GENERAL INFORMATION
AIM
Erasmus+ Mobility for traineeships promotes mobility of traineeship students, as part of
the new Erasmus+ 2014-2020 programme.
The programme awards financial contributions to cover part of the outlay borne by
students abroad when doing a traineeship.
COUNTRIES WHERE TRAINEESHIPS MAY BE CONDUCTED
Erasmus+ Mobility for Traineeships gives students a chance to conduct a traineeship
with a business, training centre, university, research centre or other organization in
countries belonging to the programme: the 27 European Union member states,
the 3 countries of the European Economic Area (Iceland, Liechtenstein, Norway),
Turkey and the Yugoslav Republic of Macedonia. Mobility to Switzerland and Turkey is
not eligible.
LENGTH OF TRAINEESHIP AND FINANCIAL CONTRIBUTION
Traineeships must last 3 months.
A traineeship may begin on any date between 9 January and 30 June 2017 (barring
indications to the contrary expressly mentioned in the specifications of certain predefined traineeships), and must conclude by 30 September 2017 at the latest, on
penalty of the contribution being withdrawn. The traineeship must run without a
break.
The European Union funding for Erasmus+ Mobility for Traineeships differs according
to the country it is destined for, as in the following table:

ER.GO grant-holders (Regional Authority for the Right to Higher Education EmiliaRomagna) should apply directly to ER.GO concerning any additional contributions,
using the website www.er-go.it. Call centre: tel. 051 6436900, e-mail: [email protected].
Possible special funding for students with disabilities who are awarded the grant may
be allocated by the European Union. Students with disability, if winners, are requested
to contact the office by e –mail ([email protected]), immediately after
accepting the Erasmus+ traineeship.
Insurance cover for civil liability and accident at the workplace
Winning candidates will be insured by the University policy for civil liability (damage
caused to third parties) and against accident.
WHO MAY APPLY
1) Both students and neo-graduates may do a traineeship (provided the latter
presented their application while still registered). The requisites for application are
therefore:
- for students doing a traineeship: to be enrolled in academic year 2016/17 at least in
the second year of a first-cycle or single-cycle, or in a second-cycle degree programme;
tuition fees must be paid by the deadline for submission of applications. Students who
enroll in a second-cycle degree in the academic year 2016/17 must have their firstcycle degree within the deadline of this Call. Therefore, students accepted under
limiting conditions to the A.Y. 2016/17 are not eligible.
- for graduates doing a traineeship: to be enrolled in the year 2015/16 or AY 2016/17
(registration to be completed by the deadline for submission of applications) for the last
year of their study cycle and not yet graduated by the date when the ranking lists are
published (24 November 2016);
- for Specialization School Students, Residents and PhD students: to be properly
enrolled in medical or non-medical schools of specialization or a PhD; those enrolled in
certain specialization schools are eligible if they were enrolled in years prior to that of
the Call publication, due to the timing of the respective ministerial Calls. If the
regulations entail a suspension or prolongation of training, one is allowed to take part in
the Call with an earlier enrolment than the regular enrolment for one’s specialization
programme/PhD. To be able to do a traineeship after achieving their qualification,
specialization school students, residents and PhD students must be enrolled in the last
year of their specialization/PhD programme on the date when the ranking lists are
published (24 November 2016).
N.B. Since the specialist’s or resident’s training contract terminates on the date the
legal study programme expires, a mobility period, if undertaken after gaining one’s
specialist qualification, does not entail any extension of specialist training or contract
thereto, and entitles one solely to the monthly contribution foreseen by the Erasmus+
traineeship programme.
Further rules for specialization school students, residents, PhD students and physicians
on specialist training
Before presenting an application for the present Call, all specialization school students,
residents and PhD students must discuss their training schedule abroad with the
Director of the Specialization School or the Supervisor of the PhD programme and
obtain, if winners, authorization for the traineeship from the School Board/PhD Board
(upon approval of Supervisor).
