academic expectations for all students, Vista College Prep is an elementary school built on the
research and best practices of high performing, no excuses charter schools nationwide. This past
year Vista College Prep scholars achieved an average of 1.4 years of literacy growth as measured
by the STEP assessment. In the last two years, our scholars have achieved three years of literacy
growth! In addition, Vista College Prep scholars dramatically exceeded the national median on
the nationally normed TerraNova assessment (and beat all of our scores from last year!).
The Vista College Prep philosophical approach to improving pupil achievement is rooted in three

Qualities and Qualifications: Vista College Prep is looking for Operations Associates who firmly

The Operations Associate is a critical member of the Operations team, with dual responsibility
for several aspects of the day-to-day administration of non-instructional student services and for
ensuring data integrity. The Operations Associate reports to the Principals and works regularly
with the Director of Operations.
Responsibilities of the Operations Associate will include but are not limited to:
Parent and Family Engagement/Student Recruitment
• Organize and arrange home-visits at the start of every year.
• Oversee enrollment at school site and, as required, lead the enrollment process by
working with the school leadership, teachers, and administrative team to meet
enrollment targets
• Corresponds regularly with families regarding school policies, trips, events, and
milestones
• Organizes and facilitates orientations for new and returning families.
School Operations
•
Annual School Start-Up:
o Manages a detailed start-up checklist and ordering list to ensure that the school
starts each year prepared and fully stocked

o Ensures that all school systems are fully operational prior to start of school
Manage scholar promotion and academic data using our Student Management System.
Coordinate scholar report cards.
Oversee logistics for school-wide events including family academic nights, field trips,
vision tests, school picture days, permits, school calendar, and flu shots
Responsibility for site level procurement of supplies, materials, equipment, and
inventory management
Manage food services to ensure on-time meals, availability for field trips, and
compliance with federal food regulations, including sanitation standards
Assist with oversight of on-site technology activities
Develop and maintain positive relationships with vendors
Manages school student information database system and generates reports as needed
by the teaching staff, Director of Operations, and the school Leadership Team
Oversees creation and distribution of progress reports and report cards
Ensures the school maintains accurate student records, including, but not limited to,
student attendance, and residency information
Ensures standardized testing materials are properly ordered, received, and submitted
for scoring, and that standardized test data is reported to school staff and other
relevant constituencies
Facility
•

Responds to teacher requests and alerts in a timely fashion
Ensures that the school is neat, clean, and that minor repairs are done quickly
Ensures school books, materials, furniture, and equipment are properly stored and
accessible when needed
Coordinates fire, evacuation, and crisis drills with the Director of Operations
Works with appropriate staff to ensure hallway and general facility decorations
(especially posted student work) are updated and maintained regularly
Develops effective working relationships with school security, the nurse and
maintenance staff
Transportation
• Works with transportation company to adjust school bus routes and schedules taking
into account school calendars, address changes, new students, school and student
needs, and various service requests
• Ensures proper distribution of schedules, routes, and other information to schools, and
parents
• Works with Director of Operations to schedule field trip transportation as needed
Scheduling
• Creates and manages teacher, student, and classroom schedules
• Creates and manages coverage schedules
• Assists in scheduling family-teacher conferences, family events and special schedules for
Interim Assessments and state-wide standardized tests
• Maintains separate school calendars for faculty and for families
School Leadership

Support faculty, scholars, and families with a superior level of customer service,
enabling teachers and school leaders to focus exclusively on teaching and learning.
Maintain school aesthetics at a high level based on Vista College Prep standards through
close work with school service providers.
Working with the DOO, manage instructional and office supply procurement to ensure
that all materials are in stock and teacher requests are fulfilled, while tracking
expenditures.
Collaborates with the School Leadership Team to maintain strong staff culture and a
warm, collegial and mission-focused environment for faculty and staff
Works with the DOO and School Leadership Team to develop, refine, and/or codify
school policies and procedures
Coordinates with the DOO to ensure smooth operations, identify needs, and facilitate
flow of information
Skills and Characteristics
• Belief in the Vista College Prep mission and educational model
• Strong technical skills, experience in managing and manipulating databases and datasets
• Fiercely organized and execution-oriented (experience managing many moving parts
and consistently delivering on time)
• Acute attention to the smallest details to ensure smooth, predictable, and effective
outcomes
• Strong communication skills (written and oral) – able to communicate technical
information and requirements (e.g., how to manage grade book reporting) to a nontechnical person (e.g., teacher)
• Highly proficient with MS Excel, MS Word, and MS PowerPoint
• Superior initiative - takes instruction well, but does not wait for it
• Places a high value on delivering quality internal and external focused customer service
• Ability to work in a fast-paced, high-performing, but sometimes unpredictable
environment
• Maturity, humility, strong work ethic, sense of humor, and “roll-up-my-sleeves” attitude
• “Whatever it takes” disposition
• Minimum of a Bachelor’s Degree
• Valid fingerprint clearance card
