC fire extinguisher and other equipment necessary for their booth. If you
do not have it you will not be allowed to set up your booth at the Grand Rapids Pride Festival.
Vendors will be issued 4 general entry tickets. Additional general entry tickets can be purchased for $8.00
each.
Vendors will be assigned their space. A map of spaces will be emailed to vendors no later than 6/15/2017
Food Vendors in mobile units are required by the City of Grand Rapids to have matting placed under their
vehicles to catch any leaks and keep the pavement clean and free of stains.
Closeout: During closeout, public safety is Priority
Vendors are expected to be open from 12 noon to 8pm on June 17, 2017. All vendors must be out of the festival
grounds no later than 11pm. Automobiles will be allowed on Ottawa Ave (outside of the festival grounds) for loading
between 8pm and 11pm. Please make sure that your booth area is clean, take all trash to trash bin.
Grand Rapids Pride Festival Committee and/or Grand Rapids Police Department will coordinate opening of
fencing/gates for food trucks to exit between 8pm and 11pm. Please request assistance from Grand Rapids Pride
Festival Committee.
Electrical Requirements: Electricity will not be provided. All cooking and electrical appliances must conform to the
city, county and state codes.

Vendor Terms and Conditions
Vendors understand that Grand Rapids Pride Center and the Grand Rapids Pride Festival (GRPride) Committee has
legal possession and control of the festival venue and spaces, pursuant to an agreement with the business and/or
organization. Vendors further understand, therefore, that the use granted by Grand Rapids Pride Center and the
GRPride Committee hereunder is a LICENSE TO OCCUPY ONLY, and is not coupled with an interest in the property
and that The Grand Rapids Pride Center and the GRPride Committee reserves the right to terminate this LICENSE
TO OCCUPY at any time during the term of applicant’s use if Grand Rapids Pride Center and the GRPride
Committee determines that:




Vendor is found to have falsified any of the statements contained in the application.
Vendor is found to have changed and/or added to the use described in the application.
Vendor creates a nuisance to Grand Rapids Pride Center, the GRPride Committee, its other licensees or its
guest.
Vendor use of the premises in any other way that interferes with the orderly and successful conduct of the
festival.

Vendors understand that the purpose of the Grand Rapids Pride Festival is to celebrate the Lesbian, Gay, Bi-Sexual,
Transgender, and Queer community and agrees that they will do nothing to defeat the purpose during the term of this
agreement. Vendors certifies that they have read the application and the Terms and Conditions in its entirety,
understands the content and will comply with the conditions outlined in the agreement. Any vendor who fails to
comply with ANY of the conditions of this agreement shall be subject to forfeiture of their vendor fees and/or early
termination of this agreement.