4
Physicians on specialist training must also check with the host organization to make
sure there is proper insurance cover during their period of traineeship abroad. If the
host organization does not provide it, they must take out a policy in their own right.
Note, lastly, that physicians on specialist training shall not receive any economic
contribution from the host organization during their traineeship.
They must also make sure the traineeship falls within a single academic year.
Important: applications cannot be accepted from students enrolled to degree
programmes running under the previous degree system, prior to D. M. 509/1999)
2) Candidates’ nationality
All students may apply, whether EU or non-EU, and including those with stateless or
refugee status, provided they are registered with Bologna University. One may not do a
mobility period in his country of residence.
3) Candidates must also check the following cases of compatibility between
mobility grants:
• One may repeat the mobility experience and profit by the relative grants in the
course of the 3 study cycles up to a maximum of 12 months (360 days) per cycle
(24months/720 days for single-cycle programmes); both study activities and
traineeships are included in the 12/24 months; prior experience of mobility
enjoyed under a Lifelong Learning Programme, Erasmus Mundus Programme
(action 2), Erasmus+ Programme counts towards the mobility maximum of 12
months for each cycle. Likewise, mobility for traineeships, when undertaken by a
neo-graduate as part of Erasmus+, forms part of the 12 month-per-cycle
reckoning.
When submitting the application, the system checks prior experience of mobility
and the application cannot be saved, in case one has already enjoyed more than
9 months (270 days) or, for single-cycle degree programmes, more than 21
months (630 days) for Erasmus+ mobility during the same study cycle.
• There is no entitlement to an Erasmus+ Mobility for Traineeships grant for
students who have been awarded other foreign stay funding paid for by the
European Union or Bologna University when these overlap, even partly, with the
Erasmus+ traineeship period.
• The Erasmus grant for Traineeship + Mobility is compatible with the increase of
the PhD scholarship abroad for periods up to a maximum length of stay granted
by the standard amount of the scholarship approved annually by the Board of
Governors (currently the first six months). It is not compatible with the increase
of the PhD scholarship for periods longer than the term deliberated annually by
the Board of Governors and any other scholarships provided by the University
funds. In the latter case, PhD students, who win contributions, must choose
whether to use the Erasmus+ Mobility for Traineeships contribution or the
supplement awarded for a period abroad.
•
Erasmus+ Mobility for Traineeships contributions are not compatible with grants
awarded for Joint Master’s Degree programmes – ex Erasmus Mundus Action1.
•
The Erasmus+ Mobility for Traineeship is compatible with possible further
mobility abroad promoted by the University structures, including the mobility that
will take place in the same academic year and for the same purpose
5
(traineeship), provided that these periods are consecutive. The provision of any
restrictive aspects must be verified in the call of University structures.
4) Candidates must possess appropriate language skills; these are defined as a
language requisite for pre-defined traineeships; their language level must be
appropriate for the host company if the candidate arranges the traineeship with the
latter independently (see section on language skills).
5) While on mobility, students may not attain their final study qualification but
must wait for the period of traineeship abroad to finish.
6) By contrast, neo-graduates must do their mobility after gaining their
degree/specialization/PhD qualification because it is not possible to graduate during the
mobility.
Language skills
In order to enter the Call, one must exhibit a language certificate as evidence of
language skill; the level of that skill will be assessed during selection and compilation of
the ranking list.
Knowledge of the foreign language must be proved in one of the following ways which
are deemed to be equivalent:
•
having passed a language suitability test at the Bologna University
Language Centre or other university counterparts, the level being at least
B1, even in previous study programmes;
•
having passed a language exam with a grade of at least 25/30;
•
being enrolled on a degree programme entirely conducted in English
(see annexe 3); such students may only claim this as a language requisite if
they are applying to firms which stipulate English as the traineeship
language;
•
having obtained a certificate of attendance with profit, level at least B1,
in a course (of 50 hours) at the University Language Centre. The
certificate must refer explicitly to the QCER ranking and have been issued
no earlier than 01 September 2014;
•
having passed one of the TESTs for participation in international
mobility programmes at the University Language Centre held within
October 2016 on dates announced directly on the language centre
websites (Bologna campus and Romagna campuses), the level being at
least B1. To sit a test one must enrol on line via AlmaRM
(https://almarm.unibo.it ). It is possible to sit the test only one time and for
maximum two languages. Please note that the CLA TESTS will be available
in a single session (with several test dates to choose from for each
language ) valid for participation in the 2016/17 Erasmus + Mobility for
Traineeship call and in the 2017/18 Overseas call. The test results for
2016/2017 Erasmus + Mobility for Traineeship will also be considered
valid for a possible participation in 2017/2018 Overseas call and they
cannot be sit again.
•
having passed one of the TESTs set by the University Language Centre
for participants in the International mobility programmes Erasmus, Erasmus
Placement, Overseas. (They must have been taken in a.y. 2014/15 or
2015/16 from 01/09/2014) and the level at least B1);
6
•
having obtained a certificate issued by other university language centres
in Italy or Europe; the level must be at least B1 and the date not before 1
September 2014;
•
having obtained an official integrated certificate from the Portuguese
language certifying agency (consult the file “CEFR table” on the web
page). The level must be at least B1 and the date of issue not prior to 1
September 2014, regardless of the official length of validity set by the
certifying agency;
•
having a certificate of appropriate language skill signed by the host
organization when uploading the training project (a valid option only for
independently arranged traineeships).
Certificates confirming knowledge of the foreign language must be actually possessed
by the Call deadline and must be stated in the on-line application.
A copy of certificates must be uploaded onto Alma RM as part of the on-line application
(see section on “application procedure”).
Those who do not need to upload certificates are students who have taken a
suitability TEST or exam at Bologna University, those who enrolled in degree
programmes entirely conducted in English, and those who have done/will do TESTs at
the University Language Centre.
As regards International mobility TESTs those who take language placement tests may
only get them automatically recognised as evidence of curricular suitability if they
apply for the Erasmus+ Mobility for Traineeships a.y. 2016/17 and if they reach or
exceed the pass mark set for suitability in their study plan. Recognition may be
accorded even where curricular suitability is prescribed in one’s study plan for a year
later than 2016/17.
POTENTIAL HOST ORGANIZATIONS
The organization one intends to do a traineeship with must answer to the description
given in the Programme Guide version 2 (2016) issued by the European Commission,
viz. “any public or private organization active on the labour market or in sectors such as
education, training and youth”.
That definition includes public and private companies (including social
enterprises), training centres, schools, universities and research centres, nonprofit organizations, associations and NGOs, and other organizations.
The organizations eligible for hosting a traineeship extend to schools where
students act as Italian language assistants abroad.
If the traineeship is done at a Higher Education Institute (e.g. university laboratory,
university library, etc.) the activity must consist in vocational training and NOT study,
and the training activity must be clearly stated in the work plan.
International Relations Offices at Higher Education Institutes are eligible to host
mobility students’ traineeships, provided the student is not doing an activity covered by
an EU contribution and there is no conflict of interest.
If a student applies to do a traineeship at a foreign university, he/she is expected to
check the registration procedure with the International Relations Office of the host
university.
7
The following are NOT eligible as traineeship hosts:
EU institutions and other EU bodies including specialist Agencies (the complete
list
is
available
at
the
link
http://europa.eu/about-eu/institutionsbodies/index_en.htm ), as well as organizations running EU programmes (so as
to avoid conflict of interest and/or double funding),
National diplomatic corps (embassies etc.) of the country where the student is
enrolled, and likewise those of the student’s homeland/nationality present in the
host country (e.g. a French student cannot do a traineeship at a French
embassy in Germany, etc.).
FINDING A COMPANY
There are two ways of finding a host company the candidate must choose one of two
ways of applying:
Application for an independent traineeship i.e. for traineeship training
projects found by candidates acting on their own. Schools will provide support in
looking for companies from the list of companies they may have; it is therefore a
good idea to visit the offices listed in annexe 1 and find out.
Application for a pre-defined traineeship, i.e. for traineeship training projects
that have already been worked out and agreed between Schools and foreign
companies in the various countries included in the Call. The candidate must
choose a traineeship according to features that are already established
(professional area, knowledge of languages and ICT, activities scheduled) and
wait for the outcome of selection. The pre-defined traineeships on offer may be
consulted on AlmaRM https://almarm.unibo.it. Not all Schools have pre-defined
traineeships on offer.
It is not possible, after the submission of the application and the conclusion of the
selection procedure, to change the host company.
DIVISION OF GRANTS AMONG SCHOOLS
There are 380 Erasmus+ Mobility for Traineeships grants for the year 2016/17. The
grants have been shared round the 11 Schools and research PhDs proportionately:
to the number of on-schedule enrolments (data referring to academic year
2015/16);
to the popularity of traineeships abroad, reckoned from the Erasmus + data a.y.
2015/16.
to the traineeships carried out in the A.Y. 2015/16
Some Schools may further divide up their grant quota internally between the Vice
Chairmanships comprising the School (see box below).
Schools have also decided individually how to share their grants between pre-defined
and independent traineeships (see box below). If a School does not allocate predefined traineeships, that will automatically swell the School’s quota of independent
traineeships.
Grants destined for medical and non-medical Specialization Schools are counted in
with the Schools in question.

Candidates are invited to consult the AlmaRM service for a description of the predefined traineeships on offer. Pre-defined traineeships may be open to all students
in a School or only to students on specific degree programmes.
If, through dearth of suitable demand, a School is unable to award all the grants
allocated to it, they will be made available to the School with the fullest ranking list. Any
places turned down at a later date will be assigned to the second fullest list of suitable
candidates, and so on.
Re-allocation of grants will in any case be proportional in principle and, as a secondary
objective, seek to use all the grants available. In addition, the re-allocation of grants will
affect only the ranking of independent traineeships .
It should also be noted that the University of Bologna is a member of the project
Erasmus Consortia Placement CON.C.E.R.T.O., coordinated by the University of
Ferrara and in partnership with the University of Modena and Reggio Emilia, the
University of Parma, the University Institute for Modern Languages IULM, the
Conservatory of Ferrara, the Conservatory of Parma, the Conservatory of Piacenza, the
Conservatory of Cesena, the Conservatory of Bologna, the Fine Arts Academy of
Bologna. The University, as partner of CON.C.E.R.T.O. consortium, reserves the right
to award any further training grants, from the funding of the consortium a.a. 2016/17
(not yet known), to suitable candidates without a grant of Schools rankings, and with
the same aforementioned criteria for allocation of university unassigned scholarships.
GETTING A TRAINEESHIP RECOGNISED
When students are involved in a mobility experience through Erasmus+ Mobility for
Traineeships, they must follow the recognition procedure laid down in the regulations
and course structure diagram of their degree programme and the procedure
9
established by their School. Winners are expected to find out about credit recognition
from their Teaching Office and/or Traineeship Office before they leave.
PhD students and residents will seek recognition for their traineeship work respectively
from the Board of Teachers/PhD Coordinator and the School Board.
APPLICATION PROCEDURE
Each candidate may present ONLY ONE application: for a pre-defined or for an
independent traineeship.
Applications must be made exclusively on line connecting to Alma RM
https://almarm.unibo.it and following the guided procedure.
APPLICATIONS OPEN ON 14 SEPTEMBER 2014
The deadline is MONDAY 28 October 2016 at 12 a.m.
To apply, candidates must:
- be enrolled at Bologna University or have already paid the registration fee for
a.y. 2016/17 or 2015/16, depending on the category;
- procure their university credentials (username and password) enabling them to
go onto AlmaRM;
- read the notes on making out an application to be found on the homepage of
AlmaRM giving instructions for the on-line procedure;
- upload onto AlmaRM:
a pdf file containing information on the traineeship, compiled and
signed/stamped by the company, using the company agreement form (see
annexe 5) _ only for independent traineeships
a pdf file containing their curriculum vitae in European format;
a pdf file containing their reasons for wanting to do this traineeship (pre-defined
or independent);
a pdf file containing any language certificates and/or self-certification of their
previous career (only if it was at another university) and/or any other certificates
they may think useful for assessment purposes.
The on-line procedure for a pre-defined traineeship differs from that for an independent
one:
Application for an independent traineeship
Candidates find the company independently and arrange the content of the traineeship
training project.
Candidates must include all company data on Alma RM according to the instructions in
the file Notes on filling in an application, and upload the company agreement form
which is the traineeship proposal formulated by the company (see annexe 5). The form
must be filled in, signed and stamped by the company. Please note that the traineeship
training project is one of the points on which the application will be assessed (see
Section on “Selection procedure”).
Application for a pre-defined traineeship
Candidates may consult the list of traineeships on offer (if available) by clicking on the
key “View predefined traineeships” on the AlmaRM homepage via the guided
procedure, and apply for the predefined traineeship they choose.
An
e-mail
is
sent
to
the
student’s
institutional
e-mail
address
([email protected]) to confirm that the application was uploaded correctly.
10
If there are any problems in activating and/or using the institutional mailbox, candidates
should consult the following page http://www.unibo.it/Portale/Il+mio+Portale/La+mia+email.htm.
The next steps are:
the offices will check the participant’s requisites from a formal viewpoint and
pass the application as suitable for assessment by the School committees
all formally suitable applications are then assessed by the Schools with a view to
drawing up ranking lists.
DOCUMENTS TO ATTACH IN PDF FORMAT WHEN APPLYING ON LINE (ON
PENALTY OF ANNULLING THE APPLICATION):
The following documents:
• a language certificate as specified in the Call
• self-certification of the degree diploma with a list of exams taken, but ONLY for
those who possess a first- or second-cycle qualification from another university
(sign this and attach a copy of a valid proof of identity). The self-certification
must be attached in a proper application section which will be visible to those
students who possess a first- or second-cycle qualification from another
university only.
• one’s curriculum vitae in European format,
• one’ reasons for applying;
• the company agreement form, but ONLY for independent traineeships
These documents must be uploaded onto AlmaRM in pdf format as part of the
application (on penalty of the latter being annulled).
INCOMPLETE APPLICATIONS WILL NOT BE ACCEPTED.
ONE MAY ONLY APPLY ONCE (OTHERWISE THE APPLICATION IS ANNULLED).
APPLICATIONS ONCE PRESENTED CANNOT BE ALTERED OR WITHDRAWN AT A LATER
STAGE.
SELECTION PROCEDURES
The selection criteria used in assessing applications are as follows:
1) For students:
- the committee’s judgment on (maximum 40 points):
content of training project (contained in the company agreement form) and its
relevance to the candidate’s study curriculum
reasons for doing the traineeship
language skills possessed
any other factors mentioned by the student in his/her application
- Assessment of career (maximum 60 points) based on regularity of study and profit,
judging by:
three-year degree students, single-cycle Master’s degree students and secondcycle Master’s degree students enrolled in years other than the first: the factors
going to form the score on career are the average normalised according to the
11
average grade for the School in question (profit) and the number of credits
recorded in the students’ career as at 9 November 2016 in relation to the total
number of years enrolled in the current programme;
students enrolled in the first year of a Master’s degree programme: the factors
going to form the score are the graduation session for regularity of studies, and
the degree grade for profit, normalised according to the School in question. If at
the time of enrolment a candidate possessed more than one first-cycle
qualification, the most recent is the one considered.
All students are obliged to promptly check the data in the Studenti Online application
concerning their own careers, to ensure that all completed learning activities and
exams have been recorded as at 9 November 2016 and can be used for the purposes
of calculating their career evaluation scores.
Please note that the career is evaluated on the basis of enrollment data generated by
the system; therefore, the enrollment to the A.Y.2016/17 even when you plan to get the
degree in the A.Y.2015/16 extraordinary sessions (ie March 2017) will modify your
career, with obvious consequences for its assessment according to the aforementioned
criteria.
2) PhD students:
- the Coordinator of PhD programme judgment on: (maximum 40 points):
content of training project (contained in the company agreement form) and its
relevance to the candidate’s PhD curriculum
reasons for doing the traineeship
language skills possessed
any other factors mentioned by the PhD student in his/her application
- Assessment of career (maximum 60 points) based on:
- the grade in the PhD admission exam (maximum 30 points)
- the Master’s degree grade (maximum 30 points)
3) For those enrolled at Specialization School:
- the committee’s judgment on: (maximum 40 points):
content of training project (contained in the company agreement form) and its
relevance to the candidate’s specialization
reasons for doing the traineeship
language skills possessed
any other factors mentioned by the resident in his/her application
- Assessment of career (maximum 60 points) based on:
- the average in the Specialization School exams recorded in the students’
career as at 9 November 2016 (maximum 30 points);
- the Master’s degree grade (maximum 30 points)
For candidates with first cycle qualifications obtained abroad for whom information such
as the exam session or degree score is not available (as these are peculiarities of the
Italian university system), the career will be evaluated by a specific board.
If there is a tie on points, priority will go to the younger candidate.
Students who are graded zero in the part reserved for the Committee’s judgment are
ipso facto not suitable.
12
On pre-defined traineeships and by special arrangement with Schools, host
organizations may participate in candidate selection.
Schools may also arrange interviews to find out about and/or assess candidates. The
latter are expected to check whether a date has been set for an interview.
RANKING LISTS, ACCEPTANCE, WITHDRAWAL, LATE ENTRY
There is just one Call. Ranking lists will be drawn up by Schools or, if a School has so
arranged, by Vice Chairmanships.
Ranking lists will be published on 24 November 2016 via the Alma RM service used
by candidates in making their applications on line.
Publication thereon is the only legal means of making known the selection results.
Candidates will use their university credentials to consult the lists. No written form of
communication will be made.
The ranking will list WINNERS and those found SUITABLE.
GRANT WINNERS must accept ON LINE by 2 December 2016 connecting to Alma
RM https://almarm.unibo.it from which they should also download and print the forms
needed for drawing up the contract.
Winners who fail to accept on line by 2 December 2016 will be deemed to have
withdrawn, without further notice.
On request, SUITABLE candidates in the rankings for independent traineeships
may be granted Erasmus zero-EU grant status, which allows them to obtain a
number of mobility benefits but without receiving the EU grant.
If any grant winners withdraw, if the withdrawal is formalized by 15 June 2017, the
Traineeship Mobility Office will allocate the contribution to the subsequently positioned
students in the ranking list, who may be contacted via e -mail and / or phone and be
invited to accept within 3 working days, on penalty of losing the grant. The grants that
may become available as a result of withdrawals formalized after 15 June 2017 will be
allocated only to Erasmus zero- EU grant students that may be in the rankings,
following the same criteria for allocation of university scholarships not assigned for lack
/shortage of suitable applications.
ENTRY IN THE HOST COUNTRY
Students must find out for themselves about:
• any rules concerning entry into the host country, by promptly contacting the
relative diplomatic representations in Italy;
• health care in the host country, by contacting their own healthcare board or the
diplomatic representations.
The legislation and regulations governing the immigration of non-EU students in different
countries participating in the Erasmus + Programme depend on the nationality of the
student; students are therefore responsible for obtaining all the information they need in
due time, obtaining the documents required to allow them to enter and stay in the
country of destination, by contacting the relative diplomatic representations.
In particular it should be noted that the procedure for obtaining a visa for European
countries that do not belong to the SCHENGEN area (Bulgaria, Croatia, Cyprus, Ireland,
13
Romania and the United Kingdom) is particularly long and does not always lead to the
issue of a visa. Non-EU students are therefore invited to consider this aspect when
choosing the host organisation.
